例えば、1つの文書情報から、経費申請用のキーワードとToDoリスト用のキーワードの2種類のキーワードを抽出したとする。この場合、約束事は経費申請として登録され、ToDoリストには登録されない。
これによって、より精度良く、約束事を分類することができる。
キーワード抽出部240は、文書情報から引用文を示すキーワードを抽出すると、抽出した引用文を示すキーワードに基づいて、抽出した他のキーワードが元の約束事のキーワードなのか新しい約束事のキーワードなのかを分類する。
理解を容易にするために具体的に説明すると、例えば、「10時の予定を14時に変更」という電子メールを受信すると、「*を*に」というキーワードから、「10時」は元の約束事のキーワードとして、「14時」は新しい約束事のキーワードとして分類する。
また、例えば、「>>明日は10時の予定」という内容があれば、「>>」の次に書いてある「明日は10時の予定」は引用文から抽出したキーワードであるので、元の約束事のキーワードとして分類する。
例えば、「引用文」や「original message」といった単語を抽出すると、このキーワード以降から抽出したキーワードは元の約束事のキーワードであるとして分類される。
約束事作成部250は、元の約束事のキーワードに分類されたキーワードを修正対象の約束事に含まれるキーワードとして格納した修正約束事情報を作成し、約束事更新部260は、元の約束事のキーワードとして分類されたキーワードと、約束事管理機能300に登録されている約束事を比較し、比較結果に基づいて修正対象を特定して更新する。
これによって、修正対象の約束事をより精度よく高速に検出することができる。
約束事更新部260は、約束事管理機能300に約束事を新規に登録する場合、この約束事を未確定の約束事として約束事管理機能300に登録する。また、約束事更新部260は、未確定の約束事を確定させる内容の修正約束事情報に基づいて、対象の未確定の約束事を確定した約束事に更新する旨を約束事管理機能300に入力する。
例えば、新規の会議の予定に関するキーワードが抽出されると、約束事更新部260は、未確定の会議の予定として約束事管理機能300に登録する。
その後、この会議の予定が確定したことを示すキーワードが抽出されると、約束事更新部260は、この会議の予定が確定した旨を約束事記憶部300に入力する。
これによって、情報処理装置1は、未確定の約束事と確定した約束事とを分類することができる。
次に、図3のフローチャートを参照して約束事作成処理を詳細に説明する。
約束事更新部260は、新規約束事情報に@仮フラグをたてると、@仮フラグのたっている新規約束事情報を約束事登録部310に入力する(ステップS110)。
約束事登録部310は入力された新規約束事情報を約束事記憶部320に登録する。
約束事作成部250は、修正約束事情報を作成すると、作成した修正約束事情報が、修正する対象の約束事の整理番号やリンクを含むか否かを調べることによって修正対象が明確であるかを調べる(ステップS202)
作成した修正約束事情報の修正対象が明確でない場合(ステップS202が“NO”)、約束事更新部260は、約束事記憶部320に記憶されている約束事情報と修正約束事情報とを比較する(ステップS203)。
内容の類似する約束事がない場合(ステップS204が“NO”)、約束事更新部260は、反映されていない修正約束事情報として、修正約束事情報に@未反映フラグをたて(ステップS205)、約束事登録部310に、@未反映フラグのたった修正約束事情報を入力する(ステップS206)。
約束事を確定させる修正約束事情報であれば(ステップS208が“YES”)、約束事更新部260は対象の約束事から@仮フラグ消去するように修正約束事情報を修正し(ステップS209)、修正した修正約束事情報を約束事登録部310に入力する(ステップS206)。
次に、理解を容易にするために、情報通信機能100が通信する文書情報の具体例を挙げて、約束事作成処理を説明する。
ワークフロー機能200は、携帯電話の通信機能をフックし、通信された電子メールを読み取り、読み取った電子メールから約束事情報を作成し、作成した約束事情報に基づいて、スケジューラにスケジュールを登録する。
キーワード辞書Xには、返信用,修正用,確定用,予定用,用件用,日時用,場所用,人名用,引用文用,経費申請用,ToDoリスト用,スケジュール用等のカテゴリ毎にキーワードが収録されている。また、人名用のカテゴリに、"C:\mail\address.txt"というファイルが指定されている。ワークフロー機能200は、それぞれのカテゴリに登録された単語の他、指定されたファイルに収録されている人名やメールアドレスを含めたキーワードを参照して約束事作成処理を行う。
また、引用文キーワードを抽出した行から抽出したキーワードは、引用文から抽出したキーワードであることがわかるように約束事情報に格納される。
キーワード抽出部240は、メールAを読み取ると、読み取ったメールAから、キーワード辞書Xに格納されている各カテゴリのキーワードを抽出して約束事作成部250に出力する(図3のステップS103)。
約束事作成部250は、入力されたキーワードに、返信,修正あるいは確定を示すキーワードがないので(図3のステップS104が“NO”)、抽出した各カテゴリのキーワードから新規約束事情報Aを作成する(図3のステップS105)
新規約束事情報Aは、例えば、図7のようになる。メールAは、スケジュール用キーワードの「*会議」にあたる「品質会議」があるので新規約束事情報Aの用件のカテゴリに品質会議が格納される。同様に、日時,人名,場所にキーワードが格納される。
また、「会議」はスケジュール用キーワードでもあるので、新規約束事情報Aはスケジュールフラグがたてられる。
新規約束事情報Aに類似するスケジュールは約束事管理機能300に登録されていないので(図3のステップS107が“NO”)、ワークフロー機能200は、新規約束事情報Aに@仮フラグをたて(図3のステップS109)、新規約束事情報Aを約束事管理機能300の約束事登録部310に入力する(図3のステップS110)。約束事管理機能300は新規約束事情報Aを受け付け、図8に示すスケジュールAを作成する。
スケジュールAは、新規約束事情報Aに格納された情報が登録され、6月22日月曜日の14:30から品質会議が開かれることを示す。
次に、メールAを送信後に、例えば、メールBとメールCとメールDとを受信したとする。
メールBの内容は、メールAの返信として、N社長がY宛に、N社長も会議に参加で、時間を来週土曜日に変更することを依頼する内容である。
また、引用文から抽出したキーワードとして、新規約束事情報Aと同一の内容のキーワードも抽出される。
約束事更新部260は、修正約束事情報Bで修正する対象がスケジュールAであることを修正約束事情報Bに更に格納し(図4ステップS207)、スケジュールAを修正する修正約束事情報Bをスケジューラに入力する(図4のステップS206)。
スケジューラは、修正約束事情報Bに基づいてスケジュールAを修正し、スケジュールBに更新する。
修正約束事情報Cは、返信用カテゴリに「Re:品質会議」が格納され、「6月27日土曜日14:00~」が修正日時として格納され、引用文から抽出したキーワードから作成した「6月27日土曜日」が引用文の日時として格納され、Yが引用文の人物として格納される。
スケジューラは修正約束事情報Cに基づいて、スケジュールBをスケジュールCに更新する。
メールDには確定用キーワード「大丈夫」が含まれているので(図3のステップS104)、約束事作成部250は、キーワード抽出部240より入力されたキーワードから修正約束事情報Dを作成する(図4のステップS201)。
修正約束事情報Dは図16に示す内容で、日時として「27日」、人物として「L課長」と「Y」、スケジュールを確定するキーワードとして「大丈夫」が格納されている。
約束事更新部260は、スケジュールCの「L課長」と「6月27日土曜日」と送信先の「Y」いうキーワードから、修正約束事情報DとスケジュールCが類似していると判断する(図4のステップS204が“YES”)。
スケジュールCが修正約束事情報Dに類似していると判断した約束事更新部260は、スケジュールCが対象であると明確にして(図4のステップS207)修正約束事情報Dをスケジューラに入力する(図4のステップS206)。修正約束事情報Dには確定キーワードが含まれているので(図4ステップS208が“YES”)、約束事更新部260は、スケジュールCから@仮フラグを消去し(図4のステップS209)スケジュールDに更新する。
次に、例えば、旅費等の申請に関するファイルがP2Pでやりとりされた例について説明する。
表計算ソフト用ファイルE1には、経費申請用キーワードの旅費申請と、場所用キーワード内の"chimei.txt"に含まれる各地名と、それぞれの経費が含まれている。
ワークフロー機能200は、抽出したキーワードに修正等のキーワードがなく経費申請のキーワードがあるので(図3のステップS104が“NO”)、経費申請に関する新規約束事情報E2を作成し(図3のステップS105)、過去の約束事と比較し(図3のステップS106)、類似する約束事がないので(図3のステップS107が“NO”)、@仮フラグをたてて(図3のステップS108)、経費申請関連の約束事管理機能300に入力する(図3のステップS109)。
経費申請関連の約束事管理機能300は、入力された新規約束事情報E2から、新規に約束事E3(図19)を記憶する。
抽出されるキーワードには「完了」が含まれるため(図3のステップS103が“YES”)、ワークフロー機能200は約束事情報更新処理(図3のステップS200)を行う。
ワークフロー機能200は、経費申請用キーワードをToDoリスト用キーワードより優先し、経費申請を修正する修正約束事情報F2を作成する(図4のステップS201)。
ドキュメントファイルF1には、「No」が含まれるため修正先が明確で(図4のステップS202が“YES”)、確定用キーワードである「完了」が含まれているため(図4ステップS208が“YES”)、@仮フラグを消去する旨を修正約束事情報F2に追加し(図4のステップS209)、修正約束事情報F2を経費管理用の約束事管理機能300に入力する(図4のステップS206)。
修正約束事情報F2を入力された約束事管理機能300は、約束事E3から@仮フラグを消去し、約束事F3(図21)に更新する。
例えば、約束事がスケジュールである場合、スケジュールと各人名用キーワードに@仮フラグをたて、スケジュールの確定を確かめられた人名用キーワードのみ@仮フラグを消去し、全ての人名用キーワードから@仮フラグが消去されると、スケジュールから@仮フラグを消去すればよい。
理解を容易にするために具体例を挙げて説明すると、
例えば、情報処理装置が、「Kさん」と「Lさん」と「Mさん」が参加する予定の「会議」についてのメールを送信する。このメールから「Kさん@仮」と「Lさん@仮」と「Mさん@仮」とを含む「会議@仮」というスケジュールが作成される。
スケジュール作成後、Kさんからスケジュールを確定するメールが返信されると、「Kさん@仮」は「Kさん」に更新される。
同様に、LさんMさんからスケジュールを確定するメールが返信されると、「Lさん@仮」は「Lさん」に、「Mさん@仮」は「Mさん」に更新される。
各人物用キーワードから@仮が消去されたスケジュール「会議@仮」は「会議」に更新され、スケジュールは確定される。
以上の様に、キーワードにフラグをたてることによって、より明確に約束事が完了・確定しているか否かをユーザは認識することができる。
しかし、修正する対象が明確であるかは、修正先を明確に特定できる情報であればよく、情報通信機能100に備えられた機能を利用してもよい。
例えば、多くのメーラは、受信したメールに対してメールを返信すると、どのメールに対しての返信であるかを返信したメールにリンクする機能がある。こういった機能を利用して、修正する対象を調べても良い。
しかし、類似しているかどうかの判断方法はこれに限らず様々な方法がある。
例えば、一致するキーワードの個数をもってスケジュールが類似しているかを調べても良いし、キーワードやカテゴリ毎に重み付けをして一致するキーワードの重みの合計でスケジュールが類似しているかを調べても良いし、キーワードをすでに登録されているスケジュールから縦型探索や横型探索をして類似しているか否か判断してもいいし、ヒューリスティクスな探索をしても良いし、他の探索方法・比較方法であってももちろんよいし、もちろんこれらの組み合わせであってもよい。
キーワードの抽出は、単にキーワードと同じ文字コードを抽出するだけではなく、もちろん文章の構造や特定の記述方法をキーワードとして設定してもよい。
例えば、スケジュールとToDoリストを分類せずに約束事管理機能300に登録してもよい。
また、作成する約束事の種類を限定してもよい。
例えば、スケジュールのみを作成して、約束事管理機能300に登録しても良いし、スケジュールとToDoの2つを作成して約束事管理機能300に登録しても良い。
なお、情報通信機能100とワークフロー機能200が同じプログラムであれば、上記実施形態で説明したようにシステムフックをする必要はなく、ローカルフックであることが好ましい。
一般に、システムフックよりローカルフックを用いる方がシステムは安定する。
また、インターネット上のサーバ装置が有するディスク装置等にプログラムを格納しておき、例えば、搬送波に重畳させて、情報処理装置にダウンロード等するものとしてもよい。
また、ワークフロー機能200がインストールされたパソコンにおいて、LAN回線を使用してファイルを移動する例を説明した。
しかし、情報処理装置は携帯電話やパソコンに限られず、スマートフォン、PHS(Personal Handy System)や電子メールの中継サーバなどの、通信機能を持ち文書情報を通信する機能をもつ装置であればよい。
ただし、情報処理装置がスケジュール機能を持たない場合は、ワークフロー機能200だけではなく、約束事管理機能300をインストールする必要がある。
例えば、PDF(Portable Document Format)ファイルであってもよいし、もちろん紙に印刷されたドキュメントをスキャンした画像ファイルであってもよい。
つまり、ワークフロー機能200は、通信されるファイルの種類に制限はない。
例えば、シフト管理サーバにワークフロー機能200をインストールする。
シフト管理サーバには、電子メールの通信機能とシフト情報を管理するシフト管理機能を備える。また、ワークフロー機能200のキーワード記憶部220には、キーワードとして、シフトの時間割に対応した「日時」と、従業員のメールアドレスや電話番号などの「従業員の識別情報」と、を記憶させる。
シフト管理サーバに、従業員が、シフトの希望日時を記載した電子メールを送信すると、シフト管理サーバは、受信した電子メールから希望日時と送信者を抽出し、抽出した希望日時と送信者からシフト情報を作成する。シフト管理サーバは作成したシフト情報とすでに登録されているシフト情報を比較し、重複していなければシフトを登録し、重複していれば、重複している旨を送信者に返信する。
これによって、ユーザは、専用のサーバにアクセスしなくとも、電子メールをサーバに送信するだけで、自動的にシフトを決定することができる。
例えば、図22(a)、(b)に例示するような広告メール・広告ページを処理し、広告文に記載された日時、場所、内容をワークフローに取りこむようにしてもよい。
また、以上の例では、ワークフローを中心に説明したが、例えば、図23に示すようにスケジュールやカレンダー(予定表)にスケジュールを登録するようにしてもよい。図23には、図22(a)、(b)から取りこまれた広告の内容も登録されている。図23に示すカレンダー(スケジュール)の6月22日の内容が図22(a)の広告に対応し、6月10日~13日の内容が図22(b)の広告に対応する。
ユーザが、表示を見て、確定ボタンをクリックすると、表示した内容をスケジュール等に登録する。ユーザが編集ボタンをクリックすると、制御部10は、約束事情報を編集する画面を表示し、編集を可能とする。その後、編集後の内容をスケジュール等に登録する。
また、キャンセルボタンがクリックされたときは、制御部10は、登録・更新を行わない。
この発明は、任意の文書から任意の情報項目を抽出して、任意のアプリケーションソフトウエアに提供するシステムに広く適用可能である。
以下、このような場合のシステムの動作について説明する。
情報処理装置1の制御部10は、通信部20が文書を取得する(例えば、文書を送信又は受信する、読み込む、)と、図25に示す文書解析処理を開始し、今回通信された文書を読み取り、記憶部30に展開する(ステップS301)。なお、記憶部30に文書を展開済の場合には、再度展開する必要はない。
次に、制御部10は、辞書を参照して約束事、予定、スケジュール等が記載されている可能性のある文(以下、対象文)を抽出する(ステップS304)。即ち、制御部10は、キーワードが含まれている文を抽出し、キーワードを含まない文を除去する。
具体的には、制御部10は、各文の先頭の文字から順番に、キーワード記憶部220に記憶されているキーワードのいずれかに該当するか否かを判別する。文字列がキーワードに一致すると判別すると、文字列(キーワード)とその位置(文と文のなかの位置)を特定する。
この判別のため、制御部10は、例えば、抽出したキーワードに、約束事を修正するあるいは完了・確定するキーワードが含まれているか否かを判別する。約束事を修正・完了・確定するキーワードが含まれている場合、更新であると判別する。一方、約束事を修正・完了・確定するキーワードが含まれていない場合は、新規の約束事であると判別する。
続いて、制御部10は、抽出したキーワードの内容で、約束事をスケジュール等に登録する(ステップS311)。或いは、アプリケーションプログラムに提供する。
一意に確定すると判別した場合(ステップS402;Yes)、制御部10は、既存の約束情報を削除するか否かを判別する(ステップS403)。例えば、既存の約束について、「キャンセル」、「延期」、「中止」などのキーワードが検出された場合には、削除と判別する。
続いて、必要に応じて、既存の約束情報を削除する(ステップS405)。
その後、処理はステップS310に進み、ステップS404で生成した約束事情報を登録する。
また、ステップS402で、更新対象の約束事が一意に確定できない(ステップS402;No)と判別したときには、更新可能性のある約束事情報を複数個作成し(ステップ406)、ユーザに選択させる。その後、適宜登録処理等を行った後、処理を終了する。
こうして抽出された情報は、任意のアプリケーションソフトに提供可能である。アプリケーションソフトも、記憶部30に格納された情報を利用して、種々の処理が可能である。

- 文書情報を送受信する通信機能と、約束事を記憶する約束事記憶機能と、を備える情報処理装置に、
複数のキーワードを記憶するキーワード記憶機能と、
前記通信機能が文書情報を送受信したことを捕捉し、当該文書情報が送受信された旨を送信する通信捕捉機能と、
前記文書情報が送受信された旨を受信し、前記文書情報が送受信された旨を受信すると、前記キーワード記憶機能が記憶する前記複数のキーワードに基づいて、当該送受信された文書情報から前記キーワードを抽出して出力するキーワード抽出機能と、
前記キーワード抽出機能が出力した前記キーワードを受け付け、受け付けた当該キーワードに基づいて、前記約束事記憶機能に新規に約束事を記憶させる新規約束事情報、あるいは、前記約束事記憶機能が記憶する前記約束事を修正させる修正約束事情報、を作成して出力する約束事情報作成機能と、
前記新規約束事情報を受け付け、受け付けた当該新規約束事情報に基づいて前記約束事記憶機能に新規に約束事を記憶させ、前記修正約束事情報を受け付け、受け付けた当該修正約束事情報に基づいて前記約束事記憶機能が記憶する前記約束事を修正する約束事更新機能と、
