Abstract
Description
第1の手法としては、書類に識別情報を含むICタグを付して、当該書類の各処理ポイントでICタグを読み取り、工程を管理するワークフロー管理システムが提案されている。
図5は第1の実施形態に係る文書管理支援システムの構成を示す模式図であり、図1に示した構成のうち、1台の情報管理サーバ装置100と、任意の1台の情報媒体制御装置300とを示している。なお、本実施の形態では、情報媒体制御装置300のうち、PC(Personal Computer)やモバイル端末を含む、上位アプリケーションを通して、当該情報媒体制御装置内で管理した管理ファイルを印刷する機能を有する機器を情報媒体制御装置310として扱う。
図24は第2の実施形態に係る文書管理支援システムの構成を示す模式図であり、図5と同一部分には同一符号を付してその詳しい説明を省略し、ここでは異なる部分について主に述べる。なお、以下の各実施形態も同様にして重複した説明を省略する。
Claims (5)
- 互いに通信可能な複数の情報媒体制御装置(3001~300m)及び情報管理サーバ装置(100)を備えた文書管理支援システムであって、
前記各情報媒体制御装置は、
管理ID及び電子データ本体を含む管理ファイルが書き込まれる管理ファイル管理テーブル(3161)を記憶する管理ファイル管理テーブル記憶手段(b1,316)と、
複製対象の電子データ本体に対応する管理ID、複製依頼者情報及び配布先情報の入力を受け付けると共に、前記入力を受け付けた管理ID、複製依頼者及び配布先情報を含む複製要求情報を送出する複製要求送出手段(b2,311,ST1)と、
前記送出された複製要求情報と、当該情報媒体制御装置のアドレス情報とを含む統御複製要求情報を前記情報管理サーバ装置に送信する統御複製要求送信手段(b3,312,314,ST4~ST5)と、
前記統御複製要求情報の送信後、当該統御複製要求情報内の管理ID、この管理IDとは異なる子管理IDを示す子管理IDタグ、及び前記配布先情報を有する管理台帳情報を含む処理結果情報を前記情報管理サーバ装置から受信する処理結果受信手段(b4,314,ST15)と、
前記複製対象の電子データ本体に対応する管理IDに基づいて、前記管理ファイルから電子データ本体を取り出し、当該取り出した電子データ本体、前記処理結果情報に含まれる子管理IDタグ及び配布先情報を含む文書印刷データと、前記管理台帳情報を含む管理台帳印刷データとを作成し、前記文書印刷データ及び管理台帳印刷データを出力する印刷データ出力手段(b5,315,317,ST17~ST18)と、
前記出力された文書印刷データにより印刷された紙文書を配布後に回収した場合に、この紙文書からタグ読込手段(500)により子管理IDタグが示す子管理IDが読み込まれると、当該読み込まれた子管理IDを含む回収済更新要求を作成し、この回収済更新要求を前記情報管理サーバ装置に送信する回収済更新要求送信手段(b6,311,312,314)と、
を備えており、
前記情報管理サーバ装置は、
前記管理ファイルの管理ID毎に、この管理IDに関連した子管理ID及びステイタス情報と、複製依頼者情報及び配布先情報に基づく利用制限ポリシとが書き込まれる系統管理テーブル(1052)を記憶する系統管理テーブル記憶手段(105)と、
情報媒体制御装置のアドレス情報に基づく許可ポリシを含むマスタポリシテーブル(1054)を記憶するマスタポリシテーブル記憶手段(105)と、
前記複製要求送信手段から受信した統御複製要求情報内の複製依頼者情報及び配布先情報が、前記統御複製要求情報内の管理IDに対応する前記系統管理テーブル内の利用制限ポリシを満たすか否かを判定する第1判定手段(a3,103,ST8)と、
前記受信した統御複製要求情報内のアドレス情報が前記許可ポリシを満たすか否かを判定する第2判定手段(a4,103,ST8)と、
前記第1及び第2判定手段による判定の結果、前記利用制限ポリシ及び前記許可ポリシを満たす場合、前記受信した統御複製要求情報内の管理IDとは異なる子管理IDを発行し、この子管理IDを当該統御複製要求情報内の管理IDに基づいて前記系統管理テーブルに書き込むと共に、書き込んだ子管理IDに対応するステイタス情報を「配布済」に更新する子管理ID発行手段(a5,104)と、
前記発行された子管理IDを示す子管理IDタグ、前記統御複製要求情報内の管理ID及び配布先情報を含む管理台帳情報を作成し、この管理台帳情報を含む前記処理結果情報を前記統御複製要求情報の送信元の情報媒体制御装置に送信する管理台帳情報作成手段(a6,106,104,102,101,ST11~ST14)と、
前記回収済更新要求送信手段から受信した回収済更新要求内の子管理IDに基づいて、前記ステイタス情報を「回収済」に更新する回収済更新手段(a7,104)と、
を備えたことを特徴とする文書管理支援システム。 - 互いに通信可能な複数の情報媒体制御装置(3001~300m)のうちの2台以上の各第1情報媒体制御装置と、前記複数の情報媒体制御装置のうち、前記各第1情報媒体制御装置とは異なる各第2情報媒体制御装置とを備えた文書管理支援システムであって、
前記各第2情報媒体制御装置は、
管理ID及び電子データ本体を含む管理ファイルが書き込まれる管理ファイル管理テーブル(3161)を記憶する管理ファイル管理テーブル記憶手段(b1,316)と、
複製対象の電子データ本体に対応する管理ID、複製依頼者情報及び配布先情報の入力を受け付けると共に、前記入力を受け付けた管理ID、複製依頼者及び配布先情報を含む複製要求情報を送出する複製要求送出手段(b2,311,ST1)と、
前記送出された複製要求情報と、当該情報媒体制御装置のアドレス情報とを含む統御複製要求情報を前記情報管理サーバ装置に送信する統御複製要求送信手段(b3,312,314,ST4~ST5)と、
前記統御複製要求情報の送信後、当該統御複製要求情報内の管理ID、この管理IDとは異なる子管理IDを示す子管理IDタグ、及び前記配布先情報を有する管理台帳情報を含む処理結果情報を前記情報管理サーバ装置から受信する処理結果受信手段(b4,314,ST15)と、
前記複製対象の電子データ本体に対応する管理IDに基づいて、前記管理ファイルから電子データ本体を取り出し、当該取り出した電子データ本体、前記処理結果情報に含まれる子管理IDタグ及び配布先情報を含む文書印刷データと、前記管理台帳情報を含む管理台帳印刷データとを作成し、前記文書印刷データ及び管理台帳印刷データを出力する印刷データ出力手段(b5,315,317,ST17~ST18)と、
前記出力された文書印刷データにより印刷された紙文書を配布後に回収した場合に、この紙文書からタグ読込手段(500)により子管理IDタグが示す子管理IDが読み込まれると、当該読み込まれた子管理IDを含む回収済更新要求を作成し、この回収済更新要求を前記情報管理サーバ装置に送信する回収済更新要求送信手段(b6,311,312,314)と、
を備えており、
前記各第1情報媒体制御装置は、
前記管理ファイルの管理ID毎に、この管理IDに関連した子管理ID及びステイタス情報と、複製依頼者情報及び配布先情報に基づく利用制限ポリシとが書き込まれる系統管理テーブル(1052)を記憶する系統管理テーブル記憶手段(105)と、
情報媒体制御装置のアドレス情報に基づく許可ポリシを含むマスタポリシテーブル(1054)を記憶するマスタポリシテーブル記憶手段(105)と、
前記複製要求送信手段から受信した統御複製要求情報内の複製依頼者情報及び配布先情報が、前記統御複製要求情報内の管理IDに対応する前記系統管理テーブル内の利用制限ポリシを満たすか否かを判定する第1判定手段(a3,103,ST8)と、
前記受信した統御複製要求情報内のアドレス情報が前記許可ポリシを満たすか否かを判定する第2判定手段(a4,103,ST8)と、
前記第1及び第2判定手段による判定の結果、前記利用制限ポリシ及び前記許可ポリシを満たす場合、前記受信した統御複製要求情報内の管理IDとは異なる子管理IDを発行し、この子管理IDを当該統御複製要求情報内の管理IDに基づいて前記系統管理テーブルに書き込むと共に、書き込んだ子管理IDに対応するステイタス情報を「配布済」に更新する子管理ID発行手段(a5,104)と、
前記発行された子管理IDを示す子管理IDタグ、前記統御複製要求情報内の管理ID及び配布先情報を含む管理台帳情報を作成し、この管理台帳情報を含む前記処理結果情報を前記統御複製要求情報の送信元の情報媒体制御装置に送信する管理台帳情報作成手段(a6,106,104,102,101,ST11~ST14)と、
前記回収済更新要求送信手段から受信した回収済更新要求内の子管理IDに基づいて、前記ステイタス情報を「回収済」に更新する回収済更新手段(a7,104)と、
からなる各手段がそれぞれ分散配置されたことを特徴とする文書管理支援システム。 - 情報媒体制御装置(300)であって、
管理ID及び電子データ本体を含む管理ファイルが書き込まれる管理ファイル管理テーブル(3161)を記憶する管理ファイル管理テーブル記憶手段(c1,3161)と、
前記管理ファイルの管理ID毎に、この管理IDに関連した子管理ID及びステイタス情報と、複製依頼者情報及び配布先情報に基づく利用制限ポリシとが書き込まれる系統管理テーブル(1052)を記憶する系統管理テーブル記憶手段(c2,105)と、
情報媒体制御装置のアドレス情報に基づく許可ポリシを含むマスタポリシテーブル(1054)を記憶するマスタポリシテーブル記憶手段(c3,105)と、
複製対象の電子データ本体に対応する管理ID、複製依頼者情報及び配布先情報の入力を受け付けると共に、前記入力を受け付けた管理ID、複製依頼者及び配布先情報を含む複製要求情報を送出する複製要求送出手段(c4)と、
前記送出された複製要求情報と、当該情報媒体制御装置のアドレス情報とを含む統御複製要求情報を送出する統御複製要求送出手段(c5)と、
前記送出された統御複製要求情報内の複製依頼者情報及び配布先情報が、前記統御複製要求情報内の管理IDに対応する前記系統管理テーブル内の利用制限ポリシを満たすか否かを判定する第1判定手段(c6)と、
前記送出された統御複製要求情報内のアドレス情報が前記許可ポリシを満たすか否かを判定する第2判定手段(c7)と、
前記第1及び第2判定手段による判定の結果、前記利用制限ポリシ及び前記許可ポリシを満たす場合、前記送出された統御複製要求情報内の管理IDとは異なる子管理IDを発行し、この子管理IDを当該統御複製要求情報内の管理IDに基づいて前記系統管理テーブルに書き込むと共に、書き込んだ子管理IDに対応するステイタス情報を「配布済」に更新する子管理ID発行手段(c8)と、
前記発行された子管理IDを示す子管理IDタグ、前記統御複製要求情報内の管理ID及び配布先情報を含む管理台帳情報を作成し、この管理台帳情報を含む前記処理結果情報を送出する管理台帳情報作成手段(c9)と、
前記送出された処理結果情報内の管理台帳情報に含まれる管理IDに基づいて、前記管理ファイルから電子データ本体を取り出し、当該取り出した電子データ本体、前記管理台帳情報内の子管理IDタグ及び配布先情報を含む文書印刷データと、前記管理台帳情報を含む管理台帳印刷データとを作成し、前記文書印刷データ及び管理台帳印刷データを出力する印刷データ出力手段(c10)と、
前記出力された文書印刷データにより印刷された紙文書を配布後に回収した場合に、この紙文書からタグ読込手段(500)により子管理IDタグが示す子管理IDが読み込まれると、当該読み込まれた子管理IDを含む回収済更新要求を作成し、この回収済更新要求を送出する回収済更新要求送出手段(c11)と、
前記送出された回収済更新要求内の子管理IDに基づいて、前記ステイタス情報を「回収済」に更新する回収済更新手段(c12)と、
を備えたことを特徴とする情報媒体制御装置。 - 管理ファイルの管理ID毎に、この管理IDに関連した子管理ID及びステイタス情報と、複製依頼者情報及び配布先情報に基づく利用制限ポリシとが書き込まれる系統管理テーブル(1052)と、情報媒体制御装置のアドレス情報に基づく許可ポリシを含むマスタポリシテーブル(1054)との各テーブルを保持する情報管理サーバ装置(100)に通信可能な情報媒体制御装置(300)であって、
管理ID及び電子データ本体を含む前記管理ファイルが書き込まれる管理ファイル管理テーブル(3161)を記憶する管理ファイル管理テーブル記憶手段(b1,316)と、
複製対象の電子データ本体に対応する管理ID、複製依頼者情報及び配布先情報の入力を受け付けると共に、前記入力を受け付けた管理ID、複製依頼者及び配布先情報を含む複製要求情報を送出する複製要求送出手段(b2,311,ST1)と、
前記送出された複製要求情報と、当該情報媒体制御装置のアドレス情報とを含む統御複製要求情報を前記情報管理サーバ装置に送信する統御複製要求送信手段(b3,312,314,ST4~ST5)と、
前記情報管理サーバ装置において、前記複製要求送信手段から受信した統御複製要求情報内の複製依頼者情報及び配布先情報が前記統御複製要求情報内の管理IDに対応する前記系統管理テーブル内の利用制限ポリシを満たすか否かを判定し、前記受信した統御複製要求情報内のアドレス情報が前記許可ポリシを満たすか否かを判定し、前記利用制限ポリシ及び前記許可ポリシを満たす場合、前記受信した統御複製要求情報内の管理IDとは異なる子管理IDを発行し、この子管理IDを当該統御複製要求情報内の管理IDに基づいて前記系統管理テーブルに書き込むと共に、書き込んだ子管理IDに対応するステイタス情報を「配布済」に更新し、前記発行した子管理IDを示す子管理IDタグ、前記統御複製要求情報内の管理ID及び配布先情報を含む管理台帳情報を作成し、この管理台帳情報を含む前記処理結果情報を送信することにより、前記情報管理サーバ装置から送信された処理結果情報を受信する処理結果受信手段(b4,314,ST15)と、
前記受信した処理結果情報内の管理台帳情報に含まれる管理IDに基づいて、前記管理ファイルから電子データ本体を取り出し、当該取り出した電子データ本体、前記管理台帳情報内の子管理IDタグ及び配布先情報を含む文書印刷データと、前記管理台帳情報を含む管理台帳印刷データとを作成し、前記文書印刷データ及び管理台帳印刷データを出力する印刷データ出力手段(b5,315,317,ST17~ST18)と、

前記情報媒体制御装置に入力された複製対象の電子データ本体に対応する管理ID、複製依頼者情報及び配布先情報を含む複製要求情報と、当該情報媒体制御装置のアドレス情報とを含む統御複製要求情報を前記情報媒体制御装置から受信する手段(101)と、
前記受信した統御複製要求情報内の複製依頼者情報及び配布先情報が、前記統御複製要求情報内の管理IDに対応する前記系統管理テーブル内の利用制限ポリシを満たすか否かを判定する第1判定手段(a3,103,ST8)と、
前記受信した統御複製要求情報内のアドレス情報が前記許可ポリシを満たすか否かを判定する第2判定手段(a4,103,ST8)と、

前記情報媒体制御装置において、前記受信した処理結果情報内の管理台帳情報に含まれる管理IDに基づいて、前記管理ファイルから電子データ本体を取り出し、当該取り出した電子データ本体、前記管理台帳情報内の子管理IDタグ及び配布先情報を含む文書印刷データと、前記管理台帳情報を含む管理台帳印刷データとを作成し、前記文書印刷データ及び管理台帳印刷データを出力し、前記出力した文書印刷データにより印刷された紙文書が配布後に回収された場合に、この紙文書からタグ読込手段(500)により子管理IDタグが示す子管理IDが読み込まれると、当該読み込まれた子管理IDを含む回収済更新要求を作成し、この回収済更新要求を送信することにより、前記回収済更新要求を前記情報媒体制御装置から受信する手段(101)と、
前記受信した回収済更新要求内の子管理IDに基づいて、前記ステイタス情報を「回収済」に更新する回収済更新手段(a7,104)と、
を備えたことを特徴とする情報管理サーバ装置。
