工资册管理方法和装置
                            发明领域
本发明涉及一种用于管理工资册(payroll)的方法和装置,其中该工资册属于依据实际参加或工作的时间支付雇员工资的类型。
                            背景技术
用于管理这个类型的工资册的现有系统通常要求准备登记表(roster),并由雇员(或由打卡钟(time clock)或计时卡(time sheet)等)输入实际工作的时间。由于雇员的病假、迟到、加班、早退等,实际工作的时间一般不能准确对应于记录的小时。
记录在计时卡或其它方式上的累计工作时间的详情被送给主管并认可,然后送到工资册管理部门处理。该实际工作时间和累计小时与登记表相比较,以便平常工作的勤奋或缓慢、由于生病等的缺勤、或其它任何重要问题可被监视、记录并采取适当的行动-如果有的话。
工资册管理部门将所有工资数量登入到普通分类帐中的特殊账目以及利息账目用于将来支付工资。采取的是法定报告和EFT(电子资金转账)提交并将适当的金额发送给相关职权或财务机构。工资册管理部门也必须准备工资单,在没用使用EFT的情况下该工资单随工资发给每个雇员。
周期性地,将准备并提交年度收入和税后进款等的声明(在某些管辖区域内指代“集体证明书(Group Cerificates)”)。这样的现有系统的举例如图1所示的流程图,从招聘雇员的步骤到最后发送集体证明书的步骤。
然而,这样的现有技术系统需要大量的数据输入,包括输入数据到原始登记表、计时卡以及工资册管理系统中。
                          发明内容
本发明的一个目的在于提供一种方法和系统,用于通过组合这些步骤来减少所需的大量数据输入。
依据本发明,因此提供了一种维护工资册的方法,包括:
准备登记表;
将所述登记表存储在处理部件中;
在所述处理部件中接收关于一个或多个员工的出勤信息;以及
通过所述处理部件,比较所述登记表和所述出勤信息并由此准备工资册。
因此,登记表维护和出勤信息输入相结合避免了对单独工资册数据输入或对计时卡的需要。如果仍然想要实际计时卡(例如,用于雇员的记录或遵照法律的要求),对于每个雇员能够容易地从出勤信息中产生计时卡。然而,准备工资册不需要计时卡。
“出勤信息”这个术语用于指员工工作的时间的任何计量。在某些情况下,一个员工可以在一个工作地点内工作于不同的职位,每个职位有不同的工资支付率(pay rate)。在这种情况,出勤信息最好包括关于在每个单独职位内员工的出勤信息。
出勤信息最好包括到达或开始时间以及离开或结束时间。
所述方法最好包括从每个员工接收所述出勤信息。
所述方法最好包括通过由每个员工可操作的数据输入部件,接收所述出勤信息。
所述数据输入部件最好包括身份卡和身份卡读取器。该卡可为智能卡。或者,该数据输入部件可包括一个键盘、一个指纹读取器或虹膜读取器。
因此,该数据输入部件可以识别每个员工并向处理部件发送该员工的身份以及到达和离开的时间。
准备工资册的步骤通常不包括认可或支付工资册;认可工资册一般被认为是将由一人单独执行的操作。然而,如果任何特定员工的出勤信息满足预定的标准(如在一定公差范围以内与原始登记表相符),该方法可包括关于那个特定员工的工资册的附加认可步骤。例如,如果员工在每个列入登记表的开始和结束时间的5分钟以内开始和结束工作,并该员工的全部出勤是在那个员工记录的全部小时的1%以内,该方法包括自动认可该员工的工资。
在这样的实施例中,该方法最好包括通过电子资金转账将工资转账到员工的银行账目,计算并向适当的法定机构转账所要求的收入所得税,并产生工资单(pay slip)。
该方法最好包括检查员工和登记表的一致性,并提供指明一致性的差别大于预定水平的输出。
本发明还提供了一种用于维护工资册的装置,包括:
登记表准备部件;以及
处理部件,用于存储所述登记表,接收关于一个或多个员工的出勤信息,并比较所述登记表和所述出勤信息;
由此所述处理部件被配置或可操作以准备工资册。
该出勤信息最好包括到达或开始时间以及离开或结束时间。
所述装置最好包括由每个员工可操作的数据输入部件,以输入各个出勤信息。
所述数据输入部件最好包括身份卡和身份卡读取器。该卡可为智能卡。或者,该数据输入部件可包括一个键盘、一个指纹读取器或虹膜读取器。
该装置最好包括认可部件,用于确定所述工资册或其一部分是否满足预定的标准,并且如果满足预定的公差,认可所述各个工资册或其一部分。所述装置最好包括资金转账部件,用于依据所述认可转账资金。所述装置最好包括用于准备工资单的工资单准备部件。
所述装置最好包括一致性监视部件,用于监视员工和所述登记表的一致性,并输出或指明该一致性的差别大于预定水平的输出。
本发明也提供了可直接装在计算机内存中的计算机程序产品,包括当该产品在计算机上运行时用于执行上述方法步骤的软件代码部分。
本发明还提供了存储在计算机可用介质上的计算机程序产品,包括用于使得计算机执行上述方法步骤的计算机可读程序部件。
本发明还提供了有程序记录其上的计算机可读介质,其中,所述程序用于使计算机运行上述方法。

                          具体实施方式
在图2中示出了依据本发明的优选实施例的工资册管理系统。该系统包括实现每项下述功能(不同于那些需要人工干预的)的运行程序的计算机。
通过正常渠道招聘潜在的雇员,招聘成功的雇员进入系统的数据库。
对于组织内部的每个操作,(最好直接在系统上)产生登记表并存储在系统上。每个登记表由系统记入成本。每个登记表具体表现该组织内各个部门的每个雇员计划或要求的出勤。管理人员通过这样登记表通知雇员在指定的时间段内他们所需的出勤。
雇员通过连接到该系统并用键盘操作的电子打卡钟,记录他们实际的出勤。每个雇员被指配有一在到达和离开时输入的个人识别号(PIN)。该系统基于PIN识别雇员,并对该雇员记录到达和离开的时间。
在其它实施例中,提供指纹识别垫代替键盘和PIN:雇员按要求将手指或拇指放在垫上,以便该系统能够识别该雇员并记录相应的到达和离开时间。
然后系统自动比较每个雇员的出勤和那个雇员的登记表,如果他们一致,计算合适的工资:不需要另外的输入。该工资数据然后可以被自动地从该系统送往普通分类帐、发薪人员或直接送往银行用于支付雇员工资和其它福利。
如果时间和出勤功能识别到在登记表和那名雇员的出勤时间之间有差异,该系统将标志该差异并要求管理人员的人工干预,以决定相关时段内那名雇员将基于什么被支付工资。减少的工资可以被认为是合适的,或如果管理人员被告知一个合理理由(如由于生病或照顾性休假)则计算适当的病假工资等。可基于工资认可或工资册运行采取这个功能。
该系统包括包含工资支付率数据的数据库,(在某些管辖范围内指代“奖金”),以使能上述的适当的工资计算。这个数据也用于计算与每个雇员的雇佣有关的法定捐税。该系统也使用这个数据来预计特别登记表的计划的工资册费用。
一旦工资册的每个部分(当出勤/登记表差异在可接受水平以内时由系统,或当该差异不在可接受水平内时通过人工)批准,工资可被电汇到相应的账户。
然后该系统产生雇员的工资单,以及管理人员所需的工资册报告(包括来自登记表、工资、退休金、税费等的详细差异以及工资费用预计)。
因为该系统存储登记表,该登记表可从以前的登记表复制,以加速为特殊商业环境而特制的特定后续登记表的生成。
该系统也可用于通过使用工资登记表来批准工资的方式处理工资,而不需正式的出勤处理时间。这可用于雇员不想查证所有雇员或部分雇员出勤的情况。
该系统也允许雇员访问他们自己的登记表、出勤详情以及工资详情,因此减少了分发这样的数据和材料的费用。这也使得除了银行详情之外并不想收到其工资等正式文件的雇员不会收到这些文件。这个功能降低了工资册处理的费用。
另外,雇员可以访问该系统以通报特殊的未来时期的不可用性,以确保管理人员后来准备的登记表仅包括有效的雇员。

Claims (23)

1.一种维护工资册的方法,包括:
准备登记表;
将所述登记表存储在处理部件中;
在所述处理部件中接收关于一个或多个员工的出勤信息;以及
通过所述处理部件,比较所述登记表和所述出勤信息并因此准备工资册。
2.如权利要求1所述的方法,其中,所述出勤信息包括到达或开始时间以及离开或结束时间。
3.如权利要求1或2所述的方法,包括从每个员工接收所述出勤信息。
4.如以上任何一项权利要求所述的方法,包括通过每个员工可操作的数据输入部件,接收所述出勤信息。
5.如以上任何一项权利要求所述的方法,其中,所述数据输入部件包括身份卡和身份卡读取器。
6.如权利要求5所述的方法,其中,所述卡为智能卡。
7.如以上任何一项权利要求所述的方法,包括如果关于所述各个员工的出勤信息满足预定的标准,认可关于各个员工的所述工资册。
8.如权利要求7所述的方法,其中,所述预定的标准包括允许关于所述各个员工的所述登记表和所述出勤信息之间有预定的公差。
9.如权利要求7所述的方法,其中,所述预定的标准包括允许对于所述各个员工,在登记的和实际的开始之间、在登记的和实际的结束时间之间或两者之间都在预定的时间间隔以内。
10.如权利要求7至9的任何一个所述的方法,其中,所述预定的标准包括允许对于所述各个员工,在登记的和实际的全部出勤之间在预定的时间间隔或因素以内。
11.如权利要求7至10的任何一个所述的方法,包括自动支付,或开始支付所述各个员工。

22.一种存储在计算机可用介质上的计算机程序产品,包括用于使得计算机执行上述权利要求1至12、19和20的任何一个所述的工资册的维护方法步骤的计算机可读程序部件。
