Definitions
- the invention relates to an automatic form-controlled method Exchange of information between subscriber stations and a facility for performing this method.
- Telecommunications subscribers also from far away areas and also from different continents can interact with each other in this way talk, they can send letters and digital records to transfer.
- Such work routines offer considerable potential of acceleration, rationalization and bypassing human participation, including error avoidance. For example can make phone calls on answering machines record, fax printouts can be scanned or are digitized directly. But still this information must still treated, corrected and checked become.
- the technology stays up even in the work routines tailored to people. So there are always smarter ones and more powerful devices, for example optical Text recognition where handwriting is automatically recognized and be digitized.
- optical Text recognition where handwriting is automatically recognized and be digitized.
- the integration of such digital data in industry-specific computer programs for everyday work routines however, is always done by the user. It a technically consistent overall concept with an organic one is missing Solution.
- WO 92/12494 is a machine translation system and transmission of texts known in which a first subscriber station a text information by fax to a second Subscriber station transmits in which the text automatically is translated into another language. Then the Information sent back to the first subscriber station by fax.
- the advantage of the method according to the invention is that that with the help of a previously requested, user specific prepared and fillable in specific data fields and / or form-controlled input form supplemented with data access to appropriate processing programs and the result of processing in application specific completed answer forms will be sent back can.
- information is displayed in the grid of a fax printout or a set from a first subscriber station Posted. This information is from a second Subscriber station, namely the communication device as received the same fax printout or sentence.
- the fax printout or the sentence is recognized and digitized.
- the grid is eliminated and the information it contains is stored as digital data records in a computer and industry-specific computer programs and expert systems fed. Edited the communication device the data sets with such computer programs and expert systems independently and automatically and hits independently Decisions. Low priorities have tasks who make no specific contribution to the advancement of communication afford, but are still necessary, for example subordinate work routines, such as confirmations of receipt, Money orders, etc.
- the process is fully automatic, because it differs for phone calls or online connections via modems, the subscriber stations without human subscribers in the be in direct or indirect contact with one another, and for the communication a communication line is not permanent must be maintained (the connection is "offline").
- This method is diverse and therefore has a considerable one Potential to increase productivity.
- Figure 1 are the individual in a schematic diagram Steps of the method according to the invention shown. This The diagram gives the basic idea of the process in abstract form again.
- a telecommunications network 1 is via terminals 2 and 9 like telephone devices, Fax machines, modems or telecommunications computers can be reached.
- terminals 2 and 9 are widespread and in the various embodiments available, for example as stand-alone tabletop devices, as built-in computers Plug-in cards or as combination and multi-function devices.
- Communication begins, for example, with Transmission of information 8 from a first subscriber station via a first terminal 9 to a second terminal 2 a second subscriber station through the telecommunications network 1.
- the telecommunications network 1 can be on an analog or digital basis work.
- Telecommunication networks 1 based on digital are for example the IDN (Integrated Digital Network) and the ISDN (Integrated Services Digital Network).
- Terminal 2 the second subscriber station is on data acquisition devices 3 such as scanner, voice decoder / voice encoder connected. Also such devices, especially the scanners, are in a wide variety Embodiments available.
- Terminals 2 and the data acquisition devices 3 can be quite different. Fax machines, for example, often provide paper printouts that are about brought an automatic conveyor to a scanner and can be scanned there, or they deliver directly digital data records, for example graphic files. scanner can type and also handwriting independently detect. Fonts are recognized as alphanumeric characters and digitized. Modems generally supply digital data sets. Telephone devices reproduce voices that can temporarily stored on an answering machine, or they are immediately recognized by a voice decoder as acoustic signals deciphered and digitized as data sets. Videophone devices provide image information in addition to the voice, which are digital records using special modems can receive. All of these data acquisition devices 3 are known and can be varied in many different ways by the expert Install embodiments. In the description according to the Figures 2 and 3 are two advantageous embodiments explained in more detail.
- the incoming information 8 such as fax printouts or sentences is thus recognized by data acquisition devices 3 and, if necessary, translated into digital data sets, for example for Personal computers are readable as ASCII or graphic files. Of course, other computers can also be used, such as workstations or mainframe.
- the translation happens automatically, For example, microprocessor-controlled and freely programmable. Depending on the type, size and length of time received Information 8, as well as in function of the capacity of the Data acquisition devices 3 can do this within seconds or Minutes happened. Loses with this information recognition the information 8 their original, when they are received Grid.
- This digital data is transmitted via suitable connections, for example an intelligent SCSI interface transferred to a computer 4. Here you can for example, they are stored on a hard disk, or they become direct for rapid information processing loaded into a computer program 5.
- Such computer programs 5 can be any, for example be industry-specific software packages. So loads a word processing software who translated into digital records Information 8 as letters, communications, magazines, etc., industrial software loads them as forms, reports, receipts, etc., insurance or trading software loads them as contracts, damage reports, order forms, receipts, Delivery and shipping notes etc.
- the computer program 5 need not be a single computer program, but can of course also several and for example with each other a user interface connected computer programs.
- Such computer programs 5 are by specialists or users programmable. This specialist knowledge is in so-called Expert systems 6 included. Expert systems 6 are running fully automated, for example as simple macros, where they react to license plates. For example, it says in the heading of a read data record "receipt", and a customer number "0815" is given, then can this record automatically as a customer's receipt with the Customer number 0815 can be identified. Usually will but uses expert systems 6 that are much more than simple macros can, namely by using an intelligent one (Independent) prioritization of incoming information make. Like such a programmatic weighting or decision making can be done in detail, the exemplary embodiment of a data-gatherable form according to FIG. 4.
- This automatic decision making via expert systems 6 has a central meaning in the diagram according to FIG it controls and directs the data flow.
- the expert system 6 offers several options for getting started and continuing the communication. For example, one in the computer program 5 prepared faxes answered directly be by a prefabricated, stored in the computer 4 Form letter via a Terminal 2 like a fax machine to the first Subscriber station is sent back. Choosing the first participant station, sending the form letter via Terminal 2, done by the communication device 10 automatically, the telecommunications number of this first subscriber station is saved and known, for example.
- the expert system 6 can also decide to make a hard copy of the prepare incoming and processed information 8 let by this information 8 for example by a Output unit 7, such as a printer, is printed out.
- the expert system 6 can decide to own one Information 8 directly into another computer program 5 enter the communication device 10.
- the fax a first subscriber station can for example the communication device 10 can supplement, expand this information 8.
- other computer programs 5 can further process the information 8.
- This reprocessed information 8 can Expert system 6 to be repeated later Decision making will be presented.
- Computer program 5 and Expert system 6 thus work closely together and form one Unit.
- FIG. 2 shows a first exemplary embodiment of the method according to the invention shown. This exemplary The embodiment relies on the abstract form of the method according to Figure 1. Give the suffixes of the reference numerals here a certain, advantageous embodiment of objects according to Figure 1.
- the second subscriber station receives this information 8 via a second fax machine 2.f as Terminal.
- This fillable digital form 8.1 is for example in previous procedural steps from the second Subscriber station to be filled in at the first subscriber station been sent.
- the first fax machine is 9.f. it is a commercially available table-top device that uses the form 8.1 moves in, the second fax machine 2.f is a fax card built into a computer.
- the Fax machine 2.f converts the information 8 into, for example digital records like a graphic file.
- the information 8 thus lies in a grid, for example in a grid an A4 printout in a corresponding graphic file in front.
- a data acquisition device as a form reader 3.f are fed.
- the form reader 3.f works like a scanner, it is your own, independent device, which uses font recognition, in particular handwriting recognition, for example according to the principle of angular section analysis.
- the reading quality of such form readers 3.f for example the Allfont readers from CGK, has been proven and sufficient to work in many areas of companies or organizations from industry, trade and administration to become.
- Such a form reader 3.f delivers digital data records, which contains the information 8 of the form 8.1, so that the information 8, for example in the form of ASCII data records to an intelligent SCSI interface Computer 4 can be transferred.
- the computer reads these digital records in, for example industry-specific computer programs 5, which the Information 8 independently and automatically together with expert systems 6 edit.
- This process of the communication device 10 is fully automatic and fully electronic.
- the decision making of the expert system 6 need not be in take place on the same computer. According to Figure 2 it can are also a standalone computer on a network. This not only enables a time offset of the Communication, but it also allows spatial Separation of individual components of the communication device 10.
- the receiving fax machine 2.f, the form reader 3.f, the computer 4 and the individual computer programs 5 and expert systems 6 in single-user computers can be spatially wide separated from each other, creating a centralization expensive and relatively maintenance-intensive components, i.e. the Data acquisition devices such as the form reader 3.f and decentralization of the terminals like the fax machines 2.f and of course a decentralization of the computer programs 5 and Expert systems 6 is possible.
- This information 8 is weighted by an expert system 6 to the extent that the information 8 of the completed Form 8.1 has lost its original grid and now in the form of a relevant for the internal work processes Form is present. For example, from a completed order form become a complete customer dossier.
- This Customer dossier indicates in addition to the external product information Quantity and quality such as size, mass, Weight, price, etc. of course also internal product information such as customer number, availability, Delivery date, etc.
- Such internal operations are performed by the computer programs 5 executed automatically. This is done through the expert system 6 controlled.
- the customer dossier can, for example be incomplete so that the communication device 10 with the first subscriber station or with computer programs in the computer 4 connects and more and more information 8 solicits or requests.
- the communication device 10 can also be satisfied with the information 8 received and can be, for example, an offer or a Order confirmation in response to the first subscriber station send.
- the communication process can run very quickly. It can work as it were in the bullet so that none or only a few Queries and decision loops take place. On The completed form can be received from the communication facility 10 can be answered within seconds. The Number of decisions, how fast, how complicated the internal Work processes are designed entirely in architecture of computer program 5 and expert system 6. This are fully automated by the communication device 10 and fully electronic.
- the first subscriber station receives an answer as form 8.2 on the fax machine 9.f.
- a first one Circle of communication in the communication method according to the invention has closed with it.
- Such closed Rings of communication can of course be any number of times, too repeated with different content and finally they can also be viewed from different sides, i.e. from the first or second subscriber station can be started. For example a three cycle can take place.
- the communication device 10 answers the first Subscriber station according to Figures 1 to 3 with an inquiry. Thereupon it receives from the communication device 10 sent an offer, then an order is placed the first subscriber station, which in turn with an order confirmation the communication device 10 answered becomes. Finally, from the communication facility 10 delivery note and invoice sent, everything automatically.
- FIG. 3 shows a second exemplary embodiment of the method according to the invention shown.
- This second embodiment invokes the abstract form of the procedure according to FIG. 1 and according to the specific first embodiment Figure 2.
- the function of the grid in the form of a fillable data-recordable form according to Figure 2 is now from an expandable form that can be entered.
- the Structure of such forms is shown in the description according to FIG 4 explained in detail.
- This expandable data-recordable form 8.1 is for example in previous procedural steps from the second Subscriber station to be filled in at the first subscriber station been sent.
- the one in this, from the first subscriber station machine-supplemented form 8.1 contained information 8 is in the second subscriber station evaluated according to the invention.
- the information 8 in the grid of the additional data-recordable form 8.1 is in a computer at the first subscriber station.
- the transfer of information 8 to the first modem 9.c is done via a computer cable.
- This first modem is 9.c.
- the second subscriber station receives this information 8 from the telecommunications network 1 a second modem 2.c as a terminal.
- the second modem is 2.c. a modem card built into a computer.
- the transmitted Information 8 is still in the grid of the supplemented data recordable Form 8.1.
- the information 8 is now via a computer cable or commercially available computer interface a data acquisition device like a form reader 3.f fed.
- the form reader 3.f works like a scanner, it is a separate, independent one Device that has a font recognition.
- Such a form reader 3.f delivers digital data records, which contains the information 8 of the form so that the information 8 for example as ASCII data records via an intelligent SCSI interface transferred to a computer 4 can be.
- the information 8 loses in this Font recognition after receipt at the second subscriber station given grid.
- the information 8 is in the Computer 4 in industry-specific computer programs 5 automatically read. It becomes independent in the computer 4 and again automatically in the computer programs 5 together with Expert systems 6 edited. Take the expert systems 6 an (independent) prioritization of the incoming information 8 before. See the description for details according to FIG. 2.
- FIG. 4 shows an exemplary embodiment of a data recordable Form shown. Such an exemplary Embodiment of a form is suitable for use in Method according to the invention according to FIGS. 1 to 3.
- Form 11 fulfills various functions and transmits different types of information. It can be standardized be, for example in A4 format, with marginal zones at the top and below, as well as left and right, within which information in data fields 12, 13, 14 and 15 can be entered. This On the one hand, information is of a personal nature, like personal information Data fields 12, which contain information about the addresses of a sender and that of an addressee 12.2, but which also includes information about the name and type of the form 12.1 and contain the actual personal communications 12.3. These personal communications 12.3 make it easier Filling out form 11. Form 11 can be done by hand or be typed in relevant data fields 13, 14.
- Such forms 11 can be used in duplicate.
- Such an industry-specific form 11 can be obtained from Communication device as fax or modem message sent to a large number of subscriber stations simultaneously become. Those arriving at the communication facility again Messages are automatically sent from data collection devices as recognized by form readers. You take one Font recognition of fax printouts or modem transmissions before, so that those typed by machine or hand Information can be recognized and digitized. You can also Transmission errors such as distortion, reduction and Enlargement of machine or hand-written information correct on the fax printouts. These digitized Fax printouts are in digital records industry-specific computer programs can be read in there the data sets were evaluated and processed in accordance with expert systems and assigned a priority. Leave this way all incoming fax and modem transmissions automatically convert into internal work routines. Form 11 this naturally loses its original grid. Important is that the information in the data fields is automatically recognized and is read into computer programs.
- the expert system makes the decisions according to criteria, that are on Form 11 and have been digitized, or it makes the decisions according to criteria that are software are in its program code. For example, in one personal data field 12 information about name and Type of form 12.1 may be included. On an abbreviation "Form No. 3" the expert system responds by the Information of the form 11 in a computer program "Computer program No. 3" loads. But the expert system can also independently from the content of form 11 to the Close processing necessary computer program. In this The criterion for such a decision comes from the case Program code of the expert system. For example, in the form 11 contain information that the computer program and perceives the expert system and form 11 automatically handle correctly without being explicitly on the Form 11 is highlighted.
- Form 11 according to standards for tenders in a certain industry have been designed.
- Form 11 was sent as an offer request transmitted to first subscriber stations and out the type of information received from a first subscriber station Returned Form 11 is included from the communication facility in the industry-specific Software evaluated correctly.
- the expert system based on specific passwords in the form make a clear assignment.
