Definitions
- the present invention relates to the field of mail processing and more particularly to the devices ensuring for its dispatch a complete preparation of a mail item, from the creation of the document to the franking of the envelope in which this document will be inserted. .
- EP 0 265 192 discloses a mail processing system associating around a central computer (system controller) on the one hand a first laser printer followed by a folder / inserter ensuring the folding and the insertion of documents in envelopes and secondly a second ink jet printer printing the address of the recipient on these envelopes. It should be noted that such a system does not envisage the postage of the mail articles thus produced. In addition, the printing of the address directly on the envelopes already containing the documents is not without creating some difficulties in the quality of printing, because of the varying thicknesses that these envelopes may have.
- US Patent 5,684,705 discloses an envelope provided with an electronic memory in which a postage meter can write the data of a postal fingerprint.
- the present invention provides a fully self-contained system that can be used very simply in a conventional office environment and is intended to completely handle a mail item, from the constitution of the individual document or documents forming that mail item to the closing of this article with a view to its dispatch, through the folding and the insertion of the documents in an envelope, the impression on this envelope of all useful information including the recipient's address and the posting of the postal stamp.
- An object of the invention is to provide a system that allows high processing rates.
- Another object of the invention is to propose a system which limits the possibilities of fraud during an incomplete preparation of the mail article, as in the case of jamming of documents.

- FIG. 1 schematically illustrates the architecture of a multifunctional autonomous mail preparation system according to the invention.
- This system which can be connected to an external communication network 10, of the switched telephone network (PSTN) or integrated services network (ISDN) type, consists of three main components cooperating with each other: a computer or microcomputer 12, a digital imaging device (Digital imaging device 14) and a folder / inserter 16.
- PSTN switched telephone network
- ISDN integrated services network
- the computer 12 is a general-purpose computer, for example a personal computer of the PC type or the like (but a workstation or a network computer may also be suitable), typically comprising a central processor to which are connected by a link bus standardized program memories (for example of the ROM or EEPROM type), data memories (of the RAM or equivalent type) and several input / output modules.
- program memories for example of the ROM or EEPROM type
- data memories of the RAM or equivalent type
- modules conventionally provide the interface between the central processor of this computer and various associated peripherals, such as a keyboard, a set of pointing (in particular ball or mouse), a display terminal (plasma or liquid crystal for example), a data storage device (a hard disk or a CD-ROM), a modulator / demodulator (analog or type cable modem according to the nature of the network link 10), the digital image forming device and the folder / inserter.
- peripherals such as a keyboard, a set of pointing (in particular ball or mouse), a display terminal (plasma or liquid crystal for example), a data storage device (a hard disk or a CD-ROM), a modulator / demodulator (analog or type cable modem according to the nature of the network link 10), the digital image forming device and the folder / inserter.
- the computer also comprises software means for ensuring on the one hand the various accounting functions (advantageously secured by means of appropriate encryption software) generally associated with a traditional franking machine and on the other hand conventional functions of facsimile transmission and reception, document processing (including graphics), receiving and sending e-mail on the global network also known as the Internet.
- the digital image forming device 14 is a multipurpose device for general use providing both a printing function advantageously in color, laser or inkjet type, a scanning function advantageously in color and a function of sending faxes. Its implementation, in standalone mode or from the computer 12, is performed in a very conventional manner through software means known per se. In particular, apart from its function of preparing mail items, this device can be used on the one hand as any document printing terminal in connection with standard software market such as Word, Excel, or Access for example ( software from Microsoft Corporation) installed in the computer 12. In stand-alone mode, it can also be used as any color scanning (scanner) or color-copying (copier) terminal. In addition, thanks to its function of sending faxes, it can also be used as any fax machine directly from scanned documents.
- some of the documents to be printed, or preferably the envelopes are provided beforehand with an electronic tag comprising a writable microcircuit (also called transponder) in which, by a write operation by means of a adequate registration device, it is possible to enter various information including secure franking information, the reading of this information is then made directly by postal administration by means of a specially adapted contactless reading device.
- a writable microcircuit also called transponder
- Folder / inserter 16 may be a conventional folder / inserter of the type described in patent EP 0 352 692 in the name of the applicant and which will be added specific modules supply envelopes and electronic marking to allow the previous write operation necessary for affixing the postal stamp, or else be specially designed for the mail preparation system according to the invention as will be explained further.
- the processing of the document and the envelope 60 is essentially ensured. that is to say the initial production of the document (its input with, if necessary, the addition of graphic elements), its possible modification and its sending on the communication network 10 in the form of a fax 62 or an electronic mail 64, as well as the entry of the envelope data (recipient, sender, etc.) excluding those relating to the postal imprint.
- this document can also come from the communication network directly by fax 66 or by e-mail 68 and possibly be reprocessed 60.
- the document thus produced, received directly or reprocessed can then be printed 70 on the digital image forming device 14 and then folded and inserted in an envelope 72 before being franked 74 for shipment.
- the printing 70 can also be done directly from a scanned document 76 in the device 14, which digitized document can be sent an immediate fax 78 or be sent to the computer 12 for sending e-mail or for reprocessing 60.
- FIG. 3 shows in more detail the material structures of the digital image forming device 14 and the folder / inserter 16 and it makes it possible to schematically illustrate the different possible paths for the mailpieces through these two components. essential features of the device.
- the device 14 conventionally comprises a first supply means 20 for receiving the empty envelopes 21 and a second supply means 22 for receiving the blank printing documents 23.
- the first supply means can be produced for example in the form of an external loading bin and the second feeding means can conventionally be in the form of a side-loading insert magazine.
- Document paths 24, 25 make it possible to transport (the transport rollers and their motorization are not shown) respectively the envelopes and the documents to a printing module 26.
- This module advantageously consists of either a printing drum (in the case of laser printing) or a thermal print head (in the case of inkjet printing).
- a document path 27 makes it possible to direct the printed object, envelope or document, towards first 28 or second 29 outputs of the device.
- the first output 28 allows the feeding of a first receiving tray 30, conventionally placed on an upper part of the device, and intended to receive the printed documents in the context of a conventional use in standalone mode (scanner or copier function) or in conjunction with the general-purpose computer 12 (printer function), the second output 29, advantageously located at the rear of the digital image-forming device, being intended to directly feed the folder / inserter at its input of document.
- the device 14 further comprises a third feed means made for example in the form of an external front loading container 31 for receiving documents to be digitized 32. These documents, after passing in front of an optical reading module 33 will then be available on a front part of the device at a second receiving pan 34.
- a control module advantageously microprocessor 35, is of course provided in the device for controlling both the scanning (in connection with the module 33) and printing (in conjunction with module 26) and synchronize the transport of documents and envelopes.
- This control module which has an external connection with the computer 12 also controls an internal modulator / demodulator 36 connected to the communication network 10 through a dedicated socket 37.
- the folder / inserter 16 consists essentially of five modules.
- the first module 40 is a document accumulator placed at a document input 39 (arranged opposite the output 29 of the device 14) and for storing the various documents to be inserted in the same envelope.
- the second module 42 is a conventional pocket folding module which receives the documents to be folded either directly from the document entry 39 (in the case where the envelope must contain only one document) or from the storage accumulator.
- Document 40 is a specific reversal module for modifying the position of the envelope to facilitate the insertion of documents in this envelope. Indeed, at the output of the image forming device 14, the envelopes are conventionally in a longitudinal direction while the insertion of the documents must be performed transversely.
- the fourth module 46 is a conventional insertion module which receives the empty envelope on the one hand and the document or documents to be inserted on the other hand and which performs the insertion.
- the folder / inserter is provided with a fifth electronic marking module 48 placed at the output of the insertion module and which carries out "the affixing of the postal imprint "by registering certain secure franking information provided by the computer 12 in a microcircuit of an electronic tag carried by the envelope or the document (transponder activation operation). The article of mail thus closed and properly franked is then ejected to an output of documents 49.
- this folder / inserter 16 comprises a control module 50 for controlling the transport of the documents and their folding, the transport and the reversal of the envelopes, the insertion of the documents in the corresponding envelope from orders received from the computer 12 and the affixing of the postal imprint by activating the transponder.
- FIG. 4 represents a flowchart of the operations necessary for the preparation of a mail item.
- the transport of an envelope and its printing are then carried out in a step 104, the printing comprising at least that of the recipient's address excluding that of the postal imprint.
- the envelope thus completed is conveyed through the device 14 and the folder / inserter 16, in a step 106, to the input of its insertion module 46 after being redirected by the module 44.
- step 112. The transport of a document and its printing are carried out next in an immediately following step 112.
- a new step 116 is taken or not in a storage intermediate of this document in the accumulation module 40 of the folder / inserter.
- the printed document or documents are folded by the folding module 42 in a next step 118 and then inserted into the envelope at the module level. insertion 46 (step 120).
- the mail piece is closed by gluing its flap.
- the finding is made in a test step 124 which then causes the issuance of alarms both at the folder / inserter than the computer 12 (next step 126) and a stop of the process of treatment is engaged.
- the processing of the mail item has occurred without incident (yes answer to the test of step 124)
- it is then proceeded to the writing of the franking information on this article (by activation transponder carried by the envelope or the document) in a step 128 and then checked in a new test step 130 if the processed mail item is the last, which has the effect of causing an ejection of this article of mail to the exit of the folder / inserter 16 and to stop the process of treatment, or on the contrary if other couriers are waiting for preparation. It is then returned to step 102 of selecting the envelope tray for a new operation of preparing the next mail article.
- the various functions provided by the present invention make it a true office automation machine, well suited to small structures and a set of preparation of mail items which it optimizes the equation performance / quality / price.
- Its electronic transponder franking feature also gives it outstanding flexibility of use, and its fax / scan feature allows it to copy at least 20 pages without manipulation, and to fax documents or fax documents. email. Indeed, at a time when the Internet and e-mail are becoming unavoidable, a written or printed trace of electronic messages transmitted quickly and easily is of some importance.
- a fax received at the hotel can be made confidential by placing an envelope immediately after receipt, automatically. Without the use of expert character recognition software to identify the recipient, it is conceivable to scan the top of the first page received for printing or copying on the envelope to be distributed, the format of the envelope can then serve as a copy or print format. In this case, it is not necessary to affix the postal stamp.
- folding and enveloping provides the necessary confidentiality, whether the mail comes from the computer by e-mail or fax, whether it comes from the scanning module, a loading tray the folder / inserter or simply a combination of at least two of these elements.
- Another example of an interesting application is to prepare a single mail to the computer, to scan once a scanner documents as images or photographs, and to send the mail item obtained and identical to a large number recipients.
- the invention then makes it possible to transmit by fax or e-mail these items, and to complete this transmission by sending by conventional mail.
- the present invention is not limited to the single preferred embodiment described and variants or supplements may be envisaged without departing from the scope of the invention.
- the computer can also be connected to a credit repair station remotely located in a local of a postal administration or any other authorized body.
- the digital imaging device 14 and the folder / inserter 16 can be validly integrated into a single package then in the form of a specific, fully autonomous office automation machine for mail preparation. .
