【0001】

図1に示すように、文書管理システム20は、MFP(Multiple FunctionPeripheral)22と文書管理装置24とから構成されている。
【0012】
MFP22は、ADF(Auto Document Feeder)26とスキャナ27とを備える。

Hereinafter, annotation processing realized by the document management program and processing executed in relation to the annotation processing will be described.
Prior to the description of specific annotation processing, the sheet S used in the
Reference numeral “Sd” indicates a document sheet on which a document to be managed is described, and a very general sheet is used.
[0017]
The sheet indicated by the symbol “Sa” is an annotation sheet on which annotations are freely written by a user with a writing instrument. Annotation sheet is a very common sheet like a document sheet, but differs from a document sheet in that a pattern having a predetermined shape in a predetermined area of the sheet (hereinafter referred to as “annotation mark”). ")" Is printed. The annotation mark serves as an identification mark for identifying that the sheet is a sheet dedicated to annotation writing. In the annotation sheet Sa of this example, a
[0018]
When the user needs to annotate the document to be managed and does not want to write directly on the document sheet, the user enters the annotation on the annotation sheet. The entry is performed in consideration of the positional relationship with the document described on the document sheet. FIG. 3 shows that the annotation is entered in the annotation sheet Sa in order to make two annotations “ZZZ” in the upper left corner and “XXX” in the lower right corner of the document described in the document sheet Sd. This is an example. The number of annotations to be entered on one annotation sheet may be one or plural.
[0019]
The user places the corresponding annotation sheet on the document sheet and sets it on the

Each sheet set as described above is read by the
Processing of the transmitted image data in the
FIG. 4 is a flowchart regarding document registration processing.
[0021]
First, when image data is transmitted from the MFP 22 (YES in step S2), reception processing is performed until reception of one file is completed (step S4), and reception of one file is completed (YES in step S6). ), The following processing is performed in order from the first page (page (sheet) fed first by the ADF 26) in the received file. The received image data is temporarily stored in the
[0022]
In order from the first page in the temporary file, it is identified whether the image data of the corresponding page is obtained by scanning a document sheet or an annotation sheet (step S8).
The identification is made based on the presence or absence of a predetermined annotation mark (in this example, the barcode 48) in a predetermined area (in this example, the upper right corner) of the image data.
[0023]
If it is determined that the annotation sheet is scanned (YES in step S8), it is determined whether or not the annotation flag (hereinafter simply referred to as “flag”) is set to 1. The flag is set after processing the image data obtained by scanning the annotation sheet, “flag = 1” (see step S16), and reset after processing the image data obtained by scanning the document sheet. = 0 "(see step S28) flag. The flag is reset by an initial setting (not shown) at the time of starting the program.
[0024]
If the flag is not 1 (NO in step S10), the process proceeds to step S12, and image processing for making the ground area of the annotation sheet and the annotation mark in the image data transparent is performed. To identify the ground area and the annotation mark, an area discrimination technique in OCR processing is used.
In step S14, annotation registration processing is performed. In the annotation registration process, first, an image of the annotation portion remaining after the transparency processing of the image data (hereinafter referred to as “annotation image”) is extracted for each annotation. The technique for extracting scattered images for each image is a known technique as described in, for example, JP-A-5-166000, JP-A-9-297816, and the like. Omitted. In the example shown in FIG. 3, annotation images “ZZZ” and “XXX” are extracted. At the time of extraction, the position of each annotation image in the annotation sheet is also acquired. The position is specified as the position of a dot (dot) corresponding to the lower left corner of the rectangle by specifying the minimum rectangle surrounding the annotation image. The position is represented by coordinate values (X, Y) when taking XY coordinates with the upper left corner of the annotation sheet as the origin. The coordinate value is referred to as “position information”.
[0025]
The extracted annotation image is stored in the
[0026]
On the other hand, the annotation file name and the position information are registered in the annotation table 52 shown in FIG. As a result, the annotation file name, and thus the annotation image, and the position information are associated with each other. The annotation table 52 is stored in the
In addition, the process (step S20) when it determines with YES by step S10 is mentioned later.
[0027]
When the above-described series of processing is completed, a flag is set (step S16). If the processing has not been completed up to the last page in the temporary file (NO in step S18), the process returns to step S8 and the next page is processed. And
If the image data of the page to be processed is identified as being from a document sheet scan (NO in step S8), a file (not shown) is created in a folder (not shown) prepared in the
[0028]
When the storage process is completed, the flag is checked. If the flag is not set (NO in step S24), steps S26 and S28 are skipped and the process proceeds to step S18.
On the other hand, if the flag is set (YES in step S24), the image data of the previous page is obtained by scanning the annotation sheet. Therefore, the annotation is associated with the image document stored in step S22. This is performed (step S26). For the association, a table (hereinafter, “association table”) 54 shown in FIG. 6 is used. In the association table 54, as shown in FIG. 6, the management document file name, the page number in the management document file, and the annotation file name of the annotation applied to the image document of the page number (one page before in the temporary file). And the file name registered in the annotation table 52 in association with the process). In the “position information” column following the annotation file name, the same value as the position information registered in the annotation table 52 is registered as an initial setting, and 100% is stored as an initial setting in the “size” column. Is done. The size represents the size of the annotation as it is captured from the scanner as 100%. Note that the position information and the size in the association table 54 can be changed by processing to be described later.
[0029]
When the association process ends, the flag is reset (step S28), and the process proceeds to step S18.
The above-described annotation registration processing, image document registration processing, and image document / annotation association processing are performed until the final page of the temporary file ends (YES in step S18).
[0030]
Here, a process when it is determined as YES in step S10, that is, when it is determined that the flag is reset will be described.
If the flag is set (flag = 1), it means that the page immediately before the currently processed page (page by the annotation sheet scan) was also a page by the annotation sheet scan. . This means that two annotation sheets are continuously read by the scanner 27 (FIG. 1). This is contrary to the rules described above in the
[0031]
Also, the flag is checked immediately after the end of the last page (YES in step S18) (step S30). At this time, if the flag is set (YES in step S30), there is no image document to be associated with the annotation described in the final page, so an error is also displayed in this case (step S20). ), And terminate this program.
[0032]
If it is determined in step S30 that the flag has been reset (NO in step S30), the temporary file in the
Next, display processing of the image document registered as described above on the
[0033]
An image document to be displayed is selected through a management document file selection screen (not shown). On the management document file selection screen, for example, a list of management document file names stored in the document management folder is displayed, and an image document to be displayed is selected by clicking one file by operating the
[0034]
First, when an image document is selected (YES in step S42), it is determined with reference to the association table 54 (FIG. 6) whether there is an annotation associated with the first page of the corresponding management document file (FIG. 6). Step S44).
If there is (YES in step S44), the annotation specified by the corresponding annotation file name in the association table 54 is read from the annotation folder 50 (FIG. 5B) and superimposed on the image document on the first page on the viewer screen. (Step S46). The annotation is displayed by pasting it on a (transparent) layer superimposed on the image document. The display position and size follow the position information and size stored in the association table 54. An example of the display is shown in FIG. In this way, by displaying the annotation on a separate layer superimposed on the image document (original document), it is possible to make it appear as if the annotation was directly added to the original document. Moreover, the annotation is expressed by reading a freehand drawn by a writing instrument on a sheet (annotation sheet) as it is. Further, since the annotation is displayed on a separate layer without being combined with the image document (original document), the originality of the image document (original document) is not impaired.
[0035]
On the other hand, if it is determined in step S44 that there is no annotation associated with the first page, only the image document of the first page is displayed as usual (step S48).
Then, when a page switching instruction is given via the input device 34 (YES in step S50), whether or not there is an annotation associated with the corresponding page (page after switching) is similar to the association table as described above. The determination is made with reference to FIG. 54 (FIG. 6) (step S52). The display process (step S54) when it is determined to be present and the display process (step S56) when it is determined to be absent are the same as the processes of step S46 and step S48, respectively, and thus description thereof is omitted.

As mentioned above, although this invention has been demonstrated based on embodiment, it cannot be overemphasized that this invention is not restricted to an above-described form, For example, it can also be set as the following forms.
(1) In the above embodiment, an annotation sheet with annotations is directly superimposed on the document sheet to be annotated, set in the ADF, and scanned, thereby allowing the image document and the annotation to be added to the image document to be scanned. Was associated. That is, from the document management apparatus side, when a page on which an annotation image is described is received (received), the annotation received on the page received (received) immediately after that page, that is, the page on which the image document is described. Are associated (associated).
[0051]
The method of associating the annotation with the image document is not limited to this, and may be as follows, for example.
(1) The above may be associated by reversing the way the sheets are stacked. That is, a document sheet to be annotated may be directly superimposed on the annotation sheet, set in the ADF, and associated by scanning. At this time, from the document management apparatus side, the annotation received immediately after the image document is associated with the document image.
[0052]
(2) When an annotation sheet is attached to each document sheet of a document sheet set at one time in the ADF, that is, when an annotation is added to all pages of an image document, only the document sheets are overlapped (hereinafter referred to as “ A document sheet bundle ”)) is superimposed on an annotation sheet corresponding to the document sheet stacking order (hereinafter referred to as“ annotation sheet bundle ”), set in the ADF, and scanned. It is also possible to make it. At this time, from the document management apparatus side, the first page in the document sheet bundle and the first page in the annotation sheet bundle are associated with each other, and the same number of pages is associated with each other.
[0053]
(3) When the same annotation is added to all of the document sheets set at one time in the ADF, the annotation sheets are stacked on or under the document sheet bundle, or inserted in the middle and set in the ADF. It is also possible to scan. In this case, the document management apparatus may add an annotation read from the one annotation sheet to all pages of the received (received) image document.
[0054]
Various methods other than the above (1) to (3) are conceivable for associating the image document of each page with the annotation. In short, the document sheet and annotation sheet set order (stacking order) when set in the ADF at a time, and eventually each page (page by document sheet scan and page by annotation sheet scan) in the document management apparatus. The above association (association) can be performed according to the order of reception of
(2) In the above embodiment, a barcode is used as an annotation mark (identification mark) for identifying an annotation sheet. However, the present invention is not limited to this, and a graphic or a character string may be used as an annotation mark. .
[0055]
The printing position of the annotation mark is not limited to the upper right corner area of the sheet. Any area that does not hinder the entry of annotations may be used.
Furthermore, it is possible to make the annotation mark unnecessary by making a rule that one annotation sheet is always overlapped on one document sheet, set in the ADF, and scanned. In this case, when an annotation sheet is to be overlaid on a document sheet, odd pages are pages on which annotations are described, and even pages are pages on which image documents are described. On the contrary, when the document sheet is overlapped on the annotation sheet, the odd page becomes the page on which the image document is described, and the even page becomes the page on which the annotation is described. In this case, in the document management program, whether it is an annotation sheet scan or a document sheet scan is identified depending on whether the received (received) image data is an odd page or an even page. Become.
(3) A transparent sheet used for an OHP (Overhead Projector) may be used for the sheet used for the annotation sheet. When an annotation is entered, an annotation entry position can be easily determined by overlaying a transparent sheet on a document sheet.
[0056]
The specific embodiments described above include inventions having the following configurations in addition to the inventions described in the claims.

In addition, since the annotation associated with the image document is displayed superimposed on the image document, it is visually recognized as if the annotation was directly added to the image document.
In addition, since the identification between the document sheet scan and the annotation sheet scan is performed based on the presence or absence of a predetermined description in a predetermined area on the sheet, the document sheet and the annotation sheet can be mixedly handled. It becomes possible.
[0064]
In addition, since the stored annotation can be associated with other image documents, the annotation can be used effectively.
Further, since an image document is searched using annotation as a search item, it is possible to further enhance search conditions in document management.
