Abstract

The present invention provides a means for more efficiently processing faxes received at a plurality of locations.
[Solution] A fax management system A is configured to include at least an aggregation unit 10 that aggregates fax data B received by fax devices at each base, a processing unit 20 that enables a user to process the aggregated fax data B, and a transmission instruction unit 30 that enables a user to instruct a fax device at a specified base to send a fax using processed fax data C. Because the fax data transmitted to each base is aggregated and managed, the processing of received faxes can be carried out without any geographical restrictions between each base and each person in charge.

Description

The present invention relates to a fax management system for aggregating and managing fax data received by fax devices installed at each location.

The fax management system described in the following prior art document is known as a service that automatically distributes received faxes according to specified conditions.

JP 2002-165076 A

However, the fax management system described in Patent Document 1 only distributes faxes received by a fax machine installed at one location, and does not envision a function for consolidating faxes received at multiple locations.

Therefore, the present invention aims to provide a means for more efficiently processing faxes received at multiple locations.

The present invention, which has been made to solve the above-mentioned problems, is a fax management system for consolidating and managing fax data sent to each base station, and is characterized by having at least an aggregation unit that consolidates fax data received by fax devices at each base station, a processing unit that enables user operation to process the aggregated fax data, and a transmission instruction unit that enables user operation to instruct a fax device at a specified base to send a fax using the processed fax data.
In addition, in the present invention, the aggregation unit can be configured to include an automatic classification unit that automatically classifies the aggregated fax data based on specified classification conditions, and a manual sorting unit that enables sorting of the fax data after automatic classification by user operation.
The present invention further includes a management screen display unit in the above-mentioned invention, the management screen display unit having a function of displaying a management screen on a terminal used by a user, the management screen having at least a first button for displaying an unconfirmed reception management field on the management screen, and a second button for displaying an unconfirmed operation management field on the management screen, the unconfirmed reception management field having a classification status display field for displaying a classification status of FAX data by the automatic classification unit, and a classification status display field for displaying FAX data selected by a user from the classification status display field, and The unconfirmed work management column can be configured to include at least a sorting setting column that receives user operations related to sorting work in the manual sorting section for the selected fax data, and the unconfirmed work management column can be configured to include at least a sorting status display column that displays the sorting status of fax data by the manual sorting section, and a transmission content setting column that displays fax data selected by a user from the sorting status display column, and receives user operations related to processing work in the processing section and user operations related to fax transmission instructions in the transmission instruction section for the selected fax data.

According to the present invention, at least one of the following effects can be obtained.
(1) Since fax data received by fax devices at each location is consolidated and managed, the processing of received faxes can be carried out without any geographical restrictions between each location and each person in charge.
(2) By performing two-stage management of aggregated fax data, namely automatic classification and manual sorting, it is possible to more efficiently process received faxes.
(3) By providing a management screen display unit that accepts various user operations, the user can more efficiently sort and process fax data and issue fax transmission instructions.
(4) By providing a separate re-sort button on the management screen, the workload can be reduced when a user makes a mistake in sorting the message or when the user needs to correct the sorting destination after the fact.
(5) By providing a case count display section, the status of unconfirmed receipt and unconfirmed work on received fax data at the base to which the user belongs can be more clearly understood.
(6) By using only the number of fax data items corresponding to purchase orders as the number of fax data items after manual sorting in the item count display section, the number of items displayed does not increase due to faxes sent to the user for sales purposes, etc., making it easier for the user to estimate the workload of receiving and processing received faxes (such as responding to orders).
(7) By providing a classification condition setting unit, an authority setting unit, and a processing information registration unit, the classification conditions, the authority to use fax data for each user, and the processing information can be customized in detail, making it possible to set the classification conditions in accordance with company rules or according to each user's preferences.

The configuration and embodiments of the present invention will be described below with reference to the drawings.

<1> Overall configuration (Fig. 1)
The FAX management system according to the present invention is a system for consolidating and managing FAX data received at each base.
The FAX management system according to the present invention can be used, for example, in order processing when a product purchase order is received from a customer by FAX.

FIG. 1 shows a functional block diagram of a FAX management system according to the present invention.
The fax management system A of the present invention is equipped with at least a consolidation unit 10, a processing unit 20 and a transmission instruction unit 30, and can be configured by adding any of the following units as necessary: a management screen display unit 40, a number of items display unit 50, a classification condition setting unit 60, an authority setting unit 70 and a processing information registration unit 80.

Each unit can be configured using any combination of hardware and software, and various other configurations can be adopted, such as a configuration in which each unit is a separate device or a configuration in which a single device serves multiple units.
In the present invention, there are no particular limitations on the number of bases, the number of FAX devices, the number of each section, the location of each section, and the differences or similarities in the configurations of the bases.
The details of each part will be explained below.

<2> Aggregation section (Fig. 1)
The consolidation unit 10 is an element having a function of consolidating FAX data B received by FAX devices at each base.
The aggregation unit 10 is configured to be capable of transmitting and receiving information between the fax devices installed at each base, and aggregates the fax data B received at each base by receiving the fax data B received by each fax device.

<2.1> FAX data (Fig. 1)
The fax data B will now be described in detail.

<2.1.1> Data Format In the present invention, the data format when the consolidation unit 10 handles the FAX data B is not particularly limited, but may be, for example, data obtained by converting a FAX signal received by a FAX device into an image file such as TIFF format, or data obtained by converting a document file such as PDF format or XPS format. This conversion may be realized by a function that is already installed in the FAX device, or may be realized by a new device interposed between the FAX device and the consolidation unit.

<2.1.2> File Name In the present invention, the file name of the fax data B handled by the aggregation unit 10 is not particularly limited. However, for example, when automatic classification by file name is performed by the automatic classification unit 11 described later, it is preferable that when the fax data B is transferred on the fax machine side, the fax machine side pre-adds the [sender's fax number], [sender's company name], [date and time of fax reception], etc. to the file name.
Among these, the [sender's company name] may use the name of the company whose sender's FAX number is registered in the customer's address book registered in the FAX device.
If the sender's FAX number is not registered in these address books, the [sender's company name] in the file name may be set to "unknown."

<2.2> FAX data organization function (Fig. 1)
In the present invention, when the consolidation unit 10 consolidates the fax data B, in order to organize each fax data B, an automatic sorting unit 11 and a manual sorting unit 12 can be provided as described below.
The details of each part will be explained below.

<2.2.1> Automatic Classification Unit (Fig. 1)
The automatic classification section 11 is an element for automatically classifying the aggregated fax data B based on predetermined classification conditions.
As an item of the classification condition, for example, information on the sender of the fax (sender's fax number, sender's company name, etc.) that can be obtained from the file name of the fax data B can be used.
In FIG. 1, the file name of the FAX data B is set as "[sender's FAX number]_[company name]_[received date and time].tiff".
The automatic sorting section 11 appropriately stores the fax data B in a predetermined folder in accordance with preset sorting conditions based on the information of the fax sender.
The classification conditions can be set using a classification condition setting unit 60, which will be described later.

<2.2.2> Manual sorting section (Fig. 1)
The manual sorting section 12 is an element for sorting the fax data automatically sorted by the automatic sorting section 11 by a user operation.
It is preferable that the sorting items be configured so that they can be appropriately set by the user on the receiving side depending on the purpose of use of the system according to the present invention.
For example, when the fax management system A of the present invention is used for order processing when a product purchase order is received from a customer by fax, it is possible to categorize the products by shipment, and other items such as by person in charge or by level of urgency.
The fax data B that has been sorted by the user's operation is moved by the automatic sorting unit 11 from the folder in which it was stored to another folder.

<2.3> Storage of FAX data (Fig. 2)
FIG. 2 shows an example of how received fax data B is stored in each folder when automatic classification and manual allocation are performed.
The details of each folder shown in FIG.
(1) Root Folder In the FAX management system A according to the present invention, this is the top folder of the management area for FAX data B. In Fig. 2, this is named [Root Folder].
(2) Location Name This is a folder prepared for each location that receives a FAX. In FIG. 2, folders [Location X] to [Location Z] are prepared immediately under the [Root Folder].
(3) Reception Folder This is a parent folder in which FAX data B is stored after automatic classification by the automatic classification unit 11. In Fig. 2, the reception folder is provided immediately below the folder related to the base name.
(4) Company Name This is a folder prepared for each sender's information. It indicates that the FAX data B stored in the folder was sent from the company related to the folder name. In Figure 2, folders for [Company A], [Company B], and [Unknown] are prepared.
(5) Sort Folder This is a parent folder in which FAX data B after sorting by the manual sorting unit 12 is stored. In Fig. 2, the sort folder is provided immediately below the folder related to the base name.
(6) Distribution Item A folder prepared for each distribution item set by the user. In Fig. 2, folders [AM Delivery] and [PM Delivery] are prepared directly under [Distribution Folder]. [AM Delivery] indicates, for example, a case that is scheduled to arrive in the morning.

<2.3.1> Example of automatic classification (Figure 2)
For example, if FAX data B is a FAX from Company A received at base X, the FAX device at base X transfers the corresponding FAX data to [root folder/base X/receive folder].
The automatic classification unit 11 compares the company name obtained by searching a database for the [sender fax number (03...)] from the file name of the transferred fax data B, or the [company name (Company A)] attached to the file name of the fax data B, with the classification conditions set in advance, determines that the fax data B is a fax from Company A, and classifies it into [Root folder/Location X/Receiving folder/Company A].

<2.3.2> Example of manual allocation (Figure 2)
Next, the user views the automatically classified fax data in [Root Folder/Location X/Inbox Folder/Company A], confirms the order details, secures the order number, and proceeds with preparations for arrangements.
If the user determines based on the confirmed order details that the order should be processed as an AM delivery, the manual sorting unit 12 accepts the sorting operation by the user and moves the corresponding fax data to [Root folder/Location X/Sorting folder/Company A/AM delivery].
<3> Processing part (Fig. 1)
The processing unit 20 is an element having a function of processing the collected FAX data in response to user operations.
The processing unit 20 can perform various processing operations on the selected fax data, such as adding text data, stamp images, and standard phrases, on a management screen displayed on the user's terminal by the management screen display unit 40 described below.
A detailed image of the processing will be explained in the section on the management screen display section 40 described later.

<4> Transmission instruction section (FIG. 1)
The transmission instruction unit 30 has a function of being able to instruct a FAX device at a predetermined location to transmit the processed FAX data C by FAX transmission, by a user operation.
The location to which this fax is sent is usually the location that received the fax data B that was the source of the processed fax data C, but the present invention is not limited to this embodiment.
As a method of instructing fax transmission, a fax number of the fax destination may be included in the file name of the processed fax data C, and the transmission instruction unit 30 may transmit the processed fax data C to a fax device at the base station.
The FAX device can obtain the destination FAX number from the file name of the processed FAX data transmitted by the transmission instruction unit 30 and then transmit the FAX.
A detailed image of the transmission instruction will be explained in the section on the management screen display section 40 described later.

<5> Management screen display section (Fig. 1)
The management screen display unit 40 is an element having a function of displaying a management screen 41 on the user's terminal.
The management screen display unit 40 can be realized by an application that can be operated from a user's terminal.
A user can access the fax management system A of the present invention after launching an application from the terminal and logging in through user authentication, and can perform various operations while viewing the management screen 41 displayed on the terminal.

<5.1> Management screen (Fig. 3)
The management screen 41 is a screen that accepts user operations related to various tasks, such as checking the classification status of fax data B after automatic classification, sorting fax data B using the manual sorting unit 12, processing fax data B using the processing unit 20, and issuing fax transmission instructions using the transmission instruction unit 30.
3 is an administration screen 41 that is displayed after user authentication and login. A first button 42 and a second button 43 are arranged on this administration screen.
When the first button 42 is clicked, the display transitions to a screen in which faxes received at locations accessible to the user are collected and then each fax data item classified by the automatic classification unit 11 can be accessed.
In addition, when the second button 43 is clicked, the screen transitions to one in which the user can access each fax data item that has been sorted by the manual sorting unit 12 for faxes received at locations accessible to the user.

<5.1.1> Badge Display on Each Button The number of saved fax data B can be displayed in badge format on each button.
In Figure 3, the first button 42 displays in badge format the number of fax data items (e.g., 5 items) that are stored in an inbox folder to which the currently logged-in user has access authority, out of the fax data automatically classified by the automatic classification unit 11, and the second button 43 displays in badge format the number of fax data items (e.g., 2 items) that are stored in a specified sorting item that is stored in a sorting folder to which the currently logged-in user has access authority.

<5.2> Unconfirmed receipt management column (Fig. 3)
3 is an image diagram of the management screen 41 that is displayed after the user logs in. In this embodiment, the management screen 41 that is displayed after the user logs in has the same screen image as when the first button 42 is selected.
In this management screen 41 , an unconfirmed receipt management section 44 is arranged in the area below the first button 42 and the second button 43 .
In the unconfirmed mail management section 44, a classification status display section 441 is arranged on the left side of the screen, and a distribution setting section 442 is arranged from the center to the right side of the screen.

<5.2.1> Classification status display column (Fig. 3)
The sorting status display column 441 is a column showing the sorting status of the FAX data B by the automatic sorting section 11 .
In the case of the folder structure shown in FIG. 2, the user can check from the classification status display field 441 at least the fax data B stored under the [reception folder] of each base.
For example, FIG. 3 shows a case where the received FAX data B is a FAX sent from a customer company A to a base X.
In addition, if the received fax data B was sent to location X but was sent from a fax number that is not registered in the address book of the fax device at location X, the fax data will be stored in the [Location X/Unknown] folder.

<5.2.2> Distribution setting field (Fig. 3)
The sorting setting field 442 is a field that displays FAX data selected by the user from the classification status display field 441, and receives user operations related to sorting the selected FAX data B in the manual sorting unit 12.
The fax data B selected in the classification status display field 441 is displayed approximately in the center of the management screen 41, and the user checks the contents of the fax data B, selects any sorting item from the sorting item selection field displayed on the right side of the screen, and performs sorting work.
For example, in FIG. 3, the user confirms that the received FAX data B is a purchase order sent from the customer, Company A, to base X, and assigns it to AM delivery.

Although not shown, if the received fax data is stored in an "Unknown" folder by the automatic classification unit 11, for example if it is a fax to the user for business purposes, it may be sorted into the "Other" column of the sorting item selection field displayed on the right side of the screen, or may be configured to be separately deleted. Furthermore, in the present invention, the fax data sorted into the "Other" folder may be configured not to be included in the number of badges displayed by the second button described above.

<5.3> Unconfirmed work management column (Fig. 4, Fig. 5)
FIG. 4 is a screen image when the second button 43 is selected on the management screen 41.
On this management screen 41 , an unconfirmed work management column 45 is arranged in the area below the first button 42 and the second button 43 .
In the unconfirmed work management section 45, a distribution status display section 451 is arranged on the left side of the screen, and a transmission content setting section 452 is arranged from the center to the right side of the screen.

<5.3.1> Distribution status display column (Fig. 4)
The sorting status display field 451 is a field showing the sorting status of the FAX data B by the manual sorting unit 12 .
For example, in the case of the folder structure shown in FIG. 2, the user can at least check the FAX data B stored under the sorting folder of each base.

<5.3.2> Transmission content setting field (Fig. 4, Fig. 5)
The transmission content setting column 452 is a column that displays the fax data B selected by the user from the distribution status display column 451, and accepts user operations related to processing work in the processing unit 20 and fax transmission instructions in the transmission instruction unit 30 for the selected fax data B.
In the center of the screen, FAX data B selected by the user from the distribution status display field is displayed, and on the right side of the screen, a processing content setting field 453 is displayed.
The processing content setting field 453 is configured so that the display changes appropriately depending on the type of processing content and the content of a user operation such as a transmission instruction.

<5.3.2.1> Order details input field (Fig. 4)
In the management screen 41 shown in FIG. 4, the processing content setting section 453 has input columns for various information including the order number, a selection field for selecting the name of the sales representative or the person inputting the data, a selection field for adding stamps or standard phrases, and other columns.
In conjunction with the input of each of these items, the input content is automatically added in text or image format to the fax data displayed in the center of the screen, and is processed into fax data equivalent to an order confirmation (processed fax data C) to be sent to the customer.
The processing information may be configured so that the pasting position can be adjusted and the size can be enlarged or reduced.
When the "Next" button shown in FIG. 4 is selected, the screen transitions to a management screen 41 shown in FIG.

<5.3.2.2> Transmission instruction (Figure 5)
On the management screen 41 shown in Figure 5, the user performs a final check by comparing the transmission content in the center of the screen with the customer name, fax receiving number (corresponding to the fax number of the fax destination of the processed fax data C), sales representative name, etc. displayed on the right side of the screen, and then selects the send button, which causes the transmission instruction unit 30 to instruct the fax device at the specified location to send the processed fax data C by fax.
The processed fax data C, for which the instruction to send the fax has been completed, is moved to a sent folder (not shown).
When the transmission operation is completed, the number of unconfirmed operations displayed in badge form on the second button 43 is reduced by one.

<5.3.3> Re-sort button (Fig. 4)
As shown in FIG. 4, the present invention may provide a re-sort button in the transmission content setting field 452 for executing a process of returning the fax data selected by the user from the sorting status display field 451 to the state after automatic sorting and before sorting.

<5.4> Summary In this way, the user can always keep track of the number of new fax data B received and the number of unstarted cases of received fax data B that have not yet been processed, from the management screen 41 displayed on the user's own terminal.Furthermore, while checking the contents of the fax data B displayed in the center of the screen, the user can efficiently process orders by sorting the data as appropriate or faxing order acknowledgments, etc., that have been appropriately processed from the received fax data, to the customer who sent it.
Therefore, the user can carry out various operations from a remote location without having to go to a specific location to check a fax that has been printed on paper by a fax machine at that location.

<6> Number of items display section (Fig. 1, Fig. 6)
The number display unit 50 is an element having a function of displaying both the number of stored fax data B after classification by the automatic classification unit 11 and the number of stored fax data B after sorting by the manual sorting unit 12 .
In the present invention, the manner in which the number of saved items is displayed by the number display unit 50 is not particularly limited. For example, as shown in FIG. 6, after the application installed on the user's terminal is launched and logged in, the number display unit 50 can be configured to be a resident configuration that can be displayed as a display widget 52 on the desktop screen 51 of the receiving user's terminal, and the above-mentioned management screen 41 can be displayed by selecting each button in the display widget 52.
The two item count displays in the display widget 52 may be linked to the item count displays displayed as badges by the first button 42 and the second button 43 on the management screen 41 described above.

This configuration is advantageous in that it allows users to visually understand the progress and completion rate of cases to be processed, the increase in new cases, etc.

<7> Classification condition setting section (Fig. 1, Fig. 7)
The classification condition setting section 60 is an element having a function of allowing a system administrator or each user to set classification conditions in the automatic classification section 11 .
FIG. 7 is an image diagram showing a case where a field for setting classification conditions (classification condition setting field 46) is displayed on the management screen 41. As shown in FIG.
FIG. 7 shows a state in which the user has selected the "Master Management" button and then selected "Customer Master."
When adding a new customer, the customer's name, FAX number, responsible base, etc. are entered as customer information, and the "Save" button is selected.

For example, if you enter "Location X" as the location in charge and "Company C" as the customer name, a new folder for "Company C" will be created directly under [Root Folder/Location X/Inbox Folder] in the folder structure in Figure 2, and fax data received from Company C thereafter will be saved in the "Company C" folder mentioned above.

<8> Authority setting section (Fig. 1, Fig. 8)
The authority setting unit 70 is an element having a function capable of setting the usage authority for the FAX data B for each user.
The usage rights may include the right to view, edit, delete, etc., the FAX data B.
FIG. 8 is an image diagram of a case where a screen for setting authorities (authority setting field 47) is displayed on the management screen 41. In FIG.
FIG. 8 shows a state in which the system administrator has selected the "Master Management" button and then selected "User Master."
When adding a new user, enter the user information such as the user's name, user name in the system, a check box indicating whether the user is a sales representative, the user's system authority (administrator or staff), and the user's location, and then select the "Save" button.

For example, if the base for a newly registered user is set to "Base X" and the system authority is set to "Staff", the areas that the user can access will be the folders under [Root Folder/Base X] in the folder structure in Figure 2.

<9> Processing information registration section (Fig. 1, Fig. 9)
The processing information registration unit 80 has a function of being able to register processing information that can be used in the processing unit 20 .
The processing information includes standard text, stamp images, and the like that are used when processing the FAX data B for sending it to a customer by FAX.
FIG. 9 is an image diagram showing a screen for registering processing information (processing information registration field 48) displayed on the management screen.
FIG. 9 shows a state in which the user has selected the "Master Management" button and then "Stamp Master," and stamps that have already been registered are displayed.
When adding a new stamp image, the user selects the "Create new stamp" button, and then selects the stamp name and the image file to be used on a registration screen (not shown) to perform new registration.
Similarly, when checking and registering a fixed phrase, the user selects the "Master Management" button on the management screen 41, then selects "Stamp Master" and registers a new fixed phrase on a registration screen (not shown).

<1> Specific example of system configuration (Fig. 10)
FIG. 10 is a diagram showing a configuration image in which the FAX management system A according to the present invention is used.
At the base, a FAX device A1 is installed for receiving FAX data sent from a customer.
On the collection side, a server A2 is installed for receiving FAX data from each FAX device A1.
On the user side, a user terminal A3 is prepared on which an application capable of accessing the server is installed.
In the configuration of this embodiment, the server A2 functions as the aggregation unit 10, automatic classification unit 11, and transmission instruction unit 30 in the fax management system system A of the present invention, and the application installed on the user terminal A3 functions as the manual sorting unit 12, processing unit 20, classification condition setting unit 60, authority setting unit 70, and processing information registration unit 80.

<2> Usage image (Fig. 10)
Next, a usage image of the FAX management system according to the present invention will be described.

(1) Premise The system administrator or user is to use the application installed on the user terminal A3 to set classification conditions for automatic classification, set the usage authority of each user, register processing information to be used by the processing unit 20, etc., as appropriate, within the scope of the authority granted to the system administrator or user.

(2) Aggregation and Automatic Classification of FAX Data FAX data B received by a FAX device A1 installed at each base is transferred with a file name including the sender's FAX number and is aggregated in a server A2.
The fax data B collected in the server A2 is automatically classified in the database based on the sender's fax number included in the file name.

(3) Sorting, processing, and sending instructions for fax data The user logs in to server A2 from an application installed on user terminal A3, and while checking the number of fax data B received at locations for which the user has usage authority, and the number of fax data B for which order acceptance processing has not yet begun, performs sorting operations, processing operations, sending instructions, and the like as appropriate from the application.
The destination fax number is added to the file name of the processed fax data C for which a transmission instruction has been executed.
The server A2 uses the processed fax data C instructed to be sent by the user to instruct a fax machine at a predetermined location to send the fax.

(4) FAX Transmission Upon receiving the instruction to send a FAX, the FAX device A1 obtains the destination FAX number from the file name of the processed FAX data C, and transmits the FAX to the customer.

A fax management system for aggregating and managing fax data transmitted to each base, comprising:
an aggregation unit that aggregates fax data received by the fax devices at each location;
a processing unit that enables processing of the aggregated fax data by a user operation; and
a transmission instruction unit capable of instructing a FAX device at a predetermined location to transmit a FAX using the processed FAX data by a user operation;
