Abstract
Description
The present invention relates to a document management server.
For example,
When there is a person who is paying attention to a file stored in the document management system disclosed in
However, the conventional document management server does not have a mail processing function, and it is impossible to notify the user of such document processing by mail.
Even if the mail system is arranged, for example, even if the user A requests the document management server to deliver some processing and the processing result to B who is another person, Since the source address of the mail becomes the address of the document management server, B who receives the mail may not understand the meaning of the mail or may misunderstand.
The present invention has been made in view of the above circumstances, and an object of the present invention is to provide a document management server capable of notifying the processing content of a file by e-mail.
The present invention has been made in view of the above circumstances, and even in an environment in which the address of the document management server is set as the e-mail source address, it is easy for the requester who triggered the e-mail transmission. An object of the present invention is to provide a document management server capable of transmitting an e-mail that can be specified.

In order to achieve the above object, a document management server according to a second aspect of the present invention provides:
Storage means for storing user identification information and user identification information in association with each other;
Input means for inputting user identification information and a predetermined processing request supplied from an information terminal connected via a network;

For example, the mail creating means sets a destination address input by the input means as a destination address, sets a mail address assigned to the document management server as a source address, The user identification information acquired by the user identification information acquisition means is inserted to create a mail.
Further, an authentication unit that performs user authentication based on user identification information is arranged, and the user discrimination information is information different from the user identification information, and is configured by information that can be identified by human recognition. It is also good to do.
The user discrimination information is composed of information that is relatively easy for humans to recognize, such as a user's name, name, nickname, handle name, face image, and silhouette image. On the other hand, the user identification information is an enumeration of letters, numbers, and symbols that have no meaning in itself, and a general person cannot often directly specify a person.
A computer program that causes a computer to function as the document management server described above is recorded on a recording medium and distributed, or distributed via a communication network, and is installed and executed on the computer to manage the computer as a document. It may function as a server.
With the document management server of the present invention, it is possible to deliver an email that is easy to identify a requester of transmission or a requester of processing.
In the present embodiment, the information terminal device according to the present invention is in the form of a multifunction peripheral (for example, a device having printing, copying, facsimile, communication functions, etc.). Therefore, in the following description, the information terminal device according to the present invention is expressed as a

More specifically, as shown in FIG. 4, the
制御部110は、CPU(Central Processing Unit)等から構成されており、文書管理サーバ4の全体の制御を行う。 The
A RAM (Random Access Memory) 111 is a volatile memory that temporarily stores data (for example, electronic file, mail data, etc.) necessary for processing performed by the

The
The management
Here, the user ID is identification information that identifies a user. The password is authentication information of a user (a person who is about to use the

The
Next, the function of each manager shown in FIG. 5 realized by the
As shown in FIG. 6, the content manager can be connected to one or a plurality of storage devices (file storage unit 113) and can store electronic files (files). Each file is stored in a folder created on the storage device. The folder may include several types of folders depending on the access rights relating to file operations and browsing restrictions. In addition, various notification services such as “acknowledgment confirmation”, “registration status notification mail”, and “self notification mail” can be set for each stored file.
As shown in FIG. 8A, the member list manager stores, in the management
In the corporate member list, as shown in FIG. 8B, for each member (user), user ID, password, name, affiliation (company, etc.), nickname, billing address, email address, contact information (Address, telephone number, fax number, network address (for example, a Notes mail address)) and the like are stored. Further, as shown in FIG. 7, a plurality of grouped lists (group lists) can be registered in the personal group book. In each group list, as shown in FIG. 7, the member information registered in the corporate member list is copied or input by the user using a computer or the like, and the name, organization, contact information, etc. Arbitrary information can be stored.
The authentication manager inputs the login information from the
The access restriction manager restricts access to files and folders from the user. When a user requests to reference a file or folder, only the folder and file permitted by the user are transmitted to the information terminal.
The folder names displayed on the monitor such as the
The mail transmission manager creates a mail according to a user instruction or a content manager instruction, and notifies the user via the mail server.
The file history manager stores and manages file histories.
The log management manager can be connected to the
Based on the history information from the log management manager described above, the billing system manager discriminates, for example, the usage history for each user within the settlement period, and determines the unit price according to the contents as shown in FIG. Refer to and create billing information.
Next, management of electronic files in the document management system will be described with reference to FIG.
The content manager of the
In the corporate folder, all users on the member list can operate files in the folder. Therefore, all the members' users can share the file.
As for the group folder, a folder user can be selected from the users in the member, and files and folders can be operated. That is, not all users can operate the folder. This group folder is created by the administrator first, and the users that can be used at the same time (or later) can be set. After that, the available users can freely create and delete folders and files. .
My folder is a folder for use only by users within the member. This folder is automatically created in the storage device when logging in using the
In this embodiment, the “self-notification mail” can be set for an electronic file. However, it is not limited to this. That is, when the
Furthermore, the content manager can set notification services such as “acknowledgment confirmation”, “registration status notification email”, and “self notification email” for each file stored. If “acknowledgment confirmation” is set, the mail transmission manager is notified to notify the user set in the ACL (access control list) of the set file by mail. When “registration status notification mail” is set, when an operation of the set file is detected, the mail transmission manager is notified to notify the user set in the ACL of the file by mail. If “self notification mail” is set, the user ID of the user who has set “self notification mail” is set for the set file. When the operation of the file is detected, the mail transmission manager is notified to notify the user who has set the “self-notification mail” by mail.
Here, the ACL includes information as shown in FIG. 6B, for example. In the case of this figure, the file ID (or folder ID) of the electronic file (or electronic folder) for which access authority is set and information indicating the contents of the access restriction are included.
The content manager may create and store a thumbnail display file corresponding to the file to be stored. With this configuration, when using the “reference” function, which will be described later, the thumbnail display file is first transferred to the
In the file operations described above, access rights can be set by the access restriction means described below.
Next, file and folder security and access rights in this document management system will be described.
The access restriction manager of the
In the present embodiment, in the initial state, the access right relating to the operation of the company folder and the electronic file in the company folder is given to all users in the member. Further, the access right related to the operation of the My Folder and the files in the My Folder is given only to the user. Further, the access right related to the operation of the group folder and the electronic file in the group folder is given only to the user registered in the group.
The access restriction manager is set to automatically take over the ACL of the upper electronic folder when a new electronic folder or electronic file is created. Further, the ACL relating to the electronic file in the company folder can be set so as to give access right to one or a plurality of users by inputting setting information from the input means provided in the
Next, mail transmission in this document management system will be described.
The mail transmission manager of the
FIG. 9A is a flowchart for explaining the “mail delivery” function.
“Mail delivery” is based on the settings from the
Here, as illustrated in FIG. 9B, the mail distribution manager displays the mail address (admin @@ in the figure) assigned to the
The information for identifying the user who requested the delivery of the mail is recorded in the record that identifies the corresponding record in the corporate member list shown in FIG. 8B by the user ID input at the time of authentication. You can use your name or nickname. Note that the user discrimination information is not limited to a name or a nickname, but includes information that is relatively easy for humans to recognize, such as a user name, a handle name, a face image, and a silhouette image. On the other hand, a user ID is generally an enumeration of letters, numbers, and symbols that have no meaning per se, and is suitable for computer processing, but a general person directly identifies a person from it. Often you can't.
FIG. 10A is a flowchart for explaining the “reception confirmation setting” function. FIG. 11A is a flowchart for explaining the “reception confirmation execution” process.
The “acknowledgment” function is based on the settings from the
The

On the other hand, when a user who has received an e-mail with confirmation of receipt (belonging to the same organization as the “acknowledgment” setter based on the ACL settings) clicks on the link destination information, the computer detects this. (Step S1301), the
FIG. 12A is a flowchart for explaining the “registration status notification mail setting” process.
The “registration status notification mail” is a function for notifying the address of each user set in the ACL of the file when the file is operated.
The
When a file update is detected for a file for which “registration status notification mail” is set (step S1404; Yes), the user who has updated the file to the mail distribution manager to send the “registration status notification mail” The user ID is notified. Next, the mail delivery manager accesses the member list manager, (1) a name corresponding to the user ID of the user who updated the file (discrimination information, mail address, etc. may be entered), and (2 ) Obtain the user's address set in the ACL of the file (step S1405), insert the user identification information, the content (process) that triggered the mail transmission, and the link destination of the file into the email to be sent Then, a mail as illustrated in FIG. 12B is created, and the mail is transmitted to the user address set in the ACL of the file (step S1406). It should be noted that, among users set in ACL, mail may be distributed to users whose reception setting of “registration status notification mail” is ON. However, it is desirable to notify everyone unconditionally about important updates such as deletion.
FIG. 13A is a flowchart for explaining the “self notification mail setting” process.
The “self-notification mail” is a function that, when a file is operated, notifies that a file has been updated to a user address set in advance for the file. In the setting process, the
When file update is detected for a file for which “self-notification mail” is set (step S1504; Yes), the user who has updated the file to the mail delivery manager to send “self-notification mail” is sent. The user ID is notified. Next, the mail delivery manager accesses the member list manager, (1) the name and address corresponding to the user ID of the user who updated the file, and (2) the user who has set “self-notification mail”. An address is obtained (step S1505), and a mail is created by inserting the name and the link destination of the file into the mail to be transmitted. Then, an e-mail is created for the address of the user who has set “self-notification mail”. Here, as illustrated in FIG. 13B, the mail delivery manager displays the mail address (admin @@ in the figure) assigned to the
Subsequently, the mail delivery manager transmits the created mail (step S1506). The user receives the mail (step S1507) and knows that the target electronic file has been updated.
In this embodiment, when the “mail delivery” option is set, the file itself is attached and notified regardless of whether it is a member or a non-member, but other configurations may be used. That is, when the
In this embodiment, when the “mail delivery” option is set, the
Further, in this embodiment, when the “acknowledgement” option is set, the mail distribution manager accesses the member list manager and transmits an “acknowledgment” -added mail based on the previously set ACL. With this configuration, it is possible to request the person concerned to confirm the file by a simple operation, and to know whether or not the file has been accessed.
In the present embodiment, the transmission destination by “mail delivery” is different from the transmission destination by “acknowledgment confirmation”. In other words, “mail delivery” can send mail regardless of whether it is a member or non-member, but “receipt confirmation” can send mail only to members. By configuring in this way, it is not necessary to configure so that when a non-member receives a mail in which a link destination of a file is written, the file at the link destination can be viewed. Therefore, security can be ensured. In addition, when it is configured to prohibit file access by non-members, there is no problem that receipt confirmation cannot be obtained from non-members. Thus, it can be said that this embodiment is superior in terms of security and operation.
Furthermore, both “registration status notification mail” and “self notification mail” can be set in the target file. However, when both are set, if both mails are transmitted, a large number of mails having the same purpose are transmitted, and a load is imposed on the network. Therefore, when both “registration status notification mail” and “self notification mail” are set, only one mail may be transmitted. Further, if the contents of the “registration status notification mail” and the “self notification mail” are the same, even if the configuration is such that only one mail is transmitted, confusion of the user can be prevented.
In this embodiment, the “self-notification mail” can be set for an electronic file. However, it is not limited to this. That is, when the
Next, file history management in the document management system will be described with reference to FIG.

By configuring in this way, the user in the member can designate a specific version managed by the file history manager and notify the predetermined user. In addition, the latest version can always be notified. In addition, since the history management cannot be performed from the

FIG. 16 is a flowchart for explaining the “registration from MFP” function of the

FIG. 23 is a flowchart for explaining the “removal from PC” function of the

(log off)
When the billing information of each service of “registration”, “print”, “delete”, “reference”, “retrieve” is received and the charge is displayed on the display screen, the
As described above, the document management system includes the
For example, at the time of registering a file in the
Further, when the printing function is used in the
For example, when using the document management system from the
Further, when the “reference” function is used, when the reference function is completed, the
In addition, the time during which the reference function can be used (for example, up to 3 minutes) may be limited. Furthermore, the reference function may be terminated when there is no input of a reference function operation (for example, movement, rotation, enlargement, reduction operation, etc.) for a certain time (for example, up to 3 minutes).
Next, a preferred embodiment of the “registration from MFP” function will be described.
An error process when the “register from MFP” function of the file from the
When the
Next, a preferred embodiment of the “reference from MFP” function from the
When referring to the
Further, the 90-degree rotation reference may be any location (for example, upper left). However, if the display panel is only partially displayed and rotated 90 degrees, the displayed part moves out of the display panel, making it difficult to see. Therefore, the rotation reference of 90 degrees may be rotated with reference to the center of the display portion currently displayed on the display panel.
It should be noted that enlargement, reduction, scrolling, etc. of the file displayed on the display panel may be made convenient.
Furthermore, an error message may be displayed on the display panel when the downloaded file cannot be displayed when using “reference from MFP” or “print from MFP”. However, this is a waste of downloading. In order to avoid this, it is easy to check the extension (identification information) of the file before downloading and display an error at that time if the extension is NG.
Further, when the “print from MFP” function is used, for example, in the case of a spreadsheet, if only the first sheet is printed, useless sheets are less likely to be printed. Furthermore, when using the “reference from MFP” function, for example, in the case of a JPEG (Joint Photographic Experts Group) file, color display cannot be selected, and only black and white display can be selected. Becomes easier. Further, when the “print” function is used, for example, in the case of a document file, a page that is not intended to be printed may be printed, and the number of pages to be printed cannot be predicted. Accordingly, when it is determined that the file is a document file based on an extension or the like, the number of printed pages may be displayed or a print preview may be displayed. Details will be described later.
Next, a preferred embodiment when “login” to the
The
In this embodiment, when using the service of the
In addition, this invention is not limited to the said embodiment, A various deformation | transformation and application are possible.
For example, the present invention is not limited to a dedicated machine. For example, a computer program that causes a computer to function as the above-described document management server is recorded on a recording medium and distributed, or distributed via a communication network. May be installed in the computer and executed, thereby causing the computer to function as the
