Description

Paper document processing apparatus and system
Technical Field
The invention relates to the field of office automation equipment, in particular to paper document processing equipment and a paper document processing system.
Background
In the existing paper document office scenario, a typical application scenario is that a paper document needs to be scanned into electronic data for subsequent inquiry, arrangement or storage. In many office flow regulations requiring the retention of paper document originals, the retention of only electronic data does not meet the specified requirements, and corresponding paper document originals also need to be stored together, so that the paper document originals can be checked under the conditions that electronic data pages are unclear, damaged and lack of details.
In the case of a high degree of homogeneity of a paper document, for example, only a plurality of standardized forms with different filled contents take time to determine the correspondence between the paper document and the electronic data by simply relying on manual comparison, and manual comparison requires a user to repeatedly check whether the detailed parts of the paper document and the electronic data are the same, so as to determine whether the paper document and the electronic data correspond to each other. Therefore, in the prior art, it is considered that an identifier capable of being quickly recognized by a computer is formed on a paper document, data related to the identifier is created in a computer system and used for describing key attributes of the paper document, the data is displayed after the identifier is read by the computer system, so that a user can quickly know the key attributes of the paper document, such as the type, the creation time and the like, and if necessary, the identifier can be associated with a storage path of the electronic data, so that the user can quickly find the electronic data by using the identifier.
In this regard, the conventional paper document scanning process generally includes the following steps: firstly, an operator takes a stack of paper documents to be scanned and sequentially and respectively inputs the stack of paper documents into a scanner for scanning to respectively obtain electronic data corresponding to the paper documents, and then the stack of paper documents are taken out of the scanner; secondly, an operator sequentially and respectively puts the stack of paper documents into a printer, manually discriminates the identifier corresponding to each paper document and gradually operates the printer to print the identifier required to be formed on the paper document; and thirdly, the operator organizes the printed stack of paper documents and then archives the documents, and the electronic data is arranged. It can be found that in the prior art, if a paper document is to be processed and marked, several operation steps which are not synchronized in time need to be executed, and a manual error in any one of the operation steps can cause a wrong corresponding relationship between the paper document and electronic data, which greatly reduces the management efficiency of the paper document.

Detailed Description
For a better understanding and explanation of the present invention, reference will now be made in detail to the present invention as illustrated in the accompanying drawings. The present invention is not limited to these specific embodiments only. Rather, modifications and equivalents of the invention are intended to be included within the scope of the claims.
It should be noted that numerous specific details are set forth in the following detailed description. It will be understood by those skilled in the art that the present invention may be practiced without these specific details. In the following detailed description of various embodiments, structures and components well known in the art are not described in detail in order to not unnecessarily obscure the present invention.
Referring to fig. 1, fig. 1 is a schematic structural diagram of an embodiment of a paper document processing apparatus according to the present invention, the paper document processing apparatus 100 including:
the electronic module 110 is configured to scan a paper document 10 and generate an electronic document 111 corresponding to the paper document 10;
the identification module 120 is configured to send identification data to the coding module 130, and add an identification attribute to the electronic document 111 according to the identification data;
and the coding module 130 is configured to form an identification mark 11 generated according to the identification data on the paper document 10.
It should be noted that although fig. 1 illustrates the electronic document 111 and the paper document 10 so that those skilled in the art can clearly understand the structure of the paper document processing device 100, this does not limit the electronic document 111 and the paper document 10 to be a part of the paper document processing device 100, but the paper document 10 is a processing object of the paper document processing device 100, and the electronic document 111 is a data product of the paper document processing device 100.
Specifically, as shown in fig. 1, the paper document processing device 100 may be adapted to process a paper document stack formed by a plurality of paper documents 10 at a time, and a suitable paper transmission mechanism may be built in the paper document processing device 100, so as to sequentially and respectively drive each paper document 10 in the paper document stack to the paper document processing device 100 for processing. The function of the electronization module 110 is to perform electronization processing on the paper document 10 to generate an electronic document 111 corresponding to the paper document 10, and generally, the electronization processing includes: scanning processing for the paper document, or shooting processing for the paper document. Of course, the two specific methods of electronic processing are both used to convert the information content recorded on the paper document into a form that can be recognized by a computer. More specifically, the electronizing module 110 may be implemented by a suitable Charge Coupled Device (CCD) light sensing device, a Complementary Metal Oxide Semiconductor (CMOS) light sensing device, or a contact image sensing device (CIS) for generating the electronic document 111 by recording a reflected light signal of the surface of the paper document 10, and the electronic document 111 may include an image of the surface of the paper document 10 or data extracted from the image. Those skilled in the art will appreciate that the electronization module 110 can be implemented by a suitable shooting device or a file scanning device in the prior art, and the present embodiment is not limited thereto.
The function of the setting identification module 120 is to send identification data to the coding module 130 on the one hand and to add an identification attribute to the electronic document 111 on the basis of the identification data on the other hand. In the specific embodiment shown in fig. 1, the identification module 120 does not generate the identification data by itself, and the identification module 120 only obtains the identification data from the identification server 200 in communication with the paper document processing device 100 upon detecting that the electronization module 110 generates the electronic document 111, and accordingly, the identification server 200 may respond to the request for the identification data obtained by the identification module 120 and return the identification data to the identification module 120 using software/hardware logic. In other embodiments, the identification server 200 may be implemented as a built-in unit of the identification module 120, i.e. the identification module 120 itself may generate the identification data according to a predetermined rule. Since the electronic processing of the paper document by the electronic module 110 can be implemented to be completed in a short time, the identification module 120 is preferably configured to automatically send the identification data to the marking module 130, so that the identification data or the derivative data thereof can automatically enter the waiting marking queue of the marking module 130, so as to be directly called by the marking module 130 and further form the identification mark on the paper document 10.
The function of the identification module 120 to add the identification attribute to the electronic document 111 is to facilitate a computer device that needs to call the electronic document 111 to quickly search a storage location of the electronic document 111 according to the identification attribute, so when the identification attribute is added by the identification module 120, in order to ensure the information integrity of the electronic document 111, it should be avoided to modify the original information corresponding to the paper document 10 contained in the electronic document 111, and therefore the identification attribute may be preferably implemented as metadata of the electronic document 111 generated according to the identification data, or a file name of the electronic document 111 generated according to the identification data. It will be appreciated by those skilled in the art that the metadata and the file name are both data that can be used to index the electronic document 111, so that the electronic document 111 and its carried identifying attributes need to be stored next. In the specific embodiment shown in fig. 1, the electronic document 111 carrying the identification attribute is stored in a file server 300 in data connection with the paper document processing device 100, and more specifically, the file server 300 is in data connection with the electronic module 110 and is in data connection with the identification module 120 at the same time, the electronic document 111 generated by the electronic module 110 is stored in the file server 300 in real time, and the identification module 120 accesses the file server 300 according to a predetermined protocol to write the identification attribute into a database associated with the electronic document 111, or sends the identification data to the file server 300 and triggers the file server 300 to convert the identification data into the identification attribute of the electronic document 111, and finally stores the electronic document carrying the identification attribute. In other embodiments, the volume server 300 may be implemented as a built-in unit of the identity module 120. Thus, all electronic documents 111 stored within the portfolio server 300 carry an identifying attribute that acts equivalently to their identity stamp. If the mark server 200 and the file server 300 are configured to operate independently of the paper document processing devices 100, the mark server 200 and the file server 300 may advantageously utilize the computing load of the mark server 200 and the file server 300 to the maximum extent that both can provide data services to multiple paper document processing devices 100 simultaneously.
With continued reference to fig. 1, the marking module 130 is configured to form an identification mark 11 generated according to the identification data on the paper document 10, and more specifically, the purpose of the identification mark 11 on the paper document 10 is to make the paper document 10 carry a paper document identification mark which is enough to be recognized by the computer system and corresponds to the identification attribute, so as to achieve the purpose of mapping the paper document 10 with the electronic document 111. Those skilled in the art will appreciate that the identification mark 11 can be obtained by processing the identification data using the existing identification code encoding rule, and the generation process of the identification mark 11 can be realized by the identification module 120 or the coding module 130. In order to keep the original information on the paper document 10 from being damaged or obscured, the identification mark 11 is preferably a coded pattern, such as a two-dimensional code or a bar code, that is painted or printed on the paper document 10 using invisible ink. The invisible ink is, for example, the existing ultraviolet fluorescent ink, the coding pattern printed by the invisible ink is invisible under common visible light, and only when the invisible ink is irradiated under ultraviolet light with the wavelength of 200nm to 400nm, visible light photons can be emitted, so that the visible light photons can be detected by a proper optical sensor. The advantages of using invisible inks further include: the content of the paper document is not occluded, and therefore the printing position can be freely defined, so that the layout of the identification mark 11 on the paper document 10 is more flexible. In other embodiments, the indicia 11 may be formed by ink-jet or printing with a light color that is not sufficient to affect proper reading of the paper document 10, and the invention is not limited thereto.
Since the contents recorded in the plurality of paper documents 10 are independent, it is desirable to keep the electronic documents 111 generated from the paper documents 10 independent, which can be realized by setting the specific data form of the identification data. Typically, the identification data is a unique random data sequence or a unique data sequence generated according to a predetermined rule. According to the identification attribute and the generation process of the identification mark, the identification data corresponding to each electronic document 111 is ensured to be unique, and the information carried by the identification mark 11 formed on the paper document 10 is ensured to be unique.
Further, in order to ensure that the identification mark 11 formed on the paper document 10 is effective, the paper document processing device 100 of the present embodiment preferably further comprises a code scanning verification module 140 for scanning and recognizing the identification mark 11 on the paper document 10 to ensure that the identification mark 11 is correct. Specifically, the scan verification module 140 may scan the identification mark 11, analyze the identification data, and send the identification data to the identification module 120 or the file server 300 for correctness verification.
To further reduce human intervention when the paper document 10 is scanned, printed and verified in the paper document processing device 100, it is preferable that the paper document processing device 100 in this embodiment further includes a paper feeding module (not shown in fig. 1) configured to transfer the paper document 10 from the electronization module 110 to the printing module 130 and transfer the paper document 10 from the printing module 130 to the code scanning and verifying module 140. Thus, the circulation of the paper document 10 within the paper document processing device 100 may be automated. The paper feeding module can be started or stopped by a trigger signal from any one or a combination of the electronization module 110, the identification module 120, the code printing module 130 and the code scanning verification module 140. Typically, the paper feed module comprises a paper feed section formed by a driven roller disposed between the above-mentioned respective modules.
In view of the fact that the paper document processing device 100 is suitable for use in an indoor office environment, the electronization module 110, the identification module 120, the coding module 130, the code scanning verification module 140, and the paper feed module may preferably be integrally packaged in the same device housing. This has the advantage that the device housing can be used to protect the various modules in the paper document processing device 100 from external elements during operation.
In another preferred embodiment, the spatial positions of the electronization module 110, the coding module 130 and the scanning and verifying module 140 in the paper document processing device 100 can be arranged such that the scanning, coding and code scanning verification performed after the paper document 10 is input into the paper document processing device 100 can be completed within a period of time when the paper document 10 is kept substantially still, which can minimize the risk of paper jam and paper breakage of the paper document 10 due to paper feeding, and can also increase the integration level of the paper document processing device 100 to reduce the floor space thereof.
After the scanning verification module 140 completes the scanning, identifying and verifying of the identification mark 11, the paper document 10 carrying the identification mark 11 is output to the outside of the paper document processing device 100, at this time, the information collection of the paper document 10 is completed, and the mapping relationship between the paper document 10 and the electronic document 111 is also determined by the corresponding relationship between the identification mark 11 and the identification attribute of the electronic document 111.
Referring to fig. 2, the present invention also provides a paper document processing system including a paper document processing apparatus 100, an identification server 200, and a folder server 300, wherein:
