The number of available cloud conference rooms, the number of available parties in the cloud conference rooms, the number of terminals currently accessed in the cloud conference rooms and the current use condition of the cloud conference rooms can be directly inquired in a management system of the cloud conference rooms. The number of the available parties in the cloud conference room is the number of the video conference terminals which can be connected into the cloud conference room, namely, one cloud conference room can be connected with a plurality of video conference terminals, and one or more cloud conference rooms can be selected according to the number of participants during video conference.
The specific method for confirming available conference resources near the non-attendee and informing the non-attendee of the conference resources is that the system automatically collects all conference resource information, acquires the geographical position of the non-attendee and sends the collected conference resource information to the non-attendee according to the acquired geographical position of the non-attendee. The recommended entity meeting room received by the non-participating personnel can be sorted based on the distance to the position of the non-participating personnel, the recommended entity meeting room received by the non-participating personnel can be sorted based on the idle positions in the used entity meeting room, or the recommended entity meeting room can be sorted based on the performance of equipment in the meeting room, and a list of already participating personnel in the available entity meeting room (the already participating personnel in the meeting room can be obtained from the list of personnel checked in the meeting room), a list of equipment, the time required by the participating personnel to arrive at the meeting room, and the like can be used for the non-participating personnel to select a proper meeting room for participating. After receiving the recommended entity conference room, the non-participating personnel can select the entity conference room which the non-participating personnel desires to go, at the moment, the server reserves the free position of the entity conference room for the non-participating personnel who select the conference room, and meanwhile, the detailed information of the recommended entity conference room which is sent to other non-participating personnel is updated, so that the situation that when multiple people reach the participating party, no free position exists due to the fact that multiple people simultaneously select one entity conference room and exceed the number of available free positions is avoided. The administrator may select the manner, content, frequency, and degree of enforcement of the notification in advance according to the degree of importance of the conference. The notification mode can be notification through a bound video conference terminal, notification through a video conference program installed by mobile equipment, notification through instant messaging equipment, notification through a short message program and notification through a voice telephone program; the notification content can be a video screenshot of the current conference, a short video of the current conference, the conditions of participants of the current conference, a link for entering the current conference by one key, a conference summary of the current conference and a link of a video recording of the current conference.
In a specific example, if a user a accepts a meeting invitation with a meeting topic of "mediterranean", but the user a does not sign in before the meeting starts, the system will automatically make a meeting notification to the user a in sequence according to priorities of a notification through a bound video conference terminal, a notification through a video conference program installed on a mobile device, a notification through an instant messaging program, a notification through a short message program and a notification through a voice telephone program, and will send a list of available meeting resources near the user a to the user a, wherein the list includes an entity meeting room available near the user a, and the available entity meeting room subordinate list includes the number of people that the entity meeting room can accommodate, the current number of people in the entity meeting room, the number of video conference terminals in the entity meeting room, the geographic location of the entity meeting room, a list of people already participating in the entity meeting room, and the current use condition of the entity meeting room, the current usage status is whether the physical conference room is currently in a video conference or a general conference. The list may also include available cloud conference rooms, and the subordinate list of the available cloud conference rooms further includes the number of available parties in the cloud conference room, the number of terminals currently accessed in the cloud conference room, and the current use condition of the cloud conference room. The user A can reserve an available entity conference room nearby and carry out video conference in the entity conference room according to the actual situation of the user A, or directly use a video conference terminal of the user A or a video conference program installed on the mobile device to join the selected cloud conference room. If a plurality of cloud conference rooms are available, when a user enters a meeting through the cloud conference rooms, the system can automatically select a cloud conference room with a proper number of parties for the user to enter the meeting, and meanwhile, the cloud conference room used in the meeting is recommended to other non-participating users. The plurality of enabled cloud conference rooms can participate in the conference with the same theme, the merging and the opening of the plurality of enabled cloud conference rooms are similar, the number of participants can be the sum of the plurality of enabled cloud conference rooms, and all people participating in the conference with the same theme can be seen when the cloud conference room is added. And after the conference is finished and all the conference rooms exit from one cloud conference room, the cloud conference room is independent again to be selected by a new conference. Therefore, the use mode of the cloud conference room can be automatically and flexibly configured according to actual requirements. The mode can effectively save the time for participating personnel to join the video conference, and can flexibly distribute the terminals and the cloud conference rooms based on the number of persons that can be accommodated by each terminal, so that the video conference can be smoothly carried out.
In another embodiment, if the user a accepts the meeting invitation with the meeting theme of "mediterranean", and the importance level of the meeting preset by the administrator is high, and if the importance level preset by the administrator is high, the corresponding notification content is the video screenshot of the current meeting, the meeting summary of the current meeting and the link of the video recording of the current meeting; the set notification mode is that the notification is carried out in sequence according to the following sequence, namely the notification is carried out through a bound video conference terminal, the notification is carried out through a video conference program installed by mobile equipment, the notification is carried out through instant communication equipment, the notification is carried out through a short message program and the notification is carried out through a voice telephone program; the notification frequency and the mandatory degree are notified in a notification mode which is changed from ten minutes without interval, that is, if the feedback of the participation notification of the user A is still received at the interval of ten minutes, the user A receives the conference participation notification of the video conference according to the notification mode, the content, the frequency and the mandatory degree which are preset by an administrator, and if the user A does not participate after the conference is finished, because the importance degree of the video conference is high, the conference summary of the video conference and the video record link of the video conference are sent to the user A after the conference is finished, so that the user A can check the conference summary and the video record link of the video conference by himself. The method effectively improves the conference effect, so that the personnel who cannot participate in the conference can check the content of the conference at the later stage, and the condition of missing important information is avoided.

Specifically, after detecting that the user a joins the cloud conference room, the system automatically sends a notification to an administrator of the cloud conference room and people who have entered the conference, the notification may be displayed on a screen in a bullet screen manner or sent to the user in a message notification manner, and after receiving the notification of the user a, the administrator and the people who have entered the conference may communicate with the user a in the video conference. This way the user does not wait awkwardly when entering the conference room.

Specifically, if the user a binds the personal identity information with the dedicated video conference terminal in advance, a conference invitation is sent to the dedicated video conference terminal before the video conference starts, the conference invitation notification is displayed on a screen of the dedicated video conference terminal, and a conference number of the video conference and a topic name of the video conference are displayed on the conference notification; if the user A binds the personal identity information with the instant messaging program of the user in advance, a meeting invitation is sent to the instant messaging program (such as a WeChat) before the video conference starts, a meeting invitation notification is sent to the user A in the form of a WeChat applet, and a conference number of the video conference and a subject name of the video conference are displayed on the meeting notification; if the user A binds the personal identity information with the mobile equipment number (mobile phone number) of the user in advance, sending a short message to the mobile equipment to notify the meeting or remind the meeting in a voice call mode before the video conference starts, wherein the short message comprises the conference number of the video conference and the subject name of the video conference, and can also comprise a link for directly entering the meeting, and the user can click a link in the short message to enter the meeting; if the user a binds the personal identity information with a plurality of communication terminals in advance, the user a is sequentially sent with different communication terminals to the meeting invitation according to a preset priority order, where the preset priority order may be: notification through a bound video conference terminal, notification through a video conference program installed by a mobile device, notification through an instant messaging program (WeChat), notification through a short message program, notification through a voice call program.
And the receiving confirmation instruction module is used for receiving a confirmation instruction of the conference invitation.
As an example, the specific way of receiving the confirmation instruction of the meeting invitation is that the server receives a confirmation operation of the meeting participants after receiving the meeting invitation, and the personnel who accept the meeting invitation automatically generates a list of the meeting participants to be stored in the server, and at the same time, automatically adds the time of the meeting into the schedule of the personnel who accept the meeting invitation, and if the user does not process the meeting invitation notification after exceeding a preset time threshold, that is, the user does not reject the meeting invitation nor accept the meeting invitation, the server sends the meeting invitation to the user again until the meeting starts. Specifically, the user a accepts the meeting invitation after receiving the meeting invitation notification, the name of the user a appears on the meeting staff list, the time of the video meeting is automatically added into the schedule of the user a, and if the preset time threshold is 30 minutes, the server still receives the operation instruction of the user a on the meeting invitation after 30 minutes, and the server sends the meeting invitation to the user a again. It should be noted that the person who accepts the meeting invitation may view the list of participants through a video conference program installed on the video conference terminal or the mobile device of the user a.
And the confirmation module is used for confirming the identity information of the participators.
As an example, the specific manner of confirming the identity information of the attendee is that an administrator sets a conference sign-in start time and a conference sign-in end time in advance, and confirms the identity information of the attendee according to the sign-in condition of the attendee when joining the conference, and the sign-in manner may be that the face information of the attendee is recognized through a face recognition technology, and the face information is compared with the identity information prestored in the server to confirm the identity information of the attendee; the method comprises the steps that a mobile terminal is used for scanning a two-dimensional code displayed on a screen, and the identity information of a participant is identified according to the identity information bound by the mobile terminal; directly accessing to a meeting by using a video conference program installed on a video conference terminal or mobile equipment, and further reading account information bound with the video conference program installed on the video conference terminal or mobile equipment to determine identity information of participants; comparing the acquired voiceprint information of the user with identity information prestored in the server by using a voiceprint recognition technology to confirm the identity information of the participants; and confirming the identity information of the participants according to the mobile phone number bound by the instant communication program by clicking the conference sign-in key on the instant communication program. And if the person entering the meeting is found to be a person not in the list of the attendees in the process of checking in, sending the identity information of the person to an administrator for confirmation.
For a specific example, as shown in fig. 2, an administrator may set, through a video conference terminal, a conference sign-in start time and a conference sign-in end time before a video conference starts, the conference sign-in end time may also be set manually, and the administrator needs to set a generated attendee list as a sign-in list, and after the administrator sets the sign-in list, the sign-in list may be displayed on a screen, and at the same time, attendees may view the sign-in situation of the conference through a video conference program installed on the video conference terminal or a mobile device. If multiple participants use the same video conference terminal to carry out video conference, the face information of the participants can be obtained through a camera on the video conference terminal, the face information is compared with face information stored in the server in advance to confirm the identity information of the participants, the attendance is completed, and if the face information corresponding to the face information cannot be found in a database stored in the server in advance, a user can check in through a two-dimensional code displayed on a scanning screen of the mobile equipment. As shown in fig. 3-4, the attendees can scan the two-dimensional code displayed on the screen by using the mobile device, the identity information of the user bound on the mobile device can be acquired by scanning the two-dimensional code, the identity information of the user is determined, the attendance is completed, the number of people who have checked in and the name of the attendee who has checked in are displayed on the periphery of the two-dimensional code, and the attendee can check in successfully by the method, and the attendees can visually see whether the attendees have checked in or not and can also remind the non-attendee of checking in. The participant can also sign in by using voiceprint recognition, and the participant can compare the acquired voiceprint information with the voiceprint information prestored in the server database only by speaking the name of the participant to the microphone, so that the identity information of the current participant is judged, and the sign-in is completed. The check-in mode is convenient, the check-in can be completed without redundant operation of a user, and meanwhile, the condition that others check in instead is avoided. If a participant uses a special video conference terminal or a video conference program installed on a mobile device of a user alone to carry out a video conference, the server automatically acquires account information bound with the video conference terminal or the video conference program when the participant enters a conference, and confirms the identity information of the participant according to the account information, and the participant can automatically complete the sign-in without the participant sign-in again.
And the notification module confirms available conference resources near the non-participated personnel, notifies the non-participated personnel of the conference resources, and asks the non-participated personnel to participate by using the conference resources.
By way of example, the people who have not participated in the list of the participators can be the people who have not participated in by excluding the people who have checked in the list of the participators. The conference resource is one or a combination of an available entity conference room, the number of people that can be accommodated in the entity conference room, the current number of people in the entity conference room, the number of video conference terminals in the entity conference room, the geographic position of the entity conference room and the current use condition of the entity conference room; and/or one or a combination of available cloud conference rooms, the number of available parties in the cloud conference rooms, the number of terminals currently accessed in the cloud conference rooms and the current use condition of the cloud conference rooms. Whether the physical conference room is in use, the number of people that can be accommodated in the physical conference room, the current number of people in the physical conference room, the number of video conference terminals in the physical conference room, and the geographical location of the physical conference room can be determined by a management system of the physical conference room. The available physical conference room can be a physical conference room reserved for the conference and an idle physical conference room which is not reserved or used currently. And after the conference is finished and all the conference rooms exit from one cloud conference room, the cloud conference room is independent again to be selected by a new conference. Therefore, the use mode of the cloud conference room can be automatically and flexibly configured according to actual requirements. The mode can effectively save the time for participating personnel to join the video conference, and can flexibly distribute the terminals and the cloud conference rooms based on the number of persons that can be accommodated by each terminal, so that the video conference can be smoothly carried out.

And the feedback receiving module is used for receiving feedback of the participation notification based on the participation notification.
As an example, the specific way of receiving the feedback of the participant notification is to receive the participant notification of the notified participant or receive the conference suspending notification of the notified participant, and send the conference entering notification to the non-participant again after a predetermined time. Specifically, after detecting that the user a joins the cloud conference room, the system automatically sends a notification to an administrator of the cloud conference room and people who have entered the conference, the notification may be displayed on a screen in a bullet screen manner or sent to the user in a message notification manner, and after receiving the notification of the user a, the administrator and the people who have entered the conference may communicate with the user a in the video conference. This way the user does not wait awkwardly when entering the conference room.
It should be noted that although in the above detailed description several units/modules or sub-units/modules of the intelligent meeting notification apparatus are mentioned, this division is merely exemplary and not mandatory. Indeed, the features and functionality of two or more of the units/modules described above may be embodied in one unit/module according to embodiments of the invention. Conversely, the features and functions of one unit/module described above may be further divided into embodiments by a plurality of units/modules.

1. A method of intelligent meeting notification, comprising:
sending out meeting invitation to the participants;
receiving a confirmation instruction of the meeting invitation;
confirming the identity information of the participators;
confirming available conference resources near the non-participated personnel, informing the non-participated personnel of the conference resources, and asking the non-participated personnel to participate in the conference by using the conference resources;
receiving feedback of the participation notification based on the participation notification;
wherein the step of confirming available conference resources of the people not participating in the conference and informing the people not participating in the conference of the conference resources comprises the following steps:
collecting all available conference resource information;
acquiring the geographical position of the personnel who have not participated in; and
sending available meeting resource information nearby the non-attendee to the non-attendee based on the available meeting resource information;
receiving feedback of non-participators to the selected available conference resources, and updating the available conference resource information sent to other non-participators;
the conference resources include:
the number of available physical meeting rooms, the number of people that can be accommodated in the physical meeting rooms, the number of current people in the physical meeting rooms, the number of video conference terminals in the physical meeting rooms, the geographic position of the physical meeting rooms and the current use condition of the physical meeting rooms are one or a combination of the available physical meeting rooms and the physical meeting rooms; and/or
And the number of the available cloud conference rooms, the number of the available parties in the cloud conference rooms, the number of terminals currently accessed in the cloud conference rooms and the current use condition of the cloud conference rooms are one or a combination of the available cloud conference rooms and the number of the available parties in the cloud conference rooms.
2. The method of claim 1, wherein the step of sending meeting invitations to the participants comprises:
sending a meeting invitation to the participants through a communication terminal bound with the identity information of the participants in advance;
wherein the communication terminal includes: the video conference terminal, the video conference program installed on the mobile equipment, the instant communication program, the short message program and the voice telephone program are one or the combination of the video conference terminal and the mobile equipment.
3. The method of claim 1, wherein the step of receiving a confirmation instruction of the meeting invitation comprises:
