Detailed Description
The technical solutions in the embodiments of the present invention will be clearly and completely described below with reference to the drawings in the embodiments of the present invention, and it is obvious that the described embodiments are some, not all, embodiments of the present invention. All other embodiments, which can be derived by a person skilled in the art from the embodiments given herein without making any creative effort, shall fall within the protection scope of the present invention.
Referring to fig. 1, fig. 1 is a schematic flow chart of an information management method according to an embodiment of the present disclosure. The method comprises the following steps:
s101, detecting whether a position changing user exists in a user list of the organization system. The organizational systems may include, among other things, enterprise systems, mail systems, application systems, and so forth.
In a specific implementation, whether the position change user exists in a user list of the organization system can be detected in a real-time detection or offline detection mode. Further, whether the job change user exists in the user list of the organization system or not can be detected according to a preset time interval, wherein the preset time interval can be set according to the timeliness and safety requirements of the organization system, if the timeliness and safety requirements are high, the preset time interval can be short, and if the timeliness and safety requirements are low, the preset time interval is long. The preset time may include, but is not limited to, 10 minutes, 24 hours.
S102, when the job position changing users exist in the user list, whether the transaction documents in charge of the job position changing users are processed by other users in the user list is determined. The transaction document can be a work task, mail information, transaction file, and the like.
In a specific implementation, it may be determined whether the transaction document is allocated to another user in the user list in addition to the job change user, or whether the transaction document has been forwarded to another user for processing before the job change user is detected in the user list of the organization system.
S103, when the transaction receipt is processed by other users in the user list, the position authority of the position change user is recovered.
In a specific implementation, when the transaction document is processed by other users in the user list, the transaction document does not need to be processed by the reassigned user. In order to facilitate task handover of the job position changing user, the importance of the transaction document in charge of the job position changing user can be determined; and determining the time for recovering the position authority of the position change user according to the importance of the transaction document. If the importance of the transaction receipt is larger than the preset threshold value, the position authority of the position change user can be immediately recovered, and if the importance of the transaction receipt is not larger than the preset threshold value, the position authority of the position change user can be recovered after the preset time. After the job change user is recovered with the job authority, the job change user no longer has the job authority to process the transaction document, or view any item in the organization system, or receive notification information sent by other users in the organization system, and the like.
S104, when the transaction receipt is not processed by other users in the user list, selecting a first user from the user list to process the transaction receipt, and recovering the position authority of the position change user.
In a specific implementation, when the transaction document is processed by other users in the user list, the first user needs to be reassigned to process the transaction document. Before the transaction document is processed by the reassigned user, a second user needs to be selected from a user name sheet, wherein the second user is a user having qualification authority to assign the first user, and the second user comprises at least one of a superior user of the position change user, a user who processes the transaction document in the last step and a user who creates the transaction document; the first user can be selected from the user list to process the transaction document according to a selection instruction input by the second user. And when determining that the transaction document can be distributed to the first user for processing, recovering the position authority of the position change user. After the job change user is recovered with the job authority, the job change user no longer has the job authority to process the transaction document, or view any item in the organization system, or receive notification information sent by other users in the organization system, and the like.
Further, the method for selecting the second user from the user name list specifically includes: the business type of the transaction document can be determined; and selecting the second user from the user list according to the service type. For example, if a transaction document for which the job change user is responsible relates to an event for project development, the principal responsible for project development may be selected to reassign the handler who processed the transaction document. If the transaction document for which the job change user is responsible relates to process management, the person in charge of the process management can be selected to reassign the processor who processes the transaction document.
Further, if the second user includes a plurality of users, that is, a plurality of users all have the resource right to reallocate the first user, the priority of each of the plurality of users may be determined; and taking the user which is distributed by the user with the high priority in the plurality of users as the first user. For example, the priority of each user may be determined according to the position of each user in the plurality of users. If the position of a certain user is high, the priority of the user is high, and if a plurality of users assign the processing persons at the same time, the processing persons assigned by the users can be used as the first user to process the transaction document. If the job of a certain user is low, the priority of the user is low, and in the case where a plurality of users assign a processing person at the same time, the processing person assigned by the user does not need to be considered. For another example, the priority of each user may be determined according to the chronological order of the multiple users to assign the processing persons, and if a certain user assigns the processing person first, the processing person assigned by the user may be used as the first user to process the transaction document.
In the embodiment of the invention, whether a job position changing user exists in a user list of an organization system or not is detected, and whether a transaction document responsible for the job position changing user is processed by other users in the user list or not is determined when the job position changing user exists in the user list; when the business document is processed by other users in the user list, recovering the position authority of the position change user; when the business document is not processed by other users in the user list, selecting a first user from the user name list to process the business document, and recovering the position authority of the position change user. Therefore, timely processing of transaction documents is guaranteed, and the information processing efficiency is improved. And moreover, the position authority of the position change user is recovered in time, and the information safety is guaranteed.
Referring to fig. 2, fig. 2 is a schematic flowchart illustrating another information management method according to an embodiment of the present disclosure. The method comprises the following steps:
s201, detecting whether a position change user exists in a user list of the organization system. This step is the same as step S101 in the previous embodiment, and is not described again.
S202, when the job position changing user exists in the user list, determining whether the transaction document in charge of the job position changing user is processed by other users in the user list. This step is the same as step S102 in the previous embodiment, and is not described again.
S203, when the transaction receipt is processed by other users in the user list, recovering the position authority of the position change user. This step is the same as step S103 in the previous embodiment, and is not described again.
S204, when the transaction receipt is not processed by other users in the user list, selecting a first user from the user list to process the transaction receipt, and recovering the position authority of the position change user. This step is the same as step S104 in the previous embodiment, and is not described again.
And S205, sending a notification message to user equipment of a third user, wherein the notification message is used for prompting the third user of user change information of the transaction document, and the third user comprises at least one of a superior user of the job position change user, a responsible user of the organization system, a user who processes the transaction document in the previous step and a creating user of the transaction document.
The following is illustrated by specific examples:
for example, after the user A completes the shift procedure and reports to the enterprise system, the user A is determined to be not in the user list of the enterprise system through real-time detection, and the work task of the user A is not handed over, so that the user B is selected to redistribute the handlers, and the user B hands all the work task of the user A to the user C for processing. After the fact that all the work tasks are transferred to the user C for processing is determined, the position authority of the user A is recovered, and prompt information is sent to the user B and the user C, wherein the prompt information is used for prompting the user A to leave the position. If user a also wishes to review useful information from the enterprise system after a shift, user a cannot review any useful information about the enterprise since user a's job rights have been reclaimed.
For another example, a certain enterprise establishes a mail group, which is convenient for personnel in the enterprise to send mails. After the user D leaves the job, the change of the organization structure information of the enterprise is detected and determined regularly, and the user D is not on the user list of the enterprise, so that the user D is automatically deleted from the recipient list, and when a certain user of the mail group sends mails to other users of the mails in a mass mode, the user D cannot receive the mass mails, thereby effectively preventing the risk of information leakage.
It should be understood that the embodiment of the present Application may not only be applied to a work order system, but also be abstracted into a set of independent systems, so as to timely recover the authority of a job change user and redistribute users who process transaction documents, and connect to multiple systems (such as system a, system B, system C, system D, etc.) through multiple Application Programming Interfaces (APIs) provided to provide services for each system, thereby improving reusability of the independent systems and greatly saving labor cost.
It should be noted that the embodiments of the present application may be applied to multiple enterprises, and may also be applied to multiple systems of one enterprise. Meanwhile, before the employees of the enterprise leave the post/shift the post, the related authorities can be recovered and redistributed in advance by applying the scheme to serve as a necessary handover step before the employees leave the post/shift the post, so that the timely response of the enterprise process and the information safety problem are ensured, and the information is prevented from being illegally checked, leaked and damaged.
Referring to fig. 3, fig. 3 is a schematic structural diagram of an information management apparatus according to an embodiment of the present application. The device in the embodiment of the application comprises:
the detecting module 301 is configured to detect whether a job change user exists in a user list of the organization system.
A determining module 302, configured to determine, when a job change user exists in the user list, whether a transaction document in charge of the job change user is processed by other users in the user list.
In a specific implementation, it may be determined whether the transaction document is allocated to another user in the user list in addition to the job change user, or whether the transaction document has been forwarded to another user for processing before the job change user is detected in the user list of the organization system.
A recycling module 303, configured to recycle the position authority of the position change user when the transaction document is processed by another user in the user list; and when the transaction receipt is not processed by other users in the user list, selecting a first user from the user list to process the transaction receipt, and recovering the position authority of the position change user.
In a specific implementation, when the transaction document is processed by other users in the user list, the transaction document does not need to be processed by a reassigned user. In order to facilitate task handover of the job change user, the importance of the transaction document responsible for the job change user can be determined; and determining the time for recovering the position authority of the position change user according to the importance of the transaction document. And if the importance of the transaction document is not greater than the preset threshold, the position authority of the position changing user can be recovered after the preset time. After the job change user is recovered with the job authority, the job change user no longer has the job authority to process the transaction document, or view any item in the organization system, or receive notification information sent by other users in the organization system, and the like.
When the transaction document is processed by other users in the user list, the first user needs to be redistributed to process the transaction document. Before the transaction receipt is processed by the reassigned user, a second user needs to be selected from a user name receipt, wherein the second user is a user who has qualification permission to assign the first user, and the second user comprises at least one of a superior user of the job position changing user, a user who processes the transaction receipt in the last step and a user who creates the transaction receipt; the first user can be selected from the user list to process the transaction document according to a selection instruction input by the second user. And recovering the position authority of the position change user when the first user processing to which the transaction document can be distributed is determined.
For example, if a transaction document for which the job change user is responsible relates to an event of project development, the principal responsible for project development may be selected to reassign the handler who handles the transaction document.
For another example, the priority of each user may be determined according to the time sequence of the multiple users assigning the processors, and if a certain user assigns the processor first, the processor assigned by the user may be used as the first user to process the transaction document.
Optionally, the sending module 304 is configured to send a notification message to a user device of a third user, where the notification message is used to prompt the third user of user change information of the transaction document, and the third user includes at least one of a superior user of the job position change user, a user in charge of the organization system, a user who has processed the transaction document in a previous step, and a user who creates the transaction document.
Meanwhile, before the employees of the enterprise leave the post/shift, the related authorities can be recovered and redistributed in advance by applying the scheme to serve as a necessary handover step before the employees leave the post/shift, so that the timely response of enterprise processes and the information safety problem are ensured, and the information is prevented from being illegally checked, leaked and damaged.
