Abstract
The present disclosure relates to an electronic archive management system and method. The electronic file management system comprises an electronic file server and a first management server; the first management server is connected with the electronic file server, and acquires an accounting file and one or more business documents corresponding to the accounting file through the first management server; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to an electronic file server; the electronic file server receives the electronic file identification, the accounting file and the business document sent by the first management server, associates the accounting file and the business document according to the electronic file identification, and stores the accounting file and the business document as electronic files. Therefore, centralized and ordered filing of the electronic archives is realized, and simultaneously, the stored accounting archives and related business documents can be rapidly inquired in the electronic archive management system according to the electronic archive identification.
Description
Technical Field
The present disclosure relates to the field of computer technologies, and in particular, to an electronic archive management system and method.
Background
The electronic archive refers to a general electronic image file set which is stored by devices such as a computer disk and is associated with a paper archive. With the comprehensive approval of the electronic files in the country, the electronic files are widely used by enterprises, public institutions and state organs to replace paper files, so that the use of paper is reduced, and the files are convenient to inquire and manage. However, for group-type enterprises or enterprises with larger scale, different sets of platforms are often used to complete different file management works, and how to collect, arrange and file different electronic files in the sets of platforms for convenient reference is a problem to be solved urgently.
Disclosure of Invention
To solve the above problems, the present disclosure provides an electronic archive management system and method.
In a first aspect, the present disclosure provides an electronic archive management system, the system comprising an electronic archive server and a first management server; the first management server is connected with the electronic archive server, wherein:
the first management server is used for acquiring an accounting file and one or more business documents corresponding to the accounting file, wherein the business documents are electronic data for recording a business behavior corresponding to the accounting file; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to the electronic file server;
the electronic archive server is used for receiving the electronic archive identification, the accounting archive and the business document sent by the first management server, associating the accounting archive and the business document according to the electronic archive identification, and storing the accounting archive and the business document as the electronic archive.
Optionally, the system further includes one or more second management servers connected to the first management server, wherein:
the first management server is used for sending a business document request message of the accounting file to the second management server; receiving one or more business documents which are sent by the second management server and correspond to the accounting files;
and the second management server is used for receiving the business document request message sent by the first management server and sending one or more business documents corresponding to the accounting file to the first management server according to the business document request message.
Optionally, the first management server is further configured to obtain one or more original credentials corresponding to the business document; sending the original certificate to the electronic file server;
the electronic archive server is also used for receiving the original certificate sent by the first management server; and associating the original voucher with the business document and storing the original voucher and the business document as an electronic file.
Optionally, the first management server is configured to obtain one or more original credentials corresponding to the business document through one or more of the following manners: acquiring the original certificate from a preset image device; obtaining the original credential from the first management server; obtaining the original credential from the second management server.
Optionally, the electronic archive server is further configured to, when the original credential is in the target file format, parse the original credential to generate an OFD format document, associate the generated OFD format document with the service document, and store the OFD format document as an electronic archive.

and the electronic archive server associates the accounting archive with the business document according to the electronic archive identification and stores the accounting archive and the business document as electronic archives.

The following detailed description of specific embodiments of the present disclosure is provided in connection with the accompanying drawings. It should be understood that the detailed description and specific examples, while indicating the present disclosure, are given by way of illustration and explanation only, not limitation.
In the description that follows, the terms "first," "second," and the like are used for descriptive purposes only and are not intended to indicate or imply relative importance nor order to be construed.
First, an application scenario of the present disclosure will be explained. The present disclosure may be applied to the field of electronic archive management. For group type enterprises or enterprises with larger scale, due to more departments, more projects and complex business, different file management works are collected and stored by using a plurality of different types of management platforms at the same time, so that the electronic files of the enterprises are dispersed in the plurality of sets of management platforms.
Illustratively, management platforms commonly used in an Enterprise include an ERP (Enterprise Resource Planning) platform, an expense reimbursement management platform, a project management platform, and a contract management platform, and further include interface services with a plurality of peripheral platforms, such as an interface with a bank platform, an interface with a tax platform, and the like. Accounting archives can be stored in the ERP platform, according to the regulation of the state 'accounting archive management method', the accounting archives comprise any one of accounting documents, accounting book, financial accounting reports and other accounting data, and the other accounting data comprise archives such as bank statement of account, tax payment statement. The expense reimbursement management platform can store reimbursement archives, the project management platform can store project archives, and the contract management platform can store contract archives. In the in-service use, often need the staff of enterprise to look up, collect, arrange in order and file various electronic files from different management platforms, it is not convenient enough to use, and causes the manpower extravagant. In order to solve the above problems, the present disclosure provides an electronic archive management system and method, the electronic archive management system including an electronic archive server and a first management server; the first management server is connected with the electronic file server, and acquires an accounting file and one or more business documents corresponding to the accounting file through the first management server; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to an electronic file server; the electronic file server receives the electronic file identification, the accounting file and the business document sent by the first management server, associates the accounting file and the business document according to the electronic file identification, and stores the accounting file and the business document as electronic files. Therefore, centralized and ordered filing of the electronic archives is realized, and simultaneously, the stored accounting archives and related business documents can be rapidly inquired in the electronic archive management system according to the electronic archive identification.

FIG. 1 is a schematic structural diagram of an electronic archive management system provided in an embodiment of the present disclosure, as shown in FIG. 1, the electronic archive management system includes an electronic archive server 110 and a first management server 101; the first management server 101 is connected to the electronic file server 110, wherein:
the first management server 101 is configured to obtain an accounting file and one or more business documents corresponding to the accounting file, where the business documents are electronic data for recording a business behavior corresponding to the accounting file; acquiring an electronic file identifier according to the accounting file; sending the electronic file identifier, the accounting file and the business document to an electronic file server 110;
the electronic archive server 110 is configured to receive the electronic archive identifier, the accounting archive and the business document sent by the first management server 101, associate the accounting archive and the business document according to the electronic archive identifier, and store the accounting archive and the business document as an electronic archive.
It should be noted that, the enterprises and public institutions all need to have accounting archives to perform financial accounting, so the electronic archive management system of the present disclosure associates and integrates the business documents corresponding to the accounting archives based on the accounting archives, and stores the business documents as electronic archives. Accounting archives in this disclosure include any one of accounting document, accounting book, financial accounting report and other accounting data stipulated in above-mentioned "accounting archive management method", and other accounting data include archival data such as bank statement, tax payment statement.

By adopting the system, the accounting file and one or more business documents corresponding to the accounting file are obtained through the first management server; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to an electronic file server; the electronic archive server receives the electronic archive identifier, the accounting archive and the business document sent by the first management server 101, associates the accounting archive and the business document according to the electronic archive identifier, and stores the accounting archive and the business document as electronic archives. Therefore, centralized and ordered filing of the electronic archives is realized, and meanwhile, the stored accounting archives and business documents can be rapidly inquired in the electronic archive management system according to the electronic archive identification.
Fig. 2 is a schematic structural diagram of another electronic file management system according to an embodiment of the disclosure, as shown in fig. 2, the electronic file management system further includes one or more second management servers 102 (including a second management server 1021, second management servers 1022, …, and a second management server 102n), the second management server 102 is connected to the first management server 101, wherein:
the first management server 101 is configured to send a service document request message of the accounting file to the second management server 102; receiving one or more business documents corresponding to the accounting document sent by the second management server 102;
the second management server 102 is configured to receive the service document request message sent by the first management server 101, and send one or more service documents corresponding to the accounting file to the first management server 101 according to the service document request message.
The second management server 102 may include one or more of the expense reimbursement management platform, the project management platform, and the contract management platform, and these management platforms may all be connected to the first management server, and the docking manner may be determined according to the actual conditions of each system, for example, the docking manner may be determined by a message, or may be docked by using any one of a WebService interface, a Hession interface, an intermediate library, and an intermediate table.
Because the management platforms of an enterprise are more, a plurality of business documents corresponding to the same accounting file can be stored on different management platforms, and in order to achieve unified filing management, the business documents need to be acquired from one or more second management servers by a first management server. Therefore, under the condition that an enterprise has a plurality of management platforms, the correlation filing of the accounting data and the business documents in the electronic archives is realized, and the efficiency of inquiring and processing the accounting archives and the business documents is improved through the centralized management of the electronic archive management system.
In some other embodiments of the present disclosure, the first management server 101 may be further configured to obtain one or more original credentials corresponding to the business document; sending the original certificate to the electronic file server;
the electronic file server 110 is further configured to receive the original certificate sent by the first management server 101; the original voucher is associated with the business document and stored as an electronic file.
The original voucher can comprise an original bill and/or an original file, and the original bill can comprise one or more of an invoice, a receipt, a delivery order, a warehousing order and a bank receipt; the original documents may include one or more of project documents, contract documents, notification documents, chapter documents, and approval documents.
Therefore, the original voucher is associated with the business document through the system, the authenticity and the reasonability of the electronic file can be checked according to the original voucher and the business document, and the traceability of the electronic file is realized.
Fig. 3 is a schematic structural diagram of another electronic file management system according to an embodiment of the disclosure, as shown in fig. 3, the electronic file management system further includes a default imaging device 301 and a peripheral platform server 302, wherein:
the first management server 101 may be configured to obtain one or more original credentials corresponding to the business document by one or more of the following manners:
in a first way, the original voucher is obtained from the predetermined image device 301.
The preset imaging device 301 may include a camera, a video camera, a scanner, and the like, and may capture or scan a paper original document to obtain the original document in an electronic form.

In this manner, a part of the original credential is stored on the first management server 101, and the original credential can be acquired from the first management server 101. For example, the second management server 102 includes the expense reimbursement management platform, the project management platform, and the contract management platform, and respectively stores original certificates such as reimbursement receipt certificates, project texts, and contract texts, so that these types of original certificates corresponding to the business documents can be obtained through the second management server.

In the case where a financial settlement period is not completed, the electronic archive may be stored in the first management server and the second management server without archiving.
Therefore, the arrangement and filing work of the electronic files can be conveniently carried out by enterprises according to the implementation requirements.
In addition, the electronic archive server can store and retrieve the electronic documents in a mode of combining an object storage system, tape storage and hard disk storage, so that the safety and the usability of storing a large amount of data can be ensured; and the electronic archive can be quickly retrieved and inquired through the strong file retrieval capability of the object storage.

By adopting the method, the accounting file and one or more business documents corresponding to the accounting file are obtained through the first management server; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to an electronic file server; the electronic file server receives the electronic file identification, the accounting file and the business document sent by the first management server, associates the accounting file and the business document according to the electronic file identification, and stores the accounting file and the business document as electronic files. Therefore, centralized and ordered filing of the electronic archives is realized, and meanwhile, the stored accounting archives and business documents can be rapidly inquired in the electronic archive management system according to the electronic archive identification.
In some other embodiments of the present disclosure, the electronic archive management system may further comprise one or more second management servers, the second management servers being connected with the first management server; the first management server acquires one or more business documents corresponding to the accounting file in the following modes:
firstly, the first management server sends a business document request message of the accounting file to the second management server;
secondly, the second management server receives the business document request message and sends one or more business documents corresponding to the accounting file to the first management server according to the business document request message;
finally, the first management server receives one or more business documents which are sent by the second management server and correspond to the accounting files.
The second management server 102 may include one or more of the expense reimbursement management platform, the project management platform, and the contract management platform, and these management platforms may all be connected to the first management server, and the docking manner may be determined according to the actual conditions of each system, for example, the docking manner may be determined by a message, or may be docked by using any one of a WebService interface, a Hession interface, an intermediate library, and an intermediate table.
Therefore, under the condition that an enterprise has a plurality of management platforms, the correlation filing of the accounting data and the business documents in the electronic archives is realized, and the efficiency of inquiring and processing the accounting archives and the business documents is improved through the centralized management of the electronic archive management system.
Further, in the actual electronic archive management, the original certificate also needs to be saved, and in some other embodiments of the present disclosure, the original certificate may be obtained and stored as an electronic archive in the following manner:
firstly, the first management server obtains one or more original certificates corresponding to the business documents.
Secondly, the first management server sends the original certificate to the electronic file server.
Thirdly, the electronic file server receives the original certificate sent by the first management server.
Finally, the electronic file server associates the original voucher with the business document and stores the original voucher as an electronic file.
The original voucher can comprise an original bill and/or an original file, and the original bill can comprise one or more of an invoice, a receipt, a delivery order, a warehousing order and a bank receipt; the original documents may include one or more of project documents, contract documents, notification documents, chapter documents, and approval documents.
Therefore, the original voucher is associated with the business document through the system, the authenticity and the reasonability of the electronic file can be checked according to the original voucher and the business document, and the traceability of the electronic file is realized.
In some further embodiments of the present disclosure, the method may further comprise: the electronic file server analyzes the original certificate under the condition of confirming that the original certificate is in a target file format so as to generate an OFD format document; and associating the generated OFD format document with the business document and storing the OFD format document as an electronic file.
It should be noted that the target file format may include one or more of PDF format, TXT format, and WORD format. Therefore, the original voucher is converted into the OFD format document to be stored, so that the original voucher can be freely browsed and checked conveniently, and the method and the device can be adapted to various operating systems.
Further, the method further comprises: the electronic file server performs electronic signature processing on the stored electronic file. Therefore, the real implementation and the safety of the electronic file are enhanced through the electronic signature processing.
Optionally, the electronic archive management system may also perform electronic archive archiving according to an electronic archive archiving request initiated by the user. The method comprises the following steps: the electronic file server is used for responding to the electronic file filing request after receiving the electronic file filing request initiated by a user and sending an accounting file acquisition request to the first management server; receiving the electronic file identification, the accounting file and the business document sent by the first management server, associating the accounting file with the business document according to the electronic file identification, and storing the accounting file and the business document as the electronic file.
The first management server is used for receiving the accounting file acquisition request, responding to the accounting file acquisition request, acquiring an accounting file and one or more business documents corresponding to the accounting file, wherein the business documents are electronic data for recording a business behavior corresponding to the accounting file; acquiring an electronic file identifier according to the accounting file; and sending the electronic file identification, the accounting file and the business document to an electronic file server. Therefore, the arrangement and filing work of the electronic files can be conveniently carried out by enterprises according to the implementation requirements.
In addition, the electronic archive server can store and retrieve the electronic documents in a mode of combining an object storage system, tape storage and hard disk storage, so that the safety and the usability of storing a large amount of data can be ensured; and the electronic archive can be quickly retrieved and inquired through the strong file retrieval capability of the object storage.
The preferred embodiments of the present disclosure are described in detail with reference to the accompanying drawings, however, the present disclosure is not limited to the specific details of the above embodiments, and various simple modifications may be made to the technical solution of the present disclosure within the technical idea of the present disclosure, and these simple modifications all belong to the protection scope of the present disclosure.
It should be noted that the various features described in the above embodiments may be combined in any suitable manner without departing from the scope of the invention. In order to avoid unnecessary repetition, various possible combinations will not be separately described in this disclosure.
In addition, any combination of various embodiments of the present disclosure may be made, and the same should be considered as the disclosure of the present disclosure, as long as it does not depart from the spirit of the present disclosure.
Claims (10)
1. An electronic archive management system, characterized in that, the system comprises an electronic archive server and a first management server; the first management server is connected with the electronic archive server, wherein:
the first management server is used for acquiring an accounting file and one or more business documents corresponding to the accounting file, wherein the business documents are electronic data for recording a business behavior corresponding to the accounting file; acquiring an electronic file identifier according to the accounting file; sending the electronic file identification, the accounting file and the business document to the electronic file server;
the electronic archive server is used for receiving the electronic archive identification, the accounting archive and the business document sent by the first management server, associating the accounting archive and the business document according to the electronic archive identification, and storing the accounting archive and the business document as the electronic archive.
2. The system of claim 1, further comprising one or more second management servers connected to the first management server, wherein:
the first management server is used for sending a business document request message of the accounting file to the second management server; receiving one or more business documents which are sent by the second management server and correspond to the accounting files;
and the second management server is used for receiving the business document request message sent by the first management server and sending one or more business documents corresponding to the accounting file to the first management server according to the business document request message.
3. The system of claim 2,
the first management server is further used for acquiring one or more original vouchers corresponding to the business documents; sending the original certificate to the electronic file server;
the electronic archive server is also used for receiving the original certificate sent by the first management server; and associating the original voucher with the business document and storing the original voucher and the business document as an electronic file.
4. The system of claim 3,
the first management server is configured to obtain one or more original vouchers corresponding to the business document in one or more of the following manners: acquiring the original certificate from a preset image device; obtaining the original credential from the first management server; obtaining the original credential from the second management server.
5. The system of claim 3,
and the electronic archive server is further used for analyzing the original certificate under the condition that the original certificate is in the target file format to generate an OFD format document, associating the generated OFD format document with the service document and storing the OFD format document as an electronic archive.
6. The system according to any one of claims 1 to 5,
the electronic file server is also used for carrying out electronic signature processing on the stored electronic files.
7. An electronic file management method is characterized by being applied to an electronic file management system, wherein the electronic file management system comprises an electronic file server and a first management server; the first management server is connected with the electronic archive server, and the method comprises the following steps:
the first management server acquires an accounting file;
the first management server acquires one or more business documents corresponding to the accounting files, wherein the business documents are electronic data for recording a business behavior corresponding to the accounting files;
the first management server acquires an electronic file identifier according to the accounting file;
the first management server sends the electronic file identification, the accounting file and the business document to the electronic file server;
the electronic file server receives the electronic file identification, the accounting file and the business document sent by the first management server;
and the electronic archive server associates the accounting archive with the business document according to the electronic archive identification and stores the accounting archive and the business document as electronic archives.
8. The method of claim 7, wherein the electronic archive management system further comprises one or more second management servers, the second management servers being connected to the first management server; the first management server acquiring one or more business documents corresponding to the accounting archive comprises the following steps:
the first management server sends a business document request message of the accounting file to the second management server;
the second management server receives the business document request message and sends one or more business documents corresponding to the accounting file to the first management server according to the business document request message;
and the first management server receives one or more business documents which are sent by the second management server and correspond to the accounting file.
9. The method of claim 7, further comprising:
the first management server acquires one or more original vouchers corresponding to the business receipts;
the first management server sends the original certificate to the electronic file server;
the electronic file server receives the original certificate sent by the first management server;
and the electronic file server associates the original certificate with the business document and stores the original certificate and the business document as an electronic file.
10. The method of claim 9, further comprising
Under the condition that the electronic file server confirms that the original certificate is in the target file format, analyzing the original certificate to generate an OFD format document; and associating the generated OFD format document with the business document and storing the OFD format document as an electronic file.
