しかしながら、従来の名刺管理システムでは、名刺の更新時の管理が煩雑であるというシステム構造上の基本的問題点を有していた。
以下、この問題点の内容について、一層具体的に説明する。

まず、名刺の改定の際に、関連書状（挨拶状など）の送付と名刺の再配布が同時に行えず重複費用が発生しているという問題点がある。また、名刺の配布側および受領側の双方にとって、名刺の最新情報、配布先などで名刺内容の変更の把握が困難であるという問題点がある。

また、従来の名刺の管理システムは、電子的に管理されている情報と、紙媒体（名刺、挨拶状）とのリンクをとることが難しいという問題点がある。例えば、名刺交換で入手した名刺の内容が変わった場合において、電子情報が従来の名刺管理システムで更新されていても、手持ちの紙媒体の情報を同時に更新することができなかった。また、新しい名刺や、挨拶状を入手した際には、各個人または各企業において電子情報を更新する必要が生じていた。すなわち、書状や挨拶状（メールなど）や名刺などの媒体間の情報一元管理の際には、探索や付き合わせ等に多くの時間やコストがかかっている。

さらに、従来の名刺の管理システムでは、例えば、個人や企業内の名刺の一括管理などが主な目的であるため、各企業間の名刺の管理が煩雑であるという問題点がある。すなわち、個人情報の管理にとどまり、サプライやデマンドチェーンなど企業の情報系システムとの連携が困難であり、業活動として組織的に活用することが困難であった。
