Example one
Referring to fig. 1, a flowchart of a method for sending a mail group according to an embodiment of the present invention is shown. The execution sequence in the flow chart can be changed and some steps can be omitted according to different requirements.
And S01, inquiring mail addresses corresponding to all members contained in the internal organization of the enterprise, and grouping and storing the mail addresses of all the members into a mail group according to the internal organization of the enterprise.
In this embodiment, the server is connected to an intranet system, and the server can import enterprise internal organization information through the intranet system, thereby facilitating acquisition of mail addresses corresponding to members of each department based on the organization architecture. And the server inquires the mail addresses corresponding to all the members contained in each department, and groups and stores the mail addresses of all the members into a mail group according to the internal organization of the enterprise.
Specifically, the internal organization of the enterprise includes a plurality of departments divided by functions (such as production, sales, development, and the like), and each department includes a department name and member information belonging to the department. For example, the internal organization of the enterprise includes the personnel department and the information of the members belonging to the department, so that the mail addresses corresponding to all the members included in the personnel department can form a mail group; the internal organization of the enterprise comprises a financial department and member information belonging to the department, and then mail addresses corresponding to all members included in the financial department can form a mail group; the internal organization of the enterprise comprises a development department, member information belonging to the development department and the like, and then mail addresses corresponding to all members included in the development department can form a mail group.
In one embodiment, the server may also add member email addresses to form an email group based on manual user input. For example, a user manually adds mail addresses of members who have a common preference within a company to create a mail group. For example, mail addresses of members in the company who like badminton are combined into a mail group.
In an embodiment, the server may further add the user to a corresponding enterprise internal organization according to the user information, and then establish the mail group according to the enterprise internal organization. Specifically, the server extracts keywords from the user information and matches the extracted keywords with department names in the internal organization of the enterprise. And when the keywords are matched with the department names in the internal organization of the enterprise, adding the user to the matching step, and then adding the mail address of the user to the corresponding mail group. The user information includes, but is not limited to, user position, specialty, preference information, and the like.
For example, when an enterprise adds a new member, professional information of the member needs to be entered into an enterprise internal system, and the server acquires the professional information of the member and extracts keywords (such as a computer) in the professional information, and then matches the keywords with an enterprise internal organization. When the keyword matches an internal organization of an enterprise (such as a computer department), the mail address of the member is added to a mail group for which the computer department is.
Preferably, the server may set an access level of the mail group. The access levels may include, but are not limited to, four access levels: anyone can access, only members within the enterprise can access, only members of the group can access, and the designated account can access. For example, if there is a mail group name of 123@ abc.com in abc corporation, the members in the group include 1@ abc.com; com, 2@ abc; com, 3@ abc.
(1) Anyone can access member accounts of abc company or other external domain mailboxes and can send the information to the mail group 123@ abc.com;
(2) Only internal members of the enterprise can access the member account number of the abc company, and the member account number can be sent to the mail group 123@ abc.com;
(3) Only group members can access means only 1@ abc.com; com, 2@ abc; com may be signalled to this mail group 123@ abc.com;
(4) The designated account number can be accessed, namely the designated account number is set to send a mail to the mail group. Com, then only this account may be posted to this mail group 123@ abc.
Preferably, the server may further set a group sending right of the mail group. The group sending authority can be set according to the role of staff (such as a supervisor, a group leader and the like) in the internal organization of the enterprise. For example, when the mail group includes mail addresses corresponding to all members of a financial department, a department manager of the financial department may be set to have the group sending authority of the mail group.
In this embodiment, the type of the email address corresponding to each member in the group email is not limited, and any email address with any suffix may be adopted as long as the user is bound to the email address with any legal authority. For example, the email address may be an email address generated by an enterprise server for a corresponding member. For example, when the server for sending and receiving the mail of the enterprise is the server of the enterprise, the mail address may be generated by registering the user with the server of the enterprise, and the type of the mail address may be prompted by a suffix name of the mail address, for example, when the mail address is 123456@ xx.com, and the suffix is "xx.com", for example, when the enterprise is a safe technology, the employee of the enterprise (such as zhangsan) may register with the server of the enterprise to generate the mail address such as zhangsan @ pingan.com. In addition, the mail address may be a mail address received by the server, to which the member is bound, and the mail address may be generated by the server registration of the user in any company, for example, "123456@ yy.
And S02, configuring a name and an ID for the mail group.
In this embodiment, the server may configure a name corresponding to an internal organization of the enterprise for the mail group. For example, the server establishes a mail group for the members of the first development project department, and names the mail group as the first development project department, wherein the group contains the mail addresses of all the members of the first development project department; the server establishes a mail group for the members of the second development project department, and names the mail group as a second development project department, wherein the group comprises mail addresses of all the members of the first development project department; the server establishes a mail group for the members of the development department according to the mail group, and names the mail group as a development department, wherein the development department comprises the first project department and the second project department, and therefore, the group comprises mail addresses of all the members of the first development project department and the second development project department.
It will be appreciated that the server also supports user customization of the mail group name.
In this embodiment, the mail group has a corresponding unique ID for distinguishing different mail groups.
And S03, when the internal organization of the enterprise is changed, updating the mail group in real time according to the changed internal organization of the enterprise.
In this embodiment, the intra-enterprise organizational change may include a movement, a leave job, or an addition of a person, or may be a reconstruction of an organizational structure.
Specifically, the step of updating the mail group in real time by the server according to the changed internal organization of the enterprise includes the following steps:
a) When the internal organization of the enterprise is changed, such as new addition or departure of employees, or new establishment and recombination of departments, the server imports the changed internal organization of the enterprise;
b) A new mail group is generated based on the changed internal organization of the enterprise. It is understood that the new mail group may be a plurality of mail groups, and each of the new mail groups includes mailbox addresses of all members corresponding to each department in the changed enterprise internal organization.
In one embodiment, the server may further be associated with an enterprise-internal personnel system, and data of the mail group is updated according to staff change information in the personnel system. Specifically, the server may obtain update data of the personnel system in the enterprise, and update information of the corresponding department of the internal organization of the enterprise according to the update data. Wherein the update data may comprise at least one of: updating data (such as adding and deleting of the employees) of the corresponding departments of the internal organization of the enterprise; and the enterprise internal organization is used for updating the data of the corresponding mail addresses of the employees of the corresponding department. For example, when the employee "zhangsan" changes the mail address to zhangsan @163.Com, the server may update the mail address in the mail group.
And S04, when the updated mail group is taken as a receiver of the mail, respectively sending the mail to each mail address in the updated mail group.
Specifically, when the user inputs the name of the mail group at the receiver of the default mail system, the server will send the mail to each mail address in the mail group. Therefore, the scheme that the mail can be sent to all members in the group only by inputting the name of the mail group without inputting the mail address of each member in the group one by one is realized.
In this embodiment, the server may set a mail system when the mail group sends the mail. The mail system comprises an enterprise-level mail system Microsoft Outlook, outlook express and the like which are defaulted by a user operating system, or various Webmail systems. In particular implementations, the user may be prompted to select an enterprise-level mail system that the user's operating system defaults to, or a Webmail system that the user selects. Of course, the user may set the mail system used for the mail group communication by himself in advance, and use the mail system as the default mail system for the mail group communication.
In an embodiment, the server may further increase the number of sent mails of the mail group in a preset time period. In the prior art, the mail group has a certain limit on the number of sent mails when sending mails, and generally the number of sent mails per day cannot exceed a threshold. If the number of sent mails exceeds the threshold, the risk that the mail group is prohibited occurs, and the situation that other single mails are not smooth to send and receive easily occurs. The server improves the mail sending quantity in the preset time period of the mail group by integrating SMTP sending and webpage protocol sending. Specifically, when the number of the mails sent by the mail group in the SMTP mode reaches the maximum sending number, the mails can be sent in the http protocol mode, so that the utilization rate of a single mailbox is improved, the total number of the mails sent every day is increased, and the sending success rate is greatly improved.
In summary, the method for sending the mail group provided by the present invention includes: inquiring mail addresses corresponding to all members contained in the internal organization of the enterprise, and grouping and storing the mail addresses of all the members into mail groups according to the internal organization of the enterprise; configuring a name and an ID for the mail group; when the internal organization of the enterprise is changed, updating the mail group in real time according to the changed internal organization of the enterprise; and when the updated mail group is taken as a receiver of the mail, respectively sending the mail to each mail address in the updated mail group. The method and the device have the advantages that when the internal organization of the enterprise changes, the mail group corresponding to the internal organization of the enterprise is updated in time, so that the mail can be sent to all members in the group only by inputting the name of the mail group, the mail address of each member in the group does not need to be input one by one, operation is simplified, and user experience is improved. The method can also improve the mail sending number of the mail group in the preset time period, thereby improving the utilization rate of a single mailbox, increasing the total number of mails sent every day and greatly improving the sending success rate.
While the invention has been described with reference to specific embodiments, it will be understood by those skilled in the art that various changes in form and details may be made therein without departing from the spirit and scope of the invention as defined by the appended claims.
