Detailed Description
Often, suppliers, intermediaries (e.g., sellers or retailers), and buyers are involved in the supply chain, and as an intermediary, there is contact with both the supplier and the buyer (i.e., the customer). As an intermediary, the system can involve the links of purchasing, receiving, selling, delivering, returning and processing, and the corresponding documents are required to be issued in each link. In the traditional processing process, each document exists independently of each link. For example, the general sales, purchase, and shipment are independent from each other, so that the whole document processing process is very complicated, which is not favorable for improving the work efficiency.
In order to solve the problem, the application provides a document generation method which can well solve the problem. FIG. 1 is a flow diagram of a document generation method in an embodiment, the method including the steps of:
step S110, product information of the current product is obtained.
The product information may include information such as product name, quantity, and supplier. The product information may be entered by the user via an input device, such as entering a product name via a keyboard, entering product picture information via a camera, etc. Product information may also be stored directly within the system, thereby forming a product list for selection by the user. The current product can be one or more.
And step S120, acquiring the change information of the current product.
The change information may include the product amount or the amount, or both the product amount and the amount. The change information is an essential part of the sales document. The change condition of the product, such as how many products are actually sold, the actual sale amount, etc., can be known through the acquired change information. Since the buyer may return goods during the sale of the product, the changed information at this time is returned product information including the returned product quantity, the returned product amount, and the like.
And step S130, generating an initial document according to the product information and the change information.
And generating an initial document according to the obtained product information and the change information. The initial document stores product information and change information. The initial document can be a sale document or a purchase document or any document which is associated with other documents. For example, the relevant document of the sales document corresponds to a purchase document, and the relevant document of the sales document may also correspond to a processed document.
Step S140 receives a command to generate a target document associated with the initial document.
The target document associated with the initial document is the document related to another link when corresponding operation is executed necessarily due to the link corresponding to the initial document. For example, when the initial document is a sales document, the corresponding delivery and purchase documents are needed, so that both the delivery document and the purchase document can be used as the associated target documents. For another example, when the initial document is a purchase document, there is a corresponding need for receiving, so the receiving document can be used as a target document associated with the purchase document.
The command of the target document can automatically prompt whether to generate the command of the associated document or not by the system after the initial document is generated, and the user selects whether to generate the associated target document or not. For example, after the initial document is generated, the system automatically pops up a command request whether to generate a response associated document, and the user can accept the request or reject the request. In another embodiment, the command for the target document may be entered directly by the user via a corresponding input device. The input device may be a keyboard, a mouse, a touch screen, a voice recognition device, etc. Specifically, the initial document is provided with a virtual key for generating a command of the target document, and a user can click the virtual key through mouse click or touch operation and the like to generate a corresponding command. For example, taking an initial document as a sales document as an example, a virtual key for generating a purchase document is arranged in a sales document interface, and a command for generating the purchase document can be issued only by clicking the virtual key for generating the purchase document by a user.
And S150, generating a target bill according to the product information and the change information.
After receiving the command, the corresponding product information and the change information can be directly obtained from the initial document, and then the target document is generated according to the related information, so that the product information and the change information do not need to be input again in the generation process of the target document, the operation flow is simple, and the work efficiency is favorably improved.
In one embodiment, the change information includes product attributes of the current product. The product attributes include sales attributes and return attributes. Usually, the intermediate dealer can return the goods by the buyer while selling the goods, and at this time, the initial document needs to be generated according to whether the product is a sold product or a returned product, so that other management documents can generate corresponding documents according to the product attribute in the initial document conveniently. By setting the product attribute, the initial document can be used as a sale document and a return document, namely the initial document can be used as a universal document.
Specifically, when the product attribute is the sales attribute, the initial document is used as the sales document, and when the product attribute is the return attribute, the initial document is used as the return document. The product attribute can be determined by the product quantity and the positive and negative condition of the money amount. When the product quantity is positive or the amount is positive, the product attribute is a sales attribute. And when the product quantity is negative or the sum of money is negative, the product attribute is a return attribute. For example, when the current product is a sales product, the user may input a numerical value that is a positive number when inputting the number of products, thereby making it have sales attributes. The system can know whether the initial document belongs to a sales document or a return document according to the positive and negative conditions of the input numerical value. Likewise, if the product is a return product, it is necessary for the facilitator to pay out the corresponding amount, so that the product can be given return attributes when the user enters a negative product quantity or amount.
The method in the above embodiments is further described with reference to specific embodiments. When the current product is a sales product, an initial document is generated according to product information of the current product, such as the product name, the model number and the like, and the sales amount and the money of the product, and the initial document is used as the sales document. After a virtual key of a delivery document associated with the sales document is clicked, product information and change information in the sales document are directly called to generate the delivery document. The number of products in the variation information corresponds to the delivery amount. In one embodiment, if the current product is a return product, i.e., has return attributes, an initial document is generated according to the product information of the return attributes, and the initial document is used as the first return document. In one embodiment, the product amount may be added, modified, deleted, etc.
In an embodiment, in step S110, the image information of the current product may be acquired, so that the product information is generated according to the image information to generate the initial document. That is, at this time, the sales document can be generated quickly only by uploading the product picture information and inputting the corresponding change information such as the product quantity or the amount of money. For example, the image information of the product can be shot by using a camera device with a camera, such as a mobile phone, or the image information of the product stored in other terminals can be directly transmitted to the system. Of course, the picture information can also be directly stored in the system, so that the picture information can be directly called. In other embodiments, the picture information of the product may be a table in which the information of the product to be sold is recorded and a picture of the graphic information. The table includes information such as the name, selling unit price, quantity, and number of the product. In this case, the variation information can be obtained in synchronization with the product information. The picture information is used to generate an initial document. Since the relevant product information is already recorded in the picture, the product information in the initial document does not need to be edited. That is, in this embodiment, the customer can upload a plurality of photos by uploading the photos of the product list, can conveniently and quickly acquire the product information in the initial document, and is simple and efficient in whole operation.
In another embodiment, in step S110, after the identification information of the product is obtained, the product information corresponding to the identification information may be generated according to the identification information. Specifically, the identification information may be bar code information on the product, such as a two-dimensional code, a bar code, and the like. That is, the corresponding product information can be acquired by scanning the two-dimensional code or the barcode on the product. This identification information needs to be entered by the scanning device as an input device at this time. In another embodiment, the identification information may be input through an input device such as a mouse or a keyboard. For example, when the scanner device is out of order or the barcode is broken, the barcode information may be directly input through a keyboard or the like.
In another embodiment, step S110 may be implemented by a process as described in fig. 2, which includes the following sub-steps:
step S210, a preset product list is obtained.
In this embodiment, a predetermined product list is produced according to the products in the stock. The preset product list may be used only for querying and calling product information. In another embodiment, the preset product list may also display corresponding inventory quantity information. Such as by the background color of the corresponding product to distinguish which products are in sufficient inventory and which products are in insufficient inventory. Whether the inventory quantity is sufficient may be comparing the inventory quantity to the product quantity in the change information entered by the user. Specifically, when the number of sales is greater than the stock number, the preset product list marks the product with less stock near the corresponding product in the list or marks the color red and the like to indicate that the stock is insufficient.
In an embodiment, the user may obtain and invoke the preset product list by forming a corresponding virtual key in the interface. Specifically, after the user clicks the virtual key, the preset product list is displayed, and the preset product list can be dragged in the list, so that each product in the list can be searched. In other embodiments, a corresponding trigger operation may be set to obtain the preset product list. For example, when the user clicks the input box area of the product information, the preset product list is displayed. The preset product list may be predefined and pruned as needed. The products in the preset product list may be products in an initial document previously generated or pre-added in the product list by the user or the system.
Step S220, obtaining a corresponding product from a preset product list.
Searching for the products in the displayed preset product list, and then selecting the corresponding product name. The selection may be set as a single click selection or a double click selection. In one embodiment, when the number of selected corresponding products exceeds the inventory number, a limit is imposed to disable the next step, etc. to ensure that the products sold must be the products present in the inventory.
Step S230, retrieving product information of the product according to the selected product.
Usually, the product information of the product in the preset product list is also pre-stored in the system, so that when the name of the product is selected from the list, the product information can be called in the system according to the name, a user does not need to independently input and edit the product information, and the operation efficiency is improved.
In another embodiment, each generated initial document is stored to form a historical initial document for the corresponding product. At this time, in step S110, the product information is acquired by directly copying the history initial document, and also the user does not need to manually input the corresponding product information again. For example, each generated sales document is stored to form a historical sales document. Therefore, when the sales document is generated, the historical sales document corresponding to the product can be directly copied, so that the product information in the historical sales document can be directly obtained without editing the product information, and the operation is simple, convenient and efficient. The user can quickly generate the sales document only by editing the change information.
In one embodiment, the initial document is a sales document, and the associated target document may be at least one of a purchase document, a delivery document, and a process document. Specifically, a virtual key for generating the associated target document may be set in the formed interface of the sales document. For example, virtual buttons for generating purchase documents, delivery documents and processing documents are arranged at the bottom of the sales documents. When the user clicks one of the virtual keys or triggers one of the virtual keys, the document corresponding to the key is taken as the associated target document.
In one embodiment, in step S150, when the target document is the purchase document, the product information and the change information in the initial document are acquired, the supplier information is received, and the purchase document is generated according to the product information, the change information and the supplier information. In one embodiment, the customer can fill in the supplier of the sold product on the sales document to quickly generate the corresponding purchase document, and purchase the corresponding product while selling to supplement the inventory. In another embodiment, the product information and change information in the sales document are directly invoked, and the purchase document is automatically generated based on the supplier information entered by the user. By generating the associated purchase document while generating the sales document, the corresponding product is purchased while selling, and the inventory is replenished. Specifically, product information of a sales document is acquired through background query data, and sales attributes of the product are converted into purchasing attributes, for example, sales price is changed into advance price, and the like. Namely, after the method is adopted, the user can quickly generate the associated purchase document according to the sales document only by inputting the information of the supplier.
Specifically, the supplier of the corresponding purchase product and the quantity of the purchase product are selected according to the finally sold product to generate the purchase document. In one embodiment, the user may edit the purchase supplier, the purchase quantity, etc. in the automatically generated purchase document to obtain the actual purchase document. In another embodiment, the product purchased by the purchase document is the product actually sold, i.e., how many products are sold and how many products are bought. The name, quantity and the like of the purchased product are the same as those of the product actually sold, and only the unit price on the purchase document is changed into the purchase unit price instead of the sale unit price on the original sale document. Namely, after the new sale document is built, the purchase document is generated according to the instruction, so that the user can supplement the inventory in time, and does not need to check the products lacking in the inventory and purchase the products through the new purchase document. The supplier for the associated product may be the default supplier that was previously purchased, or the supplier may be re-selected by the user, but the user is not required to edit the product's attributes.
In one embodiment, when the generated target document is a purchase document, the method further includes the steps shown in fig. 3. Referring to fig. 3, it includes the following steps:
step S310, whether the purchase order has a corresponding receiving function is detected.
And detecting whether a target document corresponding to the initial document, namely a purchase document corresponding to the sales document, needs to be received or not by inquiring the database. For some physical products, such as cloth, beverage, etc., to be objectively present, they need to be stored in a warehouse, and when the goods are delivered or received, the stock will be changed accordingly. For some virtual products, such as software, etc., the virtual products are not required to be stored in a warehouse, and even after receiving or delivering the products, the inventory is not required to be changed correspondingly, and corresponding receiving and delivering links are not required.
And when detecting that the purchase document has the corresponding receiving function, executing the step S320, and generating the corresponding receiving document according to the purchase document. The products in the receipt generated from the purchase document may be some or all of the products in the purchase document. For some products, the products may be delivered in batches, and thus the products may be delivered in batches when they are received.
And when detecting that the purchase document does not have the corresponding receiving function, executing step S330, and modifying the inventory information of the corresponding product according to the purchase document. When the purchasing bill is detected to have no corresponding receiving function, namely when the purchasing bill does not need to be generated, the delivery and the receiving are directly carried out so as to reduce and increase the inventory and help a client to accurately manage the inventory in real time.
Specifically, the receiving document is associated with the purchasing document, and a product in the receiving document is a product in the corresponding purchasing document. In one embodiment, a corresponding prompt is sent after the sales document is generated, and whether a purchase document and a receiving document corresponding to the sales document are generated or not is prompted. In another embodiment, for an intermediary, the purchase may return the product in the purchase document to the supplier. Accordingly, a second return order is generated based on the return products in the purchase order. Wherein the product in the second return document is one or more products in the purchase document. In an embodiment, the manner of generating the second goods return bill is similar to the manner of generating the first goods return bill, and is not described in detail.
In one embodiment, in step S150, when the target document is a delivery document, the product information and the change information of the initial document are acquired, and the delivery document is generated according to the product information and the change information. And generating delivery documents according to a part of products or all the products in the products actually sold. That is, when the delivery is made, not all the products in the sales slip are necessarily delivered, but only a part of the products in the sales slip may be delivered and the delivery slip may be formed for the part of the products. In one embodiment, the delivery is followed by an update to the inventory product information, i.e., the delivery product is subtracted from the original inventory to help the user manage the inventory accurately in real time. And simultaneously, inquiring a database to detect whether the sales document has no associated purchase document and the purchase document needs to be realized without receiving goods, and if the preset instruction is that a corresponding receiving function is set, directly generating a corresponding receiving bill. Because the goods that may be received or sent are only part of the product in the purchase or sales slip when delivered or received. If the relevant receiving bill or delivery bill is not set, the delivery or delivery is directly carried out, and the stock is timely subtracted or increased, so that the user is helped to accurately manage the stock in real time. The system can help the user to directly generate corresponding receiving documents and delivery documents through the system background quickly, and the user can complete receiving and delivery conveniently. In other embodiments, inventory products are checked regularly, the checked inventory products are compared with the existing inventory information, and if the inventory products do not accord with the existing inventory information, a prompt that the inventory information is not real is set.
The finished products sold by the intermediary are processed from one or more raw materials, and each product sometimes produces raw materials from multiple suppliers. Thus, as an intermediary, it is sometimes desirable to form a process document that includes one or more raw materials from one or more suppliers. In one embodiment, in step S150, when the target document is the purchase document, the product information and the change information of the initial document are obtained, and after the corresponding raw material information is obtained according to the product information, the processing document is generated according to the raw material information, the product information and the change information. Related products can be combined or a certain product can be split. For example, the product A and the product B can be processed into the product C, or the product M can be formed by combining the product X and the product Y, namely the raw material of the product M is the product X and the product Y. In this embodiment, the raw materials corresponding to the products in the sales document and the mixture ratio of the raw material products, that is, the types of the raw materials and the corresponding amount of each raw material, are obtained to generate the processing document. The supplier of each raw material may be freely selected or may be a default supplier. The finished products sold by the middleman correspond to a plurality of raw materials, and at present, when the processing document is generated according to the sold finished products, the system directly inquires the raw materials needed by the finished products in the background, directly purchases the raw materials, or directly processes the finished products according to the raw materials entrusted to the processor, and does not need a user to pay attention to the raw materials of the finished products every time.
In one embodiment, a document generation system is provided, a block diagram of which is shown in FIG. 4.
