Abstract
Abstract Gaming premises that contain a large number of gaming machines (i.e. 'Pokies') need an efficient, safe and fast method of collecting, counting and verifying the cash from each machine. State gaming regulations mandate that the individual totals cleared from these machines must be checked and transferred to a Gaming Floor Management Systems (GFMS) regularly. Currently there are a number of simple 'clearance systems' on the market for this purpose. However these systems are stand-alone and firmware based and can only carry out one clearance function at a time and only on separate equipment The SmartClear Clearance System (SCS) however, is a complete mobile cash handling system and software application that allows all three main gaming machine clearance functions to be carried out at the same time. This is achieved by cleverly integrating standard note and coin-counting equipment with a custom designed mobile trolley, operator interface module, bar code printer and scanner. The novel application then allows this peripheral equipment to send data back to the applications database for processing and reporting purposes. Unlike any other software application on the market SCS allows Gaming Machine's 'Coin Hoppers', 'Coin Drop Boxes', 'Note Boxes' and Cash Redemption Terminals (CRT) to be cleared concurrently using one software platform and piece of equipment, significantly reducing the time taken to carry out a clearance.

State gaming regulations mandate that the individual totals cleared from these machines must be checked and transferred to a Gaming Floor Management Systems regularly. Currently there are a number of 'clearance systems' on the market for this purpose. The SmartClear Clearance System (SCS), developed by Prefect Agencies, is one of the most advanced Coin and Note Trolley Clearance Systems available. Unlike any other system on the market, it can clear the Gaming Machine's 'Coin Hoppers', 'Coin Drop Boxes' and 'Note Boxes' at the same time, significantly reducing the time taken to carry out a clearance. The advanced barcoding system allows coin hoppers and drop boxes, plus the note boxes, to be uniquely identified and allocated to each individual gaming machine number within the SmartClear SQL Database. When scanned, the data collected from each machine is then stored within the database, and recorded against the Clearance's Date and Time, allowing for easier reporting and uploading via a USB key to the Gaming Floor Management System. This is a novel approach to the design and saves the venues a significant amount of time when clearing gaming machine as prescribed by state gaming regulation. The main features of the system are as follows: * Fully self-contained custom designed and built trolley, consisting of Panel PC, Battery, Charger and all cabling. * USB hand held CCD Scanner * 80mm wide Portable Thermal Label and Tally roll printer * 30Kg Multi Denomination Battery power Coin Scale * Compact 2 Pocket Mixed Note, Counter and Sorter * Sophisticated Touch Screen based software allowing simultaneous clearance of Hoppers, Dropboxes and Note Cassettes, or any combination * Clearance of Multi-Denomination Cash Redemption Terminals, with the ability to clear 2 Hoppers with the same denomination within one C.R.T. unit. * Recording and storing the clearance data within an SQL database against a Time and Date stamp for easy access and financial auditing * Printing unique barcode labels during both initial setup and within a clearance. (The barcode reprint function allows for damaged labels to be reprinted whilst doing a clearance). * Printing a full Clearance report with Supervisor sign-off provisions * Importing Expected Note Clearance Totals from Gaming Floor Management Systems, and prompting operator when expected totals and actual totals do not match * Exporting both Coin and Note completed clearance data for importing into Gaming Floor Management Systems System Options SmartClear can be purchased in one of 5 different configurations as follows: * Coin Only Trolley * Note Only Trolley * Dual Trolley * Coin/Note Bench System * Coin Only Tablet based system Each of the above systems is fully self-contained, using batteries to power the devices, giving the clients full mobility. These functions are unique to the industry Technical Specifications Computer With the exception of the Tablet based system, the systems use a panel mounted PC, with the following specification. * Intel based processor and chipset * 1Gig of DDR2 or Higher Memory * 32Gig Solid State Hard Drive or Larger. * 10.4" 800x600 TFT Screen * 10.4" Touch Screen * 3 x RS232 Serial Comm Ports * 1 x Network Port * 3 x USB Ports * 9VDC to 18VDC power supply The Panel PC uses a Windows based Operating System, and run's an application developed by Prefect Agencies based on the Microsoft Dot Net 3.5 language and using an SQL database. The System has been configured to Auto start and Shutdown, with two front mounted USB ports, for easy access.
Trolley The Trolley allows the SmartClear system to be fully mobile with power being derived from a battery pack at the base of the trolley, and allowing clearances to take place on gaming floors. The integrated designed consists of: * Strong but light 25mm box section tubular frame, with minimal footprint. * Large industrial wheels, providing stability and easy manoeuvrability over carpet. * A sealed battery box, placed at the bottom of the chassis, to keep the centre of gravity low down. * A large Marine 12VDC Deep Cycle lead acid battery with a 5 Amp Smart Charger * A Reinforced steel platform for mount a 30Kg Coin Scale (Coin & Dual Trolleys Only) * Mounting provisions for a Mixed Note Counter, a Hand Held Scanner plus Stand, a Label/Tally Roll Printer and Panel PC. * 150W 12VDC to 240VAC Pure Sine Wave Inverter (Note & Dual Trolleys Only) * All Power and Communications cables fed within the trollies tubing preventing them from being damaged. * Fuse protection for both 240VAC and 12VDC power cables. * Steel Runners designed to allow for 1 large or 2 small, plastic tub's to be slid into the Trolleys frame. The tubs are used for emptying the Coins or Notes into when clearing each gaming machine. Each pair of guides have been tested to hold over 30Kg of weight. * Standard 240VAC mains fully fused power socket for easy charging. Software Application The SmartClear software application has been developed in house by Prefect Agencies, and is unique in that it allows all three clearance functions to be carried out simultaneously or in any combination. It also provides the ability to clear the Cash Redemption Terminals (CRT); which have Multiple Denomination hoppers. The software can be run on both Windows, (Panel PC), and Linux, (Android Tablet) platforms with the following key features: * Clearance for Hoppers, Dropboxes, Note Cassettes, and Cash Redemption Terminals. * Unlimited number of Clearances stored.* * Ability to print unique barcodes for all clearance modes, with the barcode containing Pokie Number, Tare Weight, Clearance Type and Checksum. * Reprinting of damaged barcodes during active clearance, using data stored in database for selected Pokie. * Importing of Note Expected Total files via a USB key from the Gaming Floor Management System. * Printing completed Clearance Reports. * Exporting completed clearance via a USB key to the Gaming Floor Management System.
Bench Unit As well as the Trolley system, SmartClear is also available as a bench mount system, allowing customers to upgrade their old systems economically by using an existing trolley. In mobile form, the system is only available as a Coin Only Clearance system, due to the size of the required to fit into the Cabinet. It can also be ordered as a back office, non-mobile, Note Clearance system for customers to bring their clearance notes to a back office for counting and processing. The bench mounted unit comes with all the same software functionality as the full trolley systems, including a Panel PC, SmartClear software, Scanner, Label/Tally roll Printer, and options for either a Coin Scale or Mixed Note Counter.
