Abstract

This description provides a new method for document management and a computer program implementing that method. The method also has artificial intelligence means that automatically adjusts the functional steps of the operation, based on user-corrected performance errors. Artificial intelligence means also contribute to the data search improvement in the databases, distribute works between the program users, perform other functions to minimize number of errors of program’s operation and user engagement during the program operation.

TECHNICAL FIELD

The invention belongs to the field of computer-implemented inventions, and more specifically to the automatic processing of textual documents.

BACKGROUND OF THE INVENTION

This description presents a new method and a computer program implementing that method, which has a connection with databases from which it automatically retrieves, uploads data, documents and files that meet certain parameters. The mentioned method has a high degree of automation, which requires minimal effort from the user of the program, as well as the method has artificial intelligence tools that allow to correct the operation errors of the sequence. By moving files and documents between different databases, the program can change the format of the processed documents to match the one required by the database to which the document is uploaded.

Document US6144975A (dated 07/11/2000) provides parts for receiving documents, sending documents that are configured to match, change the document / file type / format depending on the media between which the documents move. The document does not mention anything about the system's ability to learn independently, nor does it provide anything or the system can automatically, according to the specified criteria, find the required documents / information in databases of different media.

Document US20140280254A1 (published 09/18/2014) provides a system that is capable of retrieving / retrieving many files from multiple sources, retrieving information from those files, assigning a file to a specific file category based on the read information, saving the file in a specified location. The user can also specify the path, the location where a particular file can be placed. There is no mention of the system's ability to self-learn and improve its operating algorithms. It is also not possible to change the file type, transfer the files for further processing.

Document US7055095B1 (published May 30, 2006) provides a document processing system that can change the type / format of a received document depending on the need for which the document will continue to be used. This document makes no mention of the system's ability to find the information it needs in external or internal data sources, nor does it mention the possibility of training the system (or learning for itself) using built-in artificial intelligence tools.

The prior art documents listed above have the following drawbacks:

- it is not possible to find and download information from external and / or internal databases,

- the system may not modify the operating rules in the light of errors observed by the system user using artificial intelligence,

- it is not possible to change the file / document type / format,

- does not specify the possibility to send or transfer a file / document between different file submission systems, i.e. take a file from one system and transfer it to another system.

The technical solution presented in this description does not have the above-mentioned drawbacks.

SUMMARY OF THE INVENTION

The present invention provides a method, a program implementing that method, operating in computer hardware. The program is designed to find the necessary text documents, files, data in external or internal databases, to process them, to classify, parameterize, mark them, to send them to data carriers, databases set according to the set parameters, to perform other actions. The program has artificial intelligence tools that allow you to automate the actions performed, improve the operation of the program's sequence of actions, in order to minimize the number of errors in the operation of the program and user involvement in the operation of the program.

BEST MODES FOR IMPLEMENTATION

This description provides a new way to manage documents, files, data in computer hardware. It is a document management program with new, unique features, as it has a high degree of automation, minimal human intervention, has artificial intelligence tools that allow the way to independently improve the sequence of actions. The method is able to find and identify the necessary data in text files of various formats, process the data according to the set goals, place the data in the specified systems for further use.

In this description, unless specifically mentioned or excluded, the terms "document (s)" and "file (s)" have the same meaning as a data set with its own name, format, and other necessary attributes, as is customary for computer files. In the case of the present invention, a document cannot exist without a file, and a file in the present invention, unless otherwise stated, means a document. In the case of the present invention, the document or file contains textual, static image information. The method is best suited for text documents, files, as usual, used in the company's office, office activities, such as corporate administrations, law firms, notaries, bailiffs and other activities where the work requires a computer or similar device, and working with text, numerical information. The method provides the most benefits, the most savings in manual labor in cases where the same routine actions with the same symptoms and sequences of action are often performed.

This new method is implemented by a program running on a computer or other electronic device that has computer-specific technical features. In this description, the computer program implements the described method, so in the description, although the term "program" will be used, in any case it means that the program implements the described method.

The start-up of an installed and configured program can be initiated in the following ways:

- in the program, the user determines the periodicity of time on the basis of which the program starts performing the specified action;

- the program monitors data changes in external or internal databases, identifies them, sets their parameters; compares the identified changes and / or their parameters with the user-defined ones, if the detected and identified changes and / or their parameters correspond to the user-defined ones, the program initiates the start of operation of the specific sequence;

- the start of a specific action of the program can be initiated manually by the user;

- the program can be configured to initiate the operation of a specific sequence of actions by combining several of the above-mentioned initialization methods, for example, the program checks the data changes in external and / or internal databases at certain intervals, thus initiating the program start.

After initiating the operation of a specific sequence of actions of the program, said sequence of actions starts executing the commands of the sequence independently. The sequence of actions in the program can be created in the following ways:

- a specific sequence of actions can be created by the program developers and implemented together with the program,

- the program has an environment where a simple, ergonomic and user-friendly graphical interface is designed to create a new sequence of actions for the user or to improve an existing one,

- a program using artificial intelligence tools to develop new and refine existing operational sequences; where the creation of new ones and the improvement of existing ones are performed by artificial intelligence tools by monitoring user corrections after the sequence has performed its actions, i. artificial intelligence tools use feedback to improve the performance of their sequence of actions, to create new ones, i. the sequence of actions takes into account the mistakes made and improves its functioning in order to avoid the same mistakes in the future,

- a number of combined methods of creating and improving the sequence of actions listed above are used, such as a sequence of actions developed and implemented by the developers of the program, improved using user instructions and artificial intelligence tools.

One of the data that is periodically checked is software, method software updates. If the program detects that updates already exist in external databases, the new version of the program downloads and installs the updates automatically, without user intervention.

In the present invention, the means of artificial intelligence seek to approximate the results of human reasoning by organizing and manipulating factual and heuristic cognition. The functional steps of artificial intelligence use the presented past data and the feedback of the actions taken to generate rules and identify data relationships that allow the system to create new data, new operational steps, operations, more accurate recognition of data in external databases. Artificial intelligence and the various means of implementing artificial intelligence in the present invention may perform the following actions, including, but not limited to: human-supervised learning; problem solving; information clustering, grouping; information reduction, generalization; structured forecasting; identification of anomalous situations; and / or other.

Artificial intelligence tools are used to increase the stability of the operation of the program, as well as to improve the sequence of actions in order to minimize the intervention of the user of the program. In the program, two types of disturbances, disturbances, changes in external databases are distinguished:

- non-critical change, when the program is able to independently improve the sequence of actions to solve the situation and continue the actions leading to the set goal, in which case the program improves the sequence of actions until the set result is achieved. A successful way of improving the sequence of actions is recorded for future improvements, thus shortening the duration of future improvements of the sequence of actions of the program. If the program fails to independently change the sequence of actions, then a critical change, a failure is recorded;

- a critical change that requires user intervention, indicating to the program how the situation should be resolved in order to achieve the set goal. In this case, the program generates a message inviting the user of the program to resolve the situation so that the program can continue to perform the following actions.

If this description presents a program, the method works as part of another, larger system that forms the program's tasks and receives the program's results, in which case if the system crashes for unforeseen reasons after the system restarts, the program continues with the last successful action. .

This description provides an application, a way to access external (remote) or internal (directly related to this application) databases according to the set goals, if necessary, connect to databases with user-supplied login data, search for specified information, data, copy, export data , files, documents, if necessary, change the format of the data, document, file to the one required for the next step, insert the copied data in the specified location. The specified location may be internal databases necessary for the operation of the program itself, from which the data will be used for further processing, or external databases for which the identified data must be provided. As mentioned, the obtained data is used for the following and other actions:

- for creating various types of text files (eg openable with Word, Excel, with .pdf extension, etc.),

- imported, copied data is inserted, exported to external and / or internal databases,

- if necessary, when transferring data from one database to another, the format and type of data shall be changed according to the settings and requirements of the target database to which the data are transferred,

- the data uploaded to the target database is the reason for initiating further actions,

- the found data, files are sent by the program to the intended contacts by various means of communication and formats,

- if the program sequence is specified, the program prepares the found data for printing, prints, if access to the printing means is granted, otherwise, the printed documents can be prepared for enveloping,

- for the data found and processed, the program provides the necessary identification features, marks, codes, markings, according to which the marked data can be recognized by other programs, databases, other means of information exchange,

- perform other operations similar to those described above.

In order to implement the recognition of textual data in external databases as accurately as possible, the training functions of the program are implemented in the case of the present invention. The user of the program teaches the program how to more accurately, based on which criteria one or another data needs to be identified. Artificial intelligence can also be used to train the program, which the program uses to record how, in one case or another, the program is trained to recognize the necessary data. From the fixed data, statistical probabilities are formed, which are used for future data identification cases.

The program provided in this description performs a job distribution function for users working with the program if more than one of them is working. The purpose of this operation is that the program independently, according to pre-set parameters, as well as using artificial intelligence tools to evaluate the duration of work and / or other parameters, distribute those data, files, documents to several employees working with the said data, files, documents. The division of labor aims to distribute the workload evenly among those working with the program; if the employees have to organize the documents very urgently, the program determines which of the employees will be able to process the documents the fastest, as well as other data that are possible for the purposes of the program distribution of documents.
