UNTTE PATNT NOTE-REGISTER.
Application filed May 18, 1916.
To all whom it may concern:
Be it known that l, Cronin: HOFFMAN, a citizen of the United States, residing at Mechanicsville, county of Saratoga, and State of New York, have invented certain new and useful Improvements in Note-Registers, of which the following is a specification.
This invention relates to note registers.
My object is to provide a combined note register and tickler which will enable where the note is recorded corresponding to its maturity or due date as contradistinguished from those methods or registers which contemplate the identification of notes or paper in reference to the place of debit entry or date of discount. Consequently, the particulars of a given note or paper appear at the date corresponding to the due date or maturity date which is the important date to be kept track of both by the bank and any party interested in, or liable on. the note.
In carrying out the invention, cards or sheets are used, and preferably, separate cards in a card case or cabinet to enable the sheets bearing the information to be readily removed from the file or cabinet at any time and also to enable several persons to use the same register. I am aware, however, that my invention is not restricted to embodiment in card form, as it might be carried out in "loose leaf form, and I do not, therefore. thus limit myself.
The sheet or card used is of improved form so that it is self-identifying with its proper position in the register. The guides and the cards are provided with indicia by which the cards may be quickly referred to to obtain the information appearing thereon and, when removed from the file, may be readily restored to their proper position with little likelihood of error.
Preferably, the upper and lower edges of the cards are both of the same improved form in tabbed construction so that they are reversible and, Whichever edge is up- Specification of Letters Patent.

permost, will afiord all of the advantages hereinafter specified and also provide for the use-of both sides thereof for the abstracting of the information.
As the cards of my register and tickler contain information abstracted from the notes, and are arranged according to the due or maturity dates of the notes, should an inqury be made by a maker, indorser, payee, or other interested party, or by the bank, as to when a particular note is due, or as to any other information with respect to that note, it will be necessary to use in conjunction with my register and tickler an index under which the notes are classified alphabetically. Such an index may be a special one on cards arranged under alphabetical guides and containing any desired information with respect to the notes, or, the notes themselves may be filled alphabetically in any suitable alphabetical index so that they are self-indexing.
In my improved register and tickler constituting the present invention, I do not herein set forth any particular alphabetical index nor limit myself to the use of any such index and leave this to the user accord ing to preferences.
The manner of using the register and tickler is set forth at length hereinafter in connection with the embodiment of the invention which is shown in the accompanying drawings, in which Figure l is a perspective of the register and tickler;
Fig. 2, a View of the front of an abstract card; and
Fig. 3, a similar view of a demand card.
The register and tickler has twelve guide cards 1 provided with a tab 2, located, preferably, at the left-hand upper corner thereof and bearing the indicia 3 which, on the first card, will be 1 January, on the second card 2 February? on the third card 3- March, etc. In addition I may provide a guide card 4 having a tab provided with the word Demand and another guide card 5 whose tab is provided with the words Long term.
For each month thus indicated by the guide cards 1, I provide thirty-one, or less, abstract cards 6, one side of which is shown in Fig. 2. These abstract cards are provided with tabs 7 and 8 at their upper left-hand and upper right-hand corners and corresponding tabs 9 and 10 at their other cortab 8 bears the month and year thus: May
1916. The tabs 9 and 10 are, on their reverse sides, provided with the numeral 5 and the words and numbers May 1916 corresponding to the indicia on tabs 7 and 8, and consequently, whichever edge of the card is filed uppermost, the month identifying indieia will appear.
The upper and lower edges of the card are provided with date tabs 11 and 12. The cards shown in Fig. 2, being for an abstract of notes having a maturity of May 10, the tabs 11 and 12 will bear the numeral 10. Beginning with the first card which repre sents the first day of the month, the tabs 11 and 12 of successive cards 6 bear numerals 1,77 2,77 3,77 4,77 etc 1577 first series and for the second series 16 to 31, the tabs 11 and 12 of the respective cards being so cut that they are successively arranged in a row so that each tab is visible.
A preferred arrangement of columns and headings for an abstract card 6 is shown in Fig. 2, the opposite side of the card being identical with the side shown. The columns are provided with horizontal lines 13 which may run from 1 to 20 on one side of the card and are correspondingly numbered at the left-hand side thereof as at 14, and on the opposite side of the card they may run from 21 to 4:0 and be correspondingly numbered so that both sides of the card may be used and each card will then be adapted to accommodate abstracted or digested information pertaining to all essential particulars of forty different notes, or a lesser number, falling due, or intended for notification, on the date represented by the card. For instance, the card shown in 2 is adapted to accommodate abstracted data pertaining to notes falling due on May 10, 1916. Additional cards may be used for each day or any particular day, all of said cards having their tabs 11 and 12 in the same position and the cards then being filed one back of the other. Successive cards, after the first, will bear numbering 4L160 on one side and 61--80 on the other side and a third card would have correspondingly higher numbers.
' The columns, from leftto right, of a card 6, are headed When disc; Date of item; Time; Discount; Interest; Debit amount; Credit amount; Date forwarded or date of partial payment; Maker or payer; Endorser or for whose account; Where payable when and where sent; Secured by D 1 or more indiv. E stocks & bonds F other personal security G R. E. Mtg, or lien on realty; List of notes disc to day number year due amount.
The columns at the right of the card headed List of notes discounted to-day as indicated at 15 are provided for the entry of a debit record of the debited loans for that day after they have been abstracted on the cards corresponding to their due dates and the note numbers affixed. The column Credit amount as indicated at '15, provides for the entry of a credit record of the credited loans for that day. Both debit and credit records and both total footings appear on the card for any days business. The other columns provide for the recording of security for the loan and all dates, discounts, interest and other particulars, including the date of discount of the note, required in usual banking practice.
In Fig. 3 there is shown a card 16 for use in connection with the demand notes or loans. ings affording spaces for entry of all necessary matter in connection with a note or loan payable on demand, including the security, partial payments, parties and dates, the information being sufficiently full but not as detailed as necessary for the card 6. The demand cards 16 are numbered consecutively beginning with 1 as indicated at 17 in the upper left-hand corner and on the upper right-hand corner there is the word Demand. The horizontal lines or rulings 18 are similar to those shown at 13 and are correspondingly indentified by note numbers as in the column 19 at the left-hand end of the card.
Cards used in connection with the guide The cards 16 have columns and head- Long term indicated at 5 are similar to V the cards 6, being marked with the number of the month in the upper left-hand corner and the month and year of the due date in the upper right-hand corner.
\Vith my register, instead of being registered in a group under the heading of the date received, or date of discount as it is called, as is a common practice at the present time, notes are immediately abstracted or carried to the card 6 of the same date as the due dates of the notes and are there registered or entered in detail, in-
cluding the date of discount. For instance, all notes, regardless of date of discount, which mature or become due on May 10, 1916, are entered on the card shown in Fig. 2 which represents all notes falling due May 10, 1916, and in the columns provided on the card there is entered all data per taining to that particular note. Consequently, for May 10, 1916, on one or more cards for that date, there appears a full record of all paper coming clue that day.
' The user can employ as an index either an alphabetical filing of the notes themselves or any other device.
'In operation, the note book-keeper at the close of the days business makes an adding machine total of the notes to be charged to loans and discounts and of the amounts of interest and discount tobe credited to profit and loss provided he is making a debit operation. He then affixes the maturity on each note and sorts the notes in groups according to their dates of maturity. The next step is to remove from the register tickler file the cards 6 for the same dates as the due or maturity dates on the notes just sorted and to proceed to enter on the cards 6 such information as is required. As each note is entered on the card 6, the note itself is numbered as follows: Month No. tab No. line No.
As an example, suppose the card for May 10, 1916, is being used and the entry is on line 19. The note would then be numbered 51019, the first part of the number indicating the guide which would be the fifth month, or May; the second part of the number the tab on the card, which would be the card corresponding to the tenth day of May, and the third part of the number, the line location on that card which would be line 19.
If the note to be entered is on demand the entry is made on the first card 16 and first line thereof having available space. A demand note is then numbered by prefixing D to the number of the card and the number of the line. For example, referring to Fig. 3, a demand note might be entered on card No. 4, line 26, and in that event, the note itself would be provided with the indicia Dl26.
If the note to be entered is not discounted paper, but for collection account of another party, the entry should be made in a segregated position on the. card corresponding to the due date and the note numbered the same as a discounted time note except the prefix C should be used on the note and on the card. For example, if the note is due September 12, it might be provided with the following: C9-1232 which would indicate collection paper, guide. 9, tab No. 12, line No. 32, that is, the ninth month, 12th day of the month and line 32 of card for that date.
If the note to be entered is a long term note, that is, if the period of time to run is more than one year, a card with a proper tab should be taken from the stock supply and the year and month of the due date of the note written in the upper right-hand corner and the number of the month in the upper left-hand corner. The lines should be numbered beginning with 1 and the note abstracted and numbered in the same manner as if the card had been used in the set up portion of the file and it would then be filed under guide card 5, Long term. A
separate card for each different maturity date should be used for long term notes. The card is taken out and placed in its proper position in the current file at the proper time.
The bookkeeper may index the makers of the note and make a liability record of such persons or firms as required by the bank and this can be done from the abstract card or from the notes direct.
In a credit operation, at the close of the day, the note bookkeeper in like manner takes an adding machine total of the paid and renewed notes to be credited to loans and discounts and he again sorts his credit -loans slips in groups according to maturi- -ties and takes from the file the cards 6 of corresponding dates. Where the notes are being credited that are due either before or after the date of any days business, comparison should be made at the place of entry of such notes of the amount of credit with entry at time of registry and if correct, notation can be made there Credited (date). The amount to be credited, together with the note number and names of makers of such notes are brought forward to the cards for that days business. .l/Vhere notes are to be credited and are due on the date of credit, the amount is simply extended into Cr. column opposite Dr. entry.
There should be a sufiicient supply of stock cards for the register and tickler file tabbed from 1 to 31 inclusive and blank as to card number, date and line number so that where one or two cards are inadequatefor the days business, other cards with the same tab'number for that day may be inserted and the same card number and date afiixed as are on the cards for that date. The line numbers of cards should in no event be duplicated, but should run consecutively regardless of how many cards are used for a given day.
With my invention, discounted paper, collection notes, accepted bills of exchange and other paper are handled with a single register and tickler file, in connection with any desired alphabetical indexing of the notes and paper, thus saving repetition of entries and enabling all entries, inspections and op erations to be simplified and the work minimized.
The registered positions of the notes are brought in harmony with the positions of the notes themselves as kept in a bundle for each month, if thus arranged. Furthermore, when crediting loans for any day, observation and comparison may be made of the amount of any item with the amont as debited, as the tickler is. the place of original entry; this prevents errors between the dates of note inventory and proof of loans. The numbering-system assists in detecting entry on a wrong card of the register and tickler so i as a comparison of the note number with maturity date will enable one to tell at a glance if the note is entered in the proper place and if not, where it is entered.
In connection with demand paper, particularly, it is to be noted that no matter how long the note may be allowed to run after the date of discount, the data of same is as easily accessible as the record of any note recently taken into account. Furthermore, the abstracting of data makes possible the easy compilation of information as required in the reports, from time totime, to the Comptroller of Currency. The reports call for information of the ninety consecutive days following the call. The information can be taken in groups from the ninety cards in consecutive order for that period.
The inversion of the place of registering makes one entry take the place of two and makes the particulars of notes of the same due dates easily accessible.
The method is responsive to the demands of note book-keeping for by it when the maturity of a paper is sought, it is only necessary to find the name in the index (which may be of any preferred kind) and the number indicated on the index points definitely to the card 6 by month and day of the month and line numbering to the place of registry of that note.
Having thus described my invention, what I claim as new and desire to secure by Letters Patent, is:
1. A combined register and tickler for notes and the like, comprising guides representing periods, such as months of the year, and abstract cards or sheets each having month or period identification indicia, day indicia, columns for the entry of particulars concerning notes requiring attention on that date, and successive cross rulings for the columns which are provided with individual identifying indicia, whereby a plurality of notes or like paper requiring attention on a given date may all be abstracted on a card or cards for that date.
2. A combined register and tickler for notes and the like, comprising monthly guides, abstract cards or sheets each having tabs provided with month identifying indicia, a tab bearing day of the month number, columns for the entry of particulars concerning not-es requiring attention on that date, and successive cross rulings for the columns which are provided with consecutive individual identifying numbers, whereby a plurality of notes or like paper requiring attention on a given date may all be abstracted on a card or cards for that date.
3.
