【発明の属する技術分野】
本発明は、ネットワーク上で電子文書の読み出し、複製、編集といった処理がなされた際に、その存在位置や派生情報などを管理可能とした文書管理システムおよび文書管理装置に関する。

【従来の技術】
従来、ネットワーク上で電子文書を共有するための文書保存システムには、RDBMS(Relational Database Management System:表を用いて情報を表現する関係型データベースシステム)、文書管理システム、Webサーバ、共有ファイルシステムなどが知られている。これらの中にはシステムに登録された文書の検索をサポートしたものがある。一般の共有ファイルシステムではファイル名やそのタイプによる検索をサポートしている。RDBMSベースのシステムでは文書のキーワードや書誌情報に基づく検索をサポートしており、文書管理システムではこれに加え、システムに登録された文書の全文検索をサポートしている。

一方、これらのシステムはデータの保存場所および検索のための機構が単一の計算機上に実現されていることが多い。これに対し、複数の保存場所にある文書を検索することが可能なシステムとしては、近年のWeb技術で見られるサーチエンジンが該当する。また、検索のための機構が複数の計算機に実現されているものも、メタサーチエンジンというシステムでみることができる。一方、文書の変更履歴などを記録するシステムとしては、文書管理システムの中のバージョン管理機能や、一般のファイルバージョン管理システムが挙げられる。

【発明が解決しようとする課題】
しかしながら、上記に示されるような従来のシステムにあっては、複数の計算機間での文書の移動や、複製関係を保持していないため、一つの文書から派生された文書がどこに保存されているかを確認することができないという問題点があった。また、文書がシステム外に持ち出された場合に、その文書の持ち出し先の追跡や、持ち出し先による利用方法の制限を設定することができないといった問題点があった。

本発明は、上記に鑑みてなされたものであって、複数の文書保存サービスが存在するネットワーク上で、電子文書の複製や移動の際に、電子文書のネットワーク中での保存位置の所在を明らかにし、かつインターネット上など広範囲に配布される電子文書における複製や移動の管理を実現することを目的とする。

【課題を解決するための手段】
上記の目的を達成するために、請求項1にかかる文書管理システムにあっては、電子文書に対する処理を実行するための一つ以上のクライアント端末と、前記電子文書のネットワーク上での保存位置を管理する一つ以上のディレクトリサービスと、前記電子文書を保存する一つ以上の文書保存サービスと、をネットワーク上に接続した文書管理システムであって、前記電子文書の現在の保存位置を管理する前記ディレクトリサービスのURLを電子文書内に記録し、当該電子文書が移動して保存位置が変更された場合、変更先の保存位置に関する情報が前記URLで指定されたディレクトリサービスに通知されるものである。

この発明によれば、電子文書の移動を検出する検出手段と、前記電子文書の保存位置情報の変更の通知先であるディレクトリサーバを示すURLを前記電子文書から読み取る情報読み取り手段と、前記検出手段によって電子文書の移動が検出された場合、前記URLで特定されるディレクトリサーバに前記保存位置情報の変更を通知する通知手段と、を備えることにより、電子文書の複製や移動が行なわれた場合、電子文書の保存位置を特定することが可能となり、また、範囲に配布される電子文書における複製や移動の管理が可能となる。
【発明の実施の形態】
以下、本発明にかかる文書管理システムおよび文書管理装置の好適な実施の形態について添付図面を参照し、詳細に説明する。なお、本発明はこの実施の形態に限定されるものではない。

図1は、本発明の実施の形態にかかる文書管理システムの構成を示す説明図である。この実施の形態における文書管理システムは、ネットワーク100上に、電子文書の作成、編集、移動、複製を行なう文書操作アプリケーション101aが稼動するクライアント端末101と、電子文書のネットワーク上での保存位置を管理するディレクトリーサービス102a,102bと、電子文書を保存する一つ以上の文書保存サービス103a,103bと、外部インターネットとネットワーク100との通信接続するためのルータ104と、が接続された、いわゆるローカルエリアネットワークで構築されたシステムとなっている。

すなわち、このシステムは、電子文書を操作する文書操作アプリケーション101aと、電子文書を保存する一つ以上の文書保存サービス103a,103bと、電子文書の保存位置を管理するディレクトリサービス102a,102bと、を備えている。

文書操作アプリケーション101aは、本システムに対応した電子文書の表示、生成、編集、および出力を行なうアプリケーションプログラムである。本システムに対応した電子文書は、この文書操作アプリケーション101aによってのみ表示、生成、編集、出力が可能なものとする。このような電子文書とアプリケーションの実現方式には電子文書のバイナリ形式での保存や、電子文書の暗号化などの手法が用いられる。文書操作アプリケーション101aは、クライアント端末101上で稼動する。

文書保存サービス103a,103bは、電子文書を保存するためのデータベースであり、ネットワーク100上に複数存在することが可能である。文書保存サービス103a,103bに保存された電子文書にはそれぞれURL(Uniform Resource Locator)が付与される。このURLにより文書保存サービス103a,103bの稼動する計算機のネットワーク100上の位置と、文書保存サービス103a,103b内での電子文書の保存位置が特定される。

図2は、電子文書の識別子と保存場所を示すURLのペアのリスト、個々の電子文書から複製により派生された電子文書に関する情報を保持するリスト、およびセキュリティリストの例を示す説明図である。具体的には、図に示すように、ディレクトリサービスaaa.bbb.ccc.dddにおける管理文書リスト(以下、管理文書リストという)200、派生文書リスト204、セキュリティフラグ208が用意される。なお、セキュリティフラグ208によるセキュリティのリストは必要に応じて設ける。

つぎに、図4および図5に示すフローチャートを用い、電子文書の読み込み、新規電子文書の保存、電子文書の複製動作について説明する。電子文書の読み込みを行なう場合、まず、文書の読み込み元(現在の保存位置)のURL(PosNew)を特定する(ステップS11)。続いて、文書中に記録された文書識別子(DocIDOrg)、ディレクリサービスのURL(DirOrg)を抽出する(ステップS12)。さらにこの抽出したディレクトリサービス(DirOrg)を参照し、文書中に記録された文書識別子(DocIDOrg)の情報を検索し、文書の保存位置(PosOrg)、所有者(OrgOwner)の情報を取得する(ステップS13)。

さらに、上述した動作について説明する。電子文書が文書操作アプリケーションにより新規に作成された文書保存サービス103a,103bに保存される場合、文書操作アプリケーション101aあるいは文書保存サービス103a,103bにより電子文書毎の識別子が生成されると共に、ネットワーク100上のディレクトリサービスが一つ選択される。この場合、電子文書は新規に作成されたため、ディレクトリサービスはユーザの指示、あるいはクライアント端末101毎に設定されたディフォルトのディレクトリサービスが利用される。つぎに選択されたディレクリサービスのURLと文書の識別子が付加された電子文書は、文書保存サービスの指定された場所に保存されると共に、選択されたディレクトリサービスにその文書の識別子と文書の保存場所のURLが登録される。

一方、文書操作アプリケーションにより電子文書の複製が行なわれた場合、複製により生成された新しい文書の保存場所情報は、元の文書で指定されたディレクトリサービスとは別のディレクトリサービスに登録することが可能である。この場合、同時に、元になった文書中で指定されたディレクトリサービスに、元の文書の派生文書として新しいディレクトリサービスのURLと新しい文書の識別子が登録される。これにより、一つのディレクトリサービスにネットワーク100上のすべての電子文書に関する情報を集中させることなく、文書の派生関係をトレースすることが可能になる。

さて、文書の持ち出しと判定された場合、図2の破線内および図6のリストを例とするディレクトリサービス中のセキュリティ情報が検索される。このセキュリティ情報によりReadが可能と判断された場合、電子文書は持ち出された先でも参照可能であると判断する。この場合、ディレクトリサービス中に記録された文書の保存位置に元の文書がある場合、持ち出された文書は元の文書の複製とされ、持ち出された新しい文書に新しい識別子を付与する。さらに、新しい文書の登録先のディレクトリサービスをユーザの入力あるいは端末毎のディフォルト指定により選択する。

持ち出し先で選択可能なディレクトリサービスが存在しない場合、元の電子文書と同じディレクトリサービスが新規文書の登録先としても登録される。持ち出された電子文書は、この新しい文書の識別子と選択されたディレクトリサービスのURLとで更新されて再保存される。

このようになディレクトリサービス102a,102bの利用により、一つの文書の派生文書の検索は、元の文書に対するディレクトリサービス中で元の文書に関するエントリを検索し、そこに記述された図2に示すような派生文書リスト204から各派生文書の位置情報を管理するディレクトリサービスURL207を抽出する。そして、各ディレクトリサービスにおいて、派生文書の情報を検索し、その派生文書に関する情報から、派生された文書を検索する処理を繰り返すことにより、元の電子文書を管理するディレクトリサービスからツリー状に派生文書を探索することができる。また、元の電子文書の変更がその電子文書から派生されたすべての電子文書の所有者に通知する。これにより、電子文書の変更時にその変更が影響する文書の参照者に迅速に知らせることができる。

以上説明したように、本発明にかかる文書管理システム(請求項1)によれば、請求項1のシステム構成において、電子文書内に、当該電子文書の保存位置を管理するディレクトリサービスのURLを記録し、当該電子文書の操作時に、現在の電子文書の保存位置に関する情報がURLで指定されたディレクトリサービスに通知することにより、複数の文書保存サービスが存在するネットワーク上で、電子文書の複製や移動が行なわれた場合、ネットワーク中での電子文書の保存位置を特定することが可能となるため、文書の保存位置や移動、複製などの管理を行なうことができる。また、インターネット上など広範囲に配布される電子文書における所在地位置や複製、移動の管理を行なうことができる。

また、本発明にかかる文書管理装置(請求項10)によれば、電子文書の移動を検出する検出手段と、前記電子文書の保存位置情報の変更の通知先であるディレクトリサーバを示すURLを前記電子文書から読み取る情報読み取り手段と、前記検出手段によって電子文書の移動が検出された場合、前記URLで特定されるディレクトリサーバに前記保存位置情報の変更を通知する通知手段と、を備えることにより、電子文書の複製や移動が行なわれた場合、電子文書の保存位置を特定することができ、また、範囲に配布される電子文書における複製や移動の管理を行なうことができる。
