なお、テンプレートを選択する替りに、所定のキーあるいはキーの組み合わせに返信メッセージのタイプを割り付けて(ホットキー)返信を指示することもできる。ホットキーの押下は返信指示手段17が解釈し、例えば、CTL+Jなら“受領済み”、CTL+Uなら“受けとりました”、CTL+Cなら“その件については調査します”のように対応するメッセージテンプレートを無修正で返信メッセージ(受領通知)として送信することができる。

メッセージ分析手段15は、新着メッセージをスレッドに分類し(ステップ101)、これまでに受信したスレッドのメッセージの数と発信者数をカウントする(ステップ102)。次に新着のメッセージを解析する(ステップ103)。解析する内容は、例えば、メッセージ中に“至急”や“緊急”を意味する言葉が使用されているか、また、“返信”、“返事”、“回答”、“連絡”、“待つ”などの返信を促す言葉が使用されているか、あるいは、“?”や“質問”など疑問を持っている旨の記号や言葉が使用されているかを文脈から解析する。また、英文で“confirmation”、“reminder”等の“確認”や“催促”を意味する“確認”、“再送”などの言葉が使用されているかを調べる。更に、リッチテキストのメッセージについては、ゴシック(太字)、下線、通常色(一般には黒)以外の色指定等、文字修飾の有無も解析する。以上は、返信を促す要因であるが、反対に返信を必要としない要因も解析する。例えば、特定発信者からの送信、売込みを意味する、“特価”、“今なら”、“無料”、“限定”、その他、仕事とは関係のない言葉や公序良俗に相応しくない言葉の使用などである。
以上のように新着メッセージを解析したら、結果を数値のスコアで表す(ステップ104)。スコアの計算は例えば、急ぎを示す“至急”や“緊急”があれば2点、返信を促す言葉が使用されていれば1点、“確認”や“催促”を意味する言葉や文字修飾があれば、それぞれ1点というように、それぞれを加え合わせる。反対に、返信を必要としない要因があれば、例えば、1箇所について5点を差し引く。そして、閾値と比較し(ステップ105)、閾値より大きければ返信要と判定し(ステップ106)、そうでなければ返信否と判定する(ステップ107)。結果がどちらの場合でも、このメッセージに対応させて結果をメッセージホルダ18に格納しておく(ステップ108)、その際、スコアの計算対象になった要因もともに格納しておく。結果が返信要の判定になった場合は、このメッセージをディスプレイ13に表示する時に受領通知アイコンを表示し、反対に返信否になった場合は非表示にする。閾値は、例えば1とすれば良心的な対応となり、2や3にすると本当に必要と思われるメッセージのみに返信する不親切な対応となる。なお、返信の要、不要を閾値を変化させて判定しても、否(あるいは要)にする条件(例えば使用される言葉)、の追加・削除、点数の変更等を行い、閾値を一定にして判定するようにしてもよい。

そして、返信が行われたメッセージについては、メッセージに付されていた受領通知アイコンを送信済みのものに変更する(ステップ304)。

テンプレートの一覧表示が指示されたら(ステップ407がYes)、テンプレート名の一覧を表示し(ステップ408)、ユーザーのテンプレート選択待ちとなる(ステップ409)。テンプレートが選択されたら、指示されたテンプレートでエディタを起動する(ステップ410)。そして、次の指示を待つ。
