この発明は、顧客情報整理プログラムおよび顧客情報整理方法に関するものである。

従来より、あらゆる業種における顧客との取引は、顧客のニーズに対する迅速な対応が必要である。すなわち、顧客のニーズをできるだけ速く、かつ的確に把握し、適切なサービスを提供し続けることが、顧客との良好な関係を維持・向上していくために必要である。

このため、今日では新聞やインターネットなど種々のメディアを用いて顧客のニーズを把握することが行われているが、より的確な必要情報を把握するためには、顧客に対して最も接点がある営業担当者を通して情報を収集することが考えらる。そこで、各営業担当者が顧客と接することによって感じ取った顧客のニーズを積極的に記録し、これを情報処理技術を用いて集計することにより、時代の必要に合わせた的確なサービスの提供を行なう方法が考えられる。

【発明が解決しようとする課題】
しかしながら、一般的に営業担当者は自らの営業に関わる情報を公にすることにためらいを感じるものであるから、顧客のニーズを営業担当者によって収集することには困難が伴うことが予期される。

また、営業担当者を含む全従業員の中の誰がどの顧客といつ接触したかという「接点情報」を、日々自然に情報が蓄積されているスケジュール情報や日報情報から分析し、それを全ての営業担当者が共有することも考えられるが、各営業担当者によるスケジュールの記載方法は種々であり、曖昧な表現が多用されているために、これをまとめることは極めて困難であった。

そこで、特許文献1の発明では予め入力の仕方に関する規則(内規)を定めて顧客名の的確な入力を行わせることが示されている。また、内規に従った入力が徹底されない場合のために、同一顧客について複数入力された情報を、単語辞書などを用いて解析して同一顧客を集約する「名寄せ」と呼ばれる処理/作業を行なうことが示されている。つまり、入力のきめ細かなルールや仕組みを内規として設定することにより、後工程での分析が容易となるような活動記録データを残すことが考えられている。

ところが、営業活動の日報やスケジュールの記録のために定まった入力の仕方に関する内規があると、新たな規則の習得に時間がかかるため、営業担当者に多くの負担をかけるという問題があった。また、営業担当者は時間のかかる情報の入力作業が煩雑であればあるほど、これを敬遠し、入力作業そのものを後回しにするなどして、豊富なデータ量は望めなかった。つまり、十分な成果が得られないことが考えられる。加えて、これまで入力された膨大な活動記録データが無駄になるという問題もあった。

さらに、特別な入力フォーマットを定めることなく適宜入力された活動記録データを高度な日本語処理技術を用いて、営業担当者が入力した曖昧な記録を解析し、各顧客毎の情報として纏めることも考えられる。しかしながら、これには高性能の言語処理能力を有する極めて高価な検索エンジンを使用する必要があるだけでなく、コンピュータによる言語処理は未だ十分に正確ではなく、人間であればどの顧客に関するデータであるか容易に判断できるものも、コンピュータにはそれは困難であった。加えて、営業担当者によって入力される曖昧な記録は正しい文法に従っていないため、これを解析不能となることが少なくなかった。

本発明は、上述の事柄を考慮に入れてなされたもので、その目的は、曖昧な記述ではあるが、社内の多くの人により日々自然と蓄積されていく豊富な量の活動記録データから、顧客名を容易に抜き出し、集約することを可能とする顧客情報整理プログラムおよび顧客情報整理方法を提供することにある。

【課題を解決するための手段】
上記目的を達成するため、本発明の顧客情報整理プログラムは、コンピュータに特別な入力フォーマットを定めることなく適宜入力された活動記録データ中の顧客に関する情報を用いることで、コンピュータに、顧客接触情報を記録してなる処理用フィールドを作成させ、この顧客接触情報の中から各顧客に関する情報を抽出させて、顧客毎に活動記録データを整理してなる顧客識別データベースを作成させるためのプログラムであって、コンピュータに記憶させた取引する各顧客の正式名称とその曖昧な名称との関係を明らかにする顧客名変換テーブルを用い、コンピュータに前記処理用フィールドに記録されている顧客の曖昧な名称を正式名称に変換させた後に、各顧客に関する情報を抽出させることを特徴としている。(請求項1)

したがって、本発明を用いることで、営業担当者などによって入力される顧客の曖昧な名称は顧客の正式名称に機械的に変換される。また、この文字列の検索および変換はコンピュータにとって簡単なプログラムで容易に行える処理である。つまり、各顧客に関する情報を抽出させることで、以前から営業対応が十分に行えている顧客と、十分な対応ができていない顧客を分析し、その原因を明らかにすることで、営業活動の改善を図ることが可能となる。

加えて、活動記録データに特別な入力フォーマットを定めていないので、営業担当者などの従業員は従来と全く同様に活動記録データを蓄積することが可能となり、入力作業に多くの負担をかけることがない。さらに、日々自然と蓄積されていく豊富な活動記録データや、既に豊富に蓄積されている膨大な活動記録データを活用して、各顧客に関する情報を纏めて抽出することが可能となるので、過去の活動記録データを有効に活用することも可能となる。

なお、例えば顧客名は活動記録データの先頭に入力するとか、複数の顧客を訪問した場合の活動記録データはそれぞれわけて入力するなど、従業員に負担とならない程度の入力ルールを定めてもよいことはいうまでもない。

前記活動記録データの中の顧客に関する情報が記録されてなるフィールドが、従業員のスケジュールシステムや日報管理システムで管理されている目的および行き先を示すフィールドである場合(請求項2)には、特別な入力フォーマットを定めていなくても、目的および行き先を示すフィールドの中に活動記録データとして必要な顧客名を示す文字列がほゞ確実に入っているので各顧客に対する接触情報を確実に抽出することができる。

本発明の顧客情報整理方法は、コンピュータに特別な入力フォーマットを定めることなく適宜入力された活動記録データ中の顧客に関する情報を用いることで、コンピュータに、顧客接触情報を記録してなる処理用フィールドを作成させ、この顧客接触情報の中から各顧客に関する情報を抽出させて、顧客毎に活動記録データを整理する顧客識別データベースを作成させる方法であって、取引する各顧客の正式名称とその曖昧な名称との関係を明らかにする顧客名変換テーブルを記憶させ、この顧客名変換テーブルを用いて処理用フィールドに記録されている顧客の曖昧な名称を正式名称に変換させた後に、各顧客に関する情報を抽出させることを特徴としている。(請求項10)

【発明の実施の形態】
図1は本発明の顧客情報整理プログラムおよび顧客情報整理方法を説明するための全体的な構成の一例を概念的に示す図である。
図1において、1は企業の営業に関する活動記録データD0 (例えばスケジュールデータ)を管理する活動記録システムであって、各支店における活動記録データD0 をデータベースDBa,DBb…にして管理するデータベースサーバの管理サーバ2(2a,2b…)と、各支店において営業担当者3a,3b…が使用する端末4a,4b…と、各端末4a,4b…から管理サーバ2a,2b…への営業活動のスケジュールデータの送信を可能とするイントラネットやインターネットなどのネットワーク5とを有している。

6は営業の対象となる顧客であり、この顧客6は各種企業の担当者であるから、以下の説明においては企業6と表現する。しかしながら、本発明は顧客が企業であることだけに限定されるものではなく、顧客には各企業側の個々の担当者を含む個人であることも考えられる。また、以下の説明において各営業担当者3a,3b…を包括して、企業6と接触する営業担当者3と表現することもある。そして、前記構成の活動記録システム1は各企業6…に対する各担当営業者3の営業活動のスケジュールデータを活動記録データD0 としてデータベースDBa,DBb…に記録する。
