【発明の属する技術分野】
本発明は、オフィス等におけるデジタル複合機の部門管理制御システムに関し、特にデジタル複合機で処理を行うに際して、複数の出力先に対する処理及び同一の処理を複数回繰り返す処理があった場合に、これら処理に対するカウント値を複数の部門へ割り振りして管理することができるようになしたデジタル複合機の部門管理システムに関するものである。

【従来の技術】
近年に至り、特に企業においては、各種事務機器の設置スペースを省略するために、複写機機能だけでなく、イメージスキャナ機能、ファクシミリ機能、プリンタ機能等をそなえたデジタル複合機が多く使用されるようになってきた。このデジタル複合機は、通常ローカルエリアネットワーク(LAN)等により各部門のコンピュータ(PC)やサーバー等に接続され、更には各種インタフェースを介して外部記憶装置に対する画像データの入出力処理を実行することができるようになっており、デジタル複合機内部では、一旦受信ないしは入力された画像データは画像メモリに蓄積され、その後に印字出力やデータ転送等の出力処理が行われるようになっている。

一方、このようなデジタル複合機においては、その能力が優れていることから複数の部門で共用されることが多いため、予算上の観点、環境負荷の観点等から、特にプリンタ機能や複写機機能等の印刷機能の使用に際する用紙への出力枚数には、無制限な出力を防止して用紙やトナーの無駄な消費を防ぐために各部門ごとに制限を設けた運用管理が行われている。例えば、印刷機能の使用に際しては、用紙の使用量やトナーの消費量に対して制限カウント値が予め設定され、その累積プリント枚数やトナーの累積使用量がこの制限カウント値に到達すると、以降のプリント動作を中止するように制御することにより、プリンタ機能や複写機機能等の印刷機能の使用に対する各部門ごとの適切な運用管理が行われている。この場合、例えばコピー操作を行う際には、ユーザーが自分の所属する部門のID(暗証番号)を入力してからコピー操作を行うと、コピーした枚数分だけその部門のカウント値が加算されるようになっているのが普通である。

しかしながら、このようなシステムでは、例えば他の部門に配布する資料をコピーする必要が生じたユーザーは自分の部門管理IDを入力することによりそのコピーを配布する部門のためにコピーを行うことになるが、この場合カウント値はユーザーの部門にカウント値が付加されてしまい、実際に利益を受ける他の部門にはカウントされないことになる。このような硬直した部門管理システムでは、オフィスにおける部門管理の適正化が図れず、あえてユーザーが部門管理対象となる操作を減らそうとするのであればオフィスにおける仕事の効率向上に役に立たなくなってしまうことも生じる。

このような従来技術の問題点を解決するために、下記特許文献1及び2には、ユーザーを限定しつつ、他の部門から画像形成の依頼があったような場合でも、確実に当該依頼元部門の識別子に関連付けて画像形成動作を計数することを可能とし、これにより適正な費用請求を実現する画像処理装置ないしは画像形成装置が開示されている。

図3は、下記特許文献1に開示されている画像処理装置のカウント処理サブルーチンS50を説明するフローチャートである。まず、ステップS51において記録シートの排出の検出に基づいて、ユーザーのIDコード入力の際に他部門への配布が選択されたか否かを判断する。他部門への配布が選択されていれば、ステップS52において記憶手段から配布先部門記憶エリアを読出し、ステップS53においてカウントフラグの立っている部門を検出し、ステップS54においてその部門ごとの部門別カウンタをカウントするカウント処理を実行し、カウント処理が終わるとステップS55においてカウントフラグ再設定を実行し、サブルーチン処理S50を終了する。

【発明が解決しようとする課題】
一方、デジタル複合機においては、印刷処理だけでなく、スキャナ機能による情報のデジタル化や、それらの情報を各種手段を用いて各種PCやサーバー等に転送する処理や、外部の記憶装置に保存する処理が多く行われるようになってきており、加えて、画像データがデジタル化されていることから、一度に複数の出力先や、相手先に画像データを送ることができるにも関わらず、デジタル複合機においても各種処理に対する部門管理は、印字出力した用紙の枚数やせいぜいトナーの消費量をカウントして集計することしか行われておらず、印刷処理以外の処理に関しては部門管理はほとんど行われていないのが実状であった。

しかも、デジタル複合機におけるスキャナ機能による情報のデジタル化、それらの情報を各種手段を用いて各種PCやサーバー等に転送する処理、外部の記憶装置に保存する処理等は、それぞれの入出力形態の差異により、印刷処理とは使用する物理的な条件の違いなどが存在するために、印刷処理と同じカウント比率で扱うことは不適切であった。

加えて、例えば、デジタル複合機で複数部複写処理する場合においては、通常原稿読み取り手段(スキャナ部)で読み取った画像データをページ単位に一旦ハードディスクHDDや半導体メモリ等からなる記憶手段に格納し、用紙に出力するときにはこの記憶手段に格納された画像データを読み出して行うメモリコピーモードを有しているが、このメモリコピーモードでは、複数部印刷するような場合であっても、一連の原稿を1回読み取って記憶手段に格納すれば用紙に出力するときは前記記憶手段から読み出して出力すればよいので、その後はスキャナ部は開放される。したがって、デジタル複合機においては、複数部印刷する場合と一部印刷する場合とでは、同じ印刷処理であっても、同じカウント比率で扱うことは不適切である。

そこで、本発明者は、デジタル複合機の部門管理のあり方について種々検討を重ねた結果、プリンタ機能や複写機機能等の印刷処理以外の処理に対しても、それぞれの入出力処理毎に、例えば印刷処理を基準として任意のカウント比率を設定できるようになせば、各部門ごとにその使用形態の差異を考慮した上で不公平感が生じないように部門管理できることを見出し、本発明を完成するに至ったのである。

すなわち、本発明の目的は、デジタル複合機で部門管理を行うに際し、プリンタ機能や複写機機能等の印刷処理以外の処理に対しても同時に部門管理を行うことができるようになされたデジタル複合機の部門管理システムを提供することを目的とする。

【課題を解決するための手段】
本発明の上記目的は以下の構成により達成し得る。すなわち、本発明によれば、複数の入力形態及び出力形態を有し、各部門毎に各入出力処理に対してカウント制御が可能なデジタル複合機の部門管理制御システムにおいて、各種入出力処理のそれぞれに対するカウント比率を一意に決定し得るようになしたデジタル複合機の部門管理システムが提供される。係る態様によれば、それぞれの入出力処理に対するカウント比率、例えばA4用紙1枚複写印刷する操作に換算した場合にどの程度にカウント値となるかを決定できるようになしたので、それぞれの入出力処理に要する負荷に応じたカウント値を与えることができるので、各部門ごとにその使用形態の差異を踏まえて公平に部門管理を行うことができるようになる。

係る態様においては、前記出力処理が複数の異なる手段を指定して出力する場合、それぞれの出力手段毎にそれぞれ別の部門にカウントアップ処理を行えるようにすることが好ましい。このような構成を備えていれば、ユーザーが所属している部門のためにした処理はそのユーザーの所属している部門のカウント値として、他の部門のためにした処理はその部門のカウント値として、また、顧客のためにした処理はユーザーが所属している部門ないしは処理の依頼先の部門のカウント値として等、様々な部門管理を行うことができるようになるので、部門管理の公平感は一層強まる。

また、係る態様においては、前記出力処理が同じ出力先に複数回同じ処理を繰り返す場合、それぞれ異なる部門にカウントアップ処理を行えるようになすことが好ましい。このような構成とすれば、例えば複数部の複写処理を行って各部門に配布するような場合においても、それぞれ配布先の部門にカウントアップすることができるようになる。

更に、係る態様においては、前記各種入出力処理のそれぞれに対するカウント比率の設定は、部門管理者がデジタル複合機本体、デジタル複合機に直接接続されたホストコンピュータ及びネットワーク上のサーバーやコンピュータから選択された少なくとも1つにおいて予め設定及び管理できるようになすことが好ましい。このような構成となすことにより、管理者がデジタル複合機にアクセスできる任意の場所から適宜にそれぞれの入出力処理に対するカウント比率を決定できるので、デジタル複合機の保守・管理がやりやすくなる。

【発明の実施の形態】
以下、本発明の実施の形態について図面を参照しながら詳細に説明する。なお、図1は本発明で使用するデジタル複合機の概略を示す図、図2は図1のデジタル複合機の動作を説明するフローチャートである。

本発明で使用するデジタル複合機10は、図1に示すように、少なくとも、操作部12、ファクシミリ部14、スキャナ部16、外部メモリインタフェース18、入力画像処理/生成部20、各種ホストインタフェース22、ジョブ制御部24、情報記録部26、出力制御部28、印刷部30及び内部メモリ32を備えている。なお、ファクシミリ部14は、デジタル複合機には備えられていない場合もあり、更に、ファクシミリの受信ないしは送信に制限を加えることは非実用的であるので、必ずしも本発明のデジタル複合機の部門管理制御システムに必要な機能ではない。

また、本発明における「部門管理」とは、「係」単位、「班」単位、「課」単位といったような複数の構成員からなる組織での利用を管理する場合だけでなく、一人一人に個別にID(パスワード)を割り当てて個人管理する場合も含まれる。

を備えたHDDや不揮発性メモリ等からなる記録手段である情報記録部26を有しており、入力データを処理する入力画像処理/生成部20を介した画像データに、情報記録部26に記憶している情報を付加し、必要に応じて累積カウント値を付加する出力先を自動変更して、出力制御部28での処理が正常に完了した後に、各部門毎に情報記録部26で設定されたカウント比率分の累積カウント値の付加処理を行い、情報記録部26に情報を保存するようになされている。なお、このジョブ制御部24の動作の詳細については後述する。

次いで、図2のフローチャートを用いて本発明における各処理の動作について説明する。本発明においては、使用前に、まず、管理者が管理者IDを用いて情報記録部26のカウント比率テーブル42に対して各部門ごとのプリンタ機能、複写機機能等の印刷機能、スキャナ機能、デジタルデータ化機能、ネットワーク転送機能、外部メモリへの保存処理等部門管理の対象となる機能の利用に対して、及び、複数回同じ処理を繰り返す処理に対して、それぞれカウント値の換算比率を設定すると共に、指定された各種入出力先に対して統一化された部門管理コードとの対応を関連付けて部門コード管理対応テーブル44に記憶させ、各部部門コード詳細情報/カウント値テーブル46に対して各部門ごと及び各機能ごとの制限カウント値のデフォルト状態の設定を行う。

すなわち、上述の各機能の利用はコスト及び環境負荷の観点からして等価ではないので、それぞれの機能に応じてカウント値に重み付け、例えば、
(a)A4用紙1枚印刷する工程のカウント値を1とすると、スキャナによるイメージスキャン工程は0.3倍、外部メモリに保存工程は0.1倍とする、
(b)複数部複写処理する場合は、1部複写処理する場合と同じ回数だけイメージスキャンすればよいので、2部目以降はカウント値に対して0.8倍とする等、
をして換算比率を設定してカウント比率テーブル42に記憶させるとともに、指定された各種入出力先に対して統一化された部門管理コードとの対応を関連付けて部門コード管理対応テーブル44に記憶させ、更に、各部門毎のIDや各機能に対する制限カウント値等を部門コード詳細情報/カウント値テーブル46に記憶させて、初期化を終了する。

この情報記録部26における部門管理に関する各種テーブル情報や、カウント値情報、設定管理情報は、デジタル複合機10の操作部ないしはこの複合機に直接接続されたホストPC48、或は各種ホストインタフェース22を経てネットワーク38を介して接続されている各部門のコンピュータ40−1〜40−4やサーバー40−5上で管理できるようになされており、これらは全て管理者がIDを入力することで追加、削除、変更が可能となされている。

また、カウント情報としては、各部門コード毎に、入出力処理毎のカウント値を始め、各種カウント情報を保持し、必要に応じて参照、初期化する事ができるようになされ、部門コード自体の追加、削除なども同様の手投で管理できるようになされている。更に、情報記録部26には、全体の管理情報として管理者ID情報や、各機能の部門管理制御のOn/Off情報、制限カウント情報など部門管理の動作に関わる情報が保持され、これらの情報も、テーブル情報と同様に追加、変更、削除が可能なとされている。

デジタル複合機10の使用に際しては、図2に示すように、ユーザーはまずステップS1において少なくとも部門IDを入力する。この部門IDは、デジタル複合機10の操作部12からキー入力してもよいし、ICカード等の外部メモリ36を使用して入力してもよいし、或は各部門のコンピュータ40−1〜40−4からネットワーク38を介して入力してもよく、利用するデジタル複合機10の機能に応じて適宜選択すればよい。

画像データ等を他部門へ配布する必要がある場合には、ここで同時に配布先を入力しておく。この配布先の指定は、通常使用されている部門名や課名、場合によっては人名でもよく、直接部門IDを入力してもかまわない。ここで入力された配布先データは最終的に情報記録部26の部門コード管理対応テーブル44を参照することにより一意の部門コードに関連付けられる。なお、デジタル複合機10の使用目的が生成した画像データ等を他部門へ配布することのみであって、ユーザーの属する部門のカウント値として扱うには酷であると思われる場合には、ユーザーIDを入力しなくてもすむような手段を設けてもよい。また、実行しようとするジョブが制限カウント値を超える状態になった場合に、デフォルトで設定されている部門コード管理対応テーブル44を参照することなく別のカウントアップする出力先を指定したい場合にはここで指定するようにすることもできる。

次いで、ステップS2において、各種入力処理群から画像データを入力し、入力画像処理/生成部20において送られてくるデータを個々のデータに応じた処理を行う。例えばデータがPDL(ページ記述言語)など、中間言語で書かれているものであればそれらをラスタライズ処理し、必要に応じて圧縮処理を実施し、また、スキャンデータのようにラスタライズされたデータの場合は、必要に応じて圧縮処理を行い、更にファイルデータなどのように所定のフォーマットによるデータの場合、必要に応じて圧縮処理や、ラスタライズ処理、内部ファイルシステムへのテンポラリ保存などを行う。これらの処理を行う際の情報源は、各データのヘッダ部分に付加されているヘッダ情報により決定さる。また、データの生成に必要な情報以外の付加情報は、ジョブ制御部24に管理を委ねるために使用される。

その後、ステップS3において、ジョブ制御部24において、情報記録部26に記録された各種テーブルを参照して、入力画像処理/生成部20から送られてきた画像データと付加情報を基にページ毎のページ情報とジョブ単位でのジョブ情報を生成する。このジョブ情報は、最初に付加情報を基に、入出力処理に対して部門管理の対象となる累積カウント値の加算を行う部門コード情報を設定する。この部門コード情報は、入力画像処理/生成部20からの付加情報で直接指定されていない場合は、情報記録部26の部門コード詳細情報/カウント値テーブル46を参照し、配信先名や、部門名、各入出力処理自体に割り当てられている部門コードを入手して設定する。

各入出力処理に対する部門コードが確定した後に、ステップS4において実際の出力動作を出力制御部28へ依頼し、ステップS5で出力制御部28から正常に出力された旨の報告が得られたかどうかを確認して、正常に出力された旨の報告が得られなかった場合には再度ステップS4に戻って同じ操作を繰り返し、正常に出力された旨の報告が得られた場合にはステップS6でそのジョブに対する対応する部門のカウント値のカウントアップ処理を実行する。なお、これらの処理において、各入出力処理に対するカウント比率を得るために、予め入力されている情報記録部26のカウント比率テーブル42を参照して所定のカウントアップを実行する。

なお、ステップS6の出力処理は、出力制御部28において、ジョブ制御部24からの画像データに対して指定されたデータの出力を実行するものであり、その際、出力先に応じたデータの変換処理を実施する。例えば、印刷部ヘの印刷処理であれば、圧縮データの伸張処理を行ったり、外部メモリ36への記憶・保存であれば所定のファイル形式へ変換し、また、各部門のコンピュータ40−1〜40−4等にE−Mailで送信するなどの場合にも指定されたファイル形式へのデータ変換を行った後、実際の出力動作に入る。各出力動作が正常に完了した際には、ジョブ制御部24に対して完了報告を行う。

【発明の効果】
以上述べたとおり、本発明におよれば、時代のニーズに合わせたデジタル複合機の部門ごとの使用管理を行うことができ、具体的には、各ユーザー毎に決定した各種入出処理の使用毎にカウント比率が定義できるため、用紙への印刷処理だけでなくデジタル複合機の使用に対するカウントアップが公平に行われ、また、他部門への情報提供などは必要な部門に自動的にカウント値を割り振れるため、デジタル複合機をどの部門がどれだけ使用したかがより詳細に管理する事が可能になり、経費削減、及び経費の公正な振り分けができるようになる。
