本発明は、テレビ会議システムにおける資料データの共有方法に関する。

【従来の技術】
インターネット、電話回線等のネットワークを用い、テレビ電話あるいは音声(IP)電話によって双方向あるいは多地点間で通信を行なうテレビ会議システムが存在する。

テレビ会議システムによって提供される遠隔教育や相談などのサービスにおいて、テレビ会議の参加者である教師、生徒、議長、コンサルタント、相談者等が利用する各端末局が相互に資料を共有する場合がある。

従来テレビ会議における資料の共有方法については、以下のような方法が存在していた。
1)Webを利用した資料共有
2)多目的情報交換ボードの利用による共有
3)アプリケーション共有
このうち、1)、2)の方法においては、Webページまたは静止画データをテレビ会議中にある端末局から他の端末局に送信する方法である。

3)の方法については、1)、2)の方法とは異なり、あらかじめ端末間で相互に資料ファイルを準備する。そして、各端末において、その資料ファイルに関連するアプリケーションを起動する。このアプリケーションではネットワークを介して端末局間でマウスやメニュー選択の操作情報を交換することで、相互にマウスやメニュー選択操作を共有することを可能としている。

【発明が解決しようとする課題】
<会議開催前における資料配布の課題>
上記3)の方法においては、各端末局が資料ファイルを事前に準備するプロセスが必要である。そしてこのプロセスについては、特別な方法は用いておらず、たとえば電子メールなどを用いて会議の事前にファイル送付を行なうといった方法がとられている。

3人以上の参加者による多地点テレビ会議を行なおうとする場合、一般的に、参加者同士が自由に接続を行なうわけではなく、ネットワーク上のサーバで仮想的に設定された場所、たとえば仮想会議室や、仮想教室、仮想広場(パティオ)といった場所に各参加予定者が同時にアクセスすることで、テレビ会議が開催される。

いわゆる企業などにおけるテレビ会議の場合は、議長あるいは招集者により、各参加予定者に電子的あるいは物理的な方法で召集がかけられることが多い、その方法としては、例えば電子メールであり、あるいは電話などである。召集を行なう際には、企業やその部課などに属す社員の名簿(データベース)から、被招集者を決定する操作が行なわれたりする。

そして、テレビ会議の開催前に各参加予定者に会議に必要な資料を配布するためには、ネットワーク上の仮想会議室にアクセスしたメンバや、召集を行なったメンバに対し電子ファイル(ワード(R)、エクセル(R)、パワーポイント(R)、PDF、ビデオや写真など)を電子的(電子メールなど)に、あるいは、物理的(ディスクなど)に、手動で配布しなければならない。

さらに、参加者が途中で変更になったりする場合や、参加者の代理で出席する者が存在したりする場合などには、変更後の参加予定者に資料を手動で転送しなければならず、非常に不便である。

<会議中における資料配布>
また、会議中に資料を送付する必要がある場合がある。たとえば、会議においてデザインの決定を行なう場合など、会議において最終決定する内容については、事前に資料を送付することはできない。他にも、アンケートや試験問題など事前送付することが望まれないものがある。あるいは、会議中に臨時に特定の資料が必要になる場合もある。さらには、そもそも会議に参加するメンバが事前に決まらない場合もある。

したがって、会議中に資料を送付するプロセスが必須となる。しかしながら、上記1)、2)の方法については、データが大容量となる資料ファイル(例:ワード(R)、エクセル(R)、パワーポイント(R)、PDFなど)を送信する方法であり、テレビ会議で使用する映像および音声の通信帯域に影響を及ぼすおそれがある。したがって、テレビ会議の進行中にこれらの方法をとることは好ましくない。

テレビ会議の場合、インターネットを介して特定の回線容量を用いながら映像や音声の会話を行なっているので、資料の送付は映像音声の通信パフォーマンスの劣化の原因となり、極端な場合には、音切れ、画像の停止などの原因となるからである。

そこで、従来、会議中に送付する資料については比較的容量が小さい静止画像を用いる方法や、Web PageのURL情報のみを相手端末に送信し、相手方端末でHTTPなどのプロトコルでページをダウンロードするなどの方法をとることで、回線容量への影響を最小限に留めるための方法がとられていた。このため、会議中において配布することのできる資料形態に制約があった。

そこで、本発明においては、シンプルかつ回線容量に負荷のかかりにくい方法を用いて、会議の開催前や会議中等、様々なタイミングにおいて資料共有を簡便に行なうことを課題とする。

【課題を解決するための手段】
上記課題を解決するため、請求項1記載の発明は、テレビ会議システムにおいて資料データを配布する方法であって、a)予約されたテレビ会議ごとに、参加予定者のメールアドレスを管理する工程と、b)テレビ会議が開催される前の時間帯において、各テレビ会議用の資料データが所定の記憶領域に格納される工程と、c)テレビ会議が開催される前の時間帯において、格納された資料データを利用するテレビ会議の参加予定者のメールアドレスリストを生成し、当該メールアドレスリストを前記資料データに埋め込む工程と、d)テレビ会議が開催される前の所定のタイミングで、メール配信機能部が、前記メールアドレスリストが埋め込まれた前記資料データを受け取ることにより、各参加予定者のメールアドレスに対して、前記資料データを送付する工程と、を備えることを特徴とする。

【発明の実施の形態】
以下、図面を参照しつつ本発明の実施の形態について説明する。

図1は、テレビ会議システムの全体概略図である。テレビ会議システムは、映像および音声データを相互に交換する複数の端末局1と、各端末局1から送信される映像および音声データをインターネット等のネットワークを介して受信するとともに、受信した映像および音声データを他の端末局1に中継送信する基地局2とを備える。図では、4つの端末局1A〜1Dが基地局2を介して映像および音声のデータ交換を行ない、テレビ会議を行なっている。

テレビ会議システムにおいては、各端末局1が映像、音声をリアルタイムに交換しながら会議を進行する。そして、テレビ会議では、会議参加者が参照する資料データ(ワープロデータや画像データ、グラフデータなど)がネットワークを介して配布されることになる。テレビ会議の各参加者は、映像、音声を交換することによってコミュニケーションをとりつつ、配布された資料を参照しながら、会議を進行させるのである。この資料データの配布時期は、テレビ会議の開催前や開催中など様々である。本発明においては、この資料データの配布時期に応じて、適切な配布方法を実現するものである。

<1.テレビ会議の開催前における資料の配布方法>
図2は端末局1および基地局2の機能ブロックを示す図である。まず、端末局1における予約登録部11において、テレビ会議への参加予約処理が行なわれる。予約登録部11から基地局2の予約系サーバ20が備える予約処理部21に対して処理開始要求が発生することにより、予約処理部21が予約DB23を参照して現在の予約情報を取得し、取得した要約情報を予約登録部11に対して返信する。

予約登録部11は、現在の予約情報を受信すると、端末局1のモニタ上に、図3に示すような会議室予約画面51を表示する。会議室予約画面51は、現在の予約情報を表示する役割と、新たな会議室の予約を入力する機能とを備えている。

ここでは、予約DB23において3つの仮想会議室(会議室1〜会議室3)が登録されているものとする。したがって、会議室予約画面51には、会議室1〜会議室3についての予約情報が表示されている。

会議の参加予定者を選択した後、端末局1の操作者が、資料登録ボタン522を選択することにより、会議の予約情報が予約DB23に登録される。さらに、選択された各参加予定者の情報が、会議参加DB24に登録される。会議参加DB24には、参加予定者のID番号等、識別情報が登録される。この識別情報をキーとして利用者DB30を参照し、各参加予定者の登録情報を取得可能である。なお、会議参加DB24に、利用者DB30に登録されている情報を適宜抽出して登録するようにしてもよい。

<2.テレビ会議の開催直前における資料配布方法>
以上、説明した資料の配布方法は、テレビ会議が開催される前の事前処理である。次に、テレビ会議の開催時(開催直前)における資料の配布方法について説明する。

予約DB23に予約された会議について、会議の開催時刻になると、各端末局1の会議接続部16が、基地局2の中継系サーバ40に対して接続処理を行なう。

<3.テレビ会議開催中の資料配布方法>
次に、実際に映像および音声のデータ交換を行ないながらテレビ会議を進行している状態での資料の配布方法について説明する。

上述のように、会議の開始前や、開始直前の時間帯においては、基地局2から各端末局1に対して資料データ62を配布するようにした。しかし、会議が実際に開催され、映像および音声のデータ交換が行なわれている状態では、円滑なテレビ会議の進行を維持するために、映像および音声用の通信帯域を確保する必要がある。

上述したように、テレビ会議の接続処理が行なわれると、基地局2は、接続要求元の端末局1のIPアドレスを取得することが可能である。したがって、基地局2が各端末局1のIPアドレスを各端末局1に通知することで、各端末局1は、互いのIPアドレスを取得することが可能である。

そして、テレビ会議が実際に開始され、映像および音声のデータ交換が行なわれている状態では、各端末局1の資料送受信部15は、基地局2を経由することなく、端末局1同士のピアtoピアで資料データ62の交換をするのである。図1に示した破線が、テレビ会議開催中の資料データ62の交換ルートを示した図である。このような処理を行なうことにより、基地局2では、回線の負担のみならず、中継処理のCPU処理の負担も軽減させることが可能である。

上記処理によって、基地局2における回線の負担軽減を図ることが可能であるが、端末局1側の回線においては、通信帯域に影響を及ぼすことになる。具体的には、資料データ62の送信側においては、上り回線の帯域が制限されることになり、資料データ62の受信側においては、下り回線の帯域が制限されることになる。このため、資料データ62の送信側、受信側において映像および音声のデータ交換に影響を与えることになる。

そこで、基地局1が資料送信部15により資料データ62を送信する際には、映像音声処理部17の備える間引き処理部18が、送信画像の間引き処理(たとえば、フレームレートを下げる方法や、解像度を下げる方法がある。)を行ない、送信データの容量を縮小させるようにしている。あるいは、間引き処理部18が、送信音声の間引き処理(たとえば、無音領域を削減する方法や、サンプリングビットレートまたは量子化ビットレートを下げる方法がある。)を行ない、送信データの容量を縮小させるようにしているのである。

このようにして、資料データ62の送信時には、映像および音声の送受信データ量を縮小させ、円滑なテレビ会議の進行を可能としているのである。一般に、ブロードバンドネットワークにおいては、上り方向の容量が小さく、下り方向の容量が大きいので、送信側で帯域を制限する方法は有効である。
