The present invention refers to banking-type applications relating to the digital saving of documents, more particularly it refers to a system for the safe management of documents forming part of a practice that minimizes the risks of loss or omission of one or more of such forms, certificates, certificates, records and / or related photocopies to be included in the dossier.

State of the art

In banking practice, branch operations that are carried out in the presence of the customer require the creation or acquisition of documents of different types. Each type of practice involves the collection of the documents listed in the company procedures based on criteria such as the type of practice, the amount of the same, the type of customer and so on. For example, the documents of a financing case can be: the opening document of the case, the contract signed by the client, the image of his identity document and his tax return. Some of these documents are provided by the customer, others are generated by one or more management programs installed in the bank's computer system and are often printed on the spot and signed by the customer and the counter clerk. For the bank it is very important that all the documents required are created or acquired according to the type of practice and that these documents are archived so that they can be easily found even after some time: the lack or loss of certain documents can have consequences. heavy for the bank in the event of insolvency, dispute or inspection by the competent authorities. Precisely to protect itself from the aforementioned problems, the bank must implement complex and costly measures to ensure the presence and conservation of documents, for example: setting up different levels of internal supervision during the process of a case, having archives safe, set aside reserve funds to cover possible losses.

Document management, for the reasons indicated above, therefore represents one of the most important organizational and spending commitments of a bank. Despite these measures, it is common to lose some documents.

To overcome these problems, at least in part, numerous systems have been devised and implemented in the past, such as, for example, that of the substitutive conservation of documents in digital format, carried out by means of specific document management systems, and that of the IT connection between management programs and document management programs.

An innovation applied to these systems is described in the patent application: n. RM2011A000546 â € œ Serial peripherals managed sequentially and related virtualization techniques, in particular with reference to printers for use at bank branches and related printing servicesâ € in the name of PRB S.r.l., filed on 14/10/2011.

Leaving aside the now obsolete case of an entirely paper-based management, the typical process of a practice according to the current digital technique involves the following actions: - The operator opens a new practice in the banking management program, introducing data such as the type of practice, the customer name, amount and so on. - The operator prepares a cardboard folder to contain the documents of the case.

- The management program creates the file and prints an opening model and a contract, which must be signed by the customer.

- The management program prints various accessory forms, which must be signed by the customer.

- The operator, according to the type of file and possibly consulting the procedures, asks the customer for other documents, such as an identity document, which are photocopied and inserted in the folder.

- In a subsequent phase, carried out during the closing time of the counter and often by other operators, the paper documents present in the folder are digitized with a scanner and inserted in the document management program.

- The file thus digitized goes through an approval process that involves the possible need to acquire other documents.

- When the file is closed, the paper documents are inserted and kept in the archives.

The current technique, described above, allows to perform all the desired functions, but has several drawbacks:

- There is a significant probability that, during the process, the necessary documents are not acquired: in this case the file must go back to add the documents, which often have to be requested from the customer with significant delays. - Since paper documents have to be examined by multiple operators and on multiple occasions, there is a significant probability that documents will be lost. - For the same reason, there is a possibility that documents are inserted in the wrong folder or that the correct connection between the documents in the document management system and the banking management system is not made. - The process requires numerous steps that involve high processing times and personnel costs.

In case of failure to find the documents, even after some time, following insolvency or inspection by the Authority, the bank may be obliged to pay expenses, fines or may lose its credit towards the customer.

Another disadvantageous aspect of current digital saving techniques is the mechanics and rigidity with which the sequential scanning of documents is provided, that is, without the operator being able to intervene in any way with his own observations, even ex post. , on the scanned document. For example, a typical operation is that which has the countersigned affixing on paper of a visa by an executive. It cannot be carried over to the scanned sheet except by re-digitizing the sheet itself.

An aim of the present invention is therefore also that of recovering the possibility of annotating and reviewing the state of the documentation with observations on the single sheet, an activity typical of the human individual as it proceeds through continuous evaluation and revision actions.

More generally, the purpose of the present invention is to solve the problems described above, to ensure the completeness of the documents of each case, the security of their retrieval and to eliminate the series of useless steps that are foreseen in the revision procedures.

Furthermore, the purpose of the present invention is to provide a computerized system that uses constituent elements, standard HW-SW technologies in the field of digitization of paper documents, in order to make the system and its management cost-effective and easy. maintenance.

These and other objects which will become clear in the course of the description are achieved by means of a control apparatus and manufacturing techniques whose fundamental characteristics are set out in the attached independent claims; further advantageous embodiments are highlighted in the subordinate claims.

For the sole purpose of better clarifying its realization, and without thereby wanting to limit its scope and sectors of application, the present invention will now be described with reference to a series of particular but not limiting or binding configurations, starting from FIGURE 1 attached which is a schematic illustration of a document digitization and archiving unit, according to the present invention, and from figures 2A and 2B which are exemplary screenshots of the archiving procedures.

The proposed solution envisages providing the operator, at the bank office, with an archive 3 in electronic format relating to the various files that can be opened. This archive is accessed by means of a PC 4 by the operator who creates an instance of the practice scheme contained in the starting archive for each customer.

The creation of the computer system for â € œarchive bank documentsâ € requires that, with each new case, a series of data are in fact acquired from the banking management system in use. In particular, it is envisaged that the scheme of the list of documents that must be included in that type of practice is obtained from an archive 3 and that they are presented on the operator's video 7. The operator selects documents already in digital format (files already present in the computer or created at the moment by the management system) and, with a scanner 2 installed, scans those in paper format at the counter. The documents are immediately sent to the management system and linked to the case open at that moment. The application keeps stored the list of documents already scanned and those still to be scanned.

Since it is not always possible to have all the documents immediately, the application can also be started at a later time and present the list of cases with documents still to be acquired and, for each case, which documents are needed. In this way it is no longer possible to forget to insert documents and since all the documents already archived in digital format and already connected with the relative practice, it is no longer possible to lose them.

In order to better describe the invention, a description of a typical embodiment thereof is given below.

It is not normally necessary to make any changes to the management program existing in the Bank before applying this method; the management system, on the other hand, becomes flanked by an apparatus for â € œarchiving counter documentsâ € created specifically to perform the technique object of the present invention.

When the operator creates a new case, the program intercepts the printout of the form created by the management system and obtains the fundamental data of the case: the type of case (e.g. mortgage), the client's reference, the date, the description , the amount and anything else that can be used) to file the documents of the practice itself.

- Based on the type of file, the application consults specific tables 3 prepared on the basis of company procedures and presents on the screen, in its own window shown in screen A, the list of documents to be acquired in addition to the fundamental data of the case .

The optical pen 5 is a device connected to a computer used in past years to identify the passage of the electronic brush that draws the image on a screen. When the photo-resistor inserted in the optical pen is hit by the electronic brush, the computer receives a signal and can establish the coordinates of the point that is drawn at that particular moment because the movement of the electronic brush is controlled by the signals generated by the computer itself. .

In practice, if it is a question of affixing an image to an already digitized document, the user approaches the tip of the optical pen to the monitor screen 7 and the computer 4 is able to understand the position of the pen on the screen 7.

This is achieved by detecting the pulse of light that the sensor placed in the pen transmits when it is hit.

On the other hand, as is well known, the graphic tablet 6 is a peripheral that allows data to be entered inside a computer. The diffusion of the latter has also progressively decreased, due to the greater practicality of the image scanner as an image acquisition device. In this context, the graphic tablet 6 is responsible for the manual writing of a shorter or longer text, similar to the one inserted on the paper document. Precise positioning by means of an electronic pen therefore allows images to be superimposed on the digitized sheet. After all, the drawn path is recognized by the tablet so it has an effect similar to freehand writing, thanks also to the fact that the tablet is sensitive to pressure. Below we will specify a different use of the graphics tablet in which it is used as a unit of output input as well as of data input.

In the bank, comments are often used through special signs: for example, having put an asterisk in the first line outside the boundaries of the protocol can have a particular meaning, instead having put a small arrow upwards means that it is necessary to reference to the superior; a series of typical conventions which, however, cannot enter into the evident context of the typed or printed sheet. With the aforementioned tools (optical pen and graphic tablet), in practice, if you want to put one of these signs or a short sentence on a page of an already open file; the affixing can take place without having to re-scan the page as:

a- re-scanning is not in line with the technical solutions proposed in the context of the present invention;

b- it would not be convenient, if you had hundreds of pages, to have to re-scan them all.

Instead, it is sufficient to position yourself on the screen 7 and direct the relative coded symbol or trace on the graphic tablet 6 the sign corresponding to the one affixed on paper, and then transfer it by dragging onto the digitized document in the position corresponding to that on the paper sheet. That is to say, for example, that the sign of â € œVâ € is detected by the keyboard 8 or first traced on the graphic tablet 6. Then with the optical pen 5 its precise position is established on the digital sheet already scanned and by means of a â € œdrag & dropâ € type operation is transferred starting from tablet 6 on the relative page in the exact desired position, without re-scanning the whole. Two windows can be opened on screen 7, one with the scanned image, the other with the content entered on the tablet; use the mouse to select and drag the tablet image to the point on the scanned sheet previously marked with an optical pen, and whose coordinates have been detected.

In this regard, two solutions are envisaged:

i- one that joins the two digital images by inserting or replacing the original digital content with the new one on a given delimited area of the digital sheet, and

ii- another that instead creates and stores, for each digitized documentation folder, two files:

a- one â € œbaseâ € from the scanned original text;

b- a second file of the â € œoverlaysâ € applied virtually - multilevel type - on the basis that refers to the annotations added during the work.

The latter can also be considered separately, in which case it assumes the dimension of a series of notes that can be evaluated, themselves, in an extemporaneous way in order to quickly consider what has been the process followed by the practice.

The implementation of this support file, containing the notes, is carried out effectively on the basis of a matrix with null dominant contents. In it only in correspondence with the particular insertions on each digitized sheet are the associations of the corresponding information implemented. Its content is characterized by a data structure of the type:

Basically this type of data structure originates from the subdivision in the two files just mentioned. The so-called second `` upper '' file (relative to the additional notes) applied virtually on the base one is pointed to by the locations of a reference matrix which is derived from sampling in pixels of a virtual image associated with the sheet of superimposed annotations, and which in practice corresponds to a differential scanning to obtain a series of images each with the pixels corresponding to the rectangular box in which the annotation affixed to the sheet is contained.

There may be pages of the dossier not marked with any notes, in which case the matrix of references relating to that page will have no image to point to. If, on the other hand, an annotation affixed to the page is detected, then only the references to that image are activated, corresponding to the row, column intersection for the sheet pane covered by the annotation. In the first case, information such as â € œPage xx NULLâ € is stored to indicate that the pointer is disabled. In the second case we will have a given type â € œPage zz column 15, row 3â €, without having to work with the millions of pixels that make up the high definition image.

The saving in memory occupancy also derives from operating with a matrix in which each element has a low probability of being activated and in any case is based on the loading into memory of a dynamic structure made even more compact by the fact of operating with information such as origin coordinates / end coordinates of a rectangular window whose dimensions contain the inserted note.

In essence, this is an adaptation of already known compression operations on the basis of which the actual quantity of pixels present is not memorized, but the coordinates of the vertices of a rectangle are considered within which to detect the annotation affixed manually . As an example, instead of storing in a matrix of 1000x2000 pixels to be pointed for each page, we operate with a sequence of information at the matrix level with NULL dominant contents, but in which only the coordinates, column row, are active for a window. corresponding to the vertices of a rectangle within which the image of the annotation is contained.

In all, therefore, assuming that there is only one note in a page, two pixels are defined and stored (column row; column row, of the opposite vertices of the rectangle), which also point to an image file in which it is contained for each set of two identifying pixels of a rectangle, the relative image of the annotation made.

Hence a minimum occupation of memory as well as an essentially dynamic management.

Further information is inserted in more articulated realizations of the matrix with null dominant contents, for example together with the notes the operator code and / or the date of the update are inserted, thus constituting a sort of story that documents the development step by step of the practice until its completion. A paper and / or digital review of the practice together with the content of this matrix of observations gives rise to an incessant process of comparison, in real time, which in turn produces assessments and choices determined on the basis of the excursus of the observations provided, as well as based solely on the documents attached to the file.

In a further implementation of the virtualization techniques of the updates, to be made on the file, corresponding to the digitized practice, one or more cameras 9 are positioned to frame and acquire in real time the scanning of the pages of the dossier by the bank operator. In an interactive way, the movement of a page in the sequence is detected and any differences with respect to the original ones and the sequence that reflects the scheme of the archive in electronic format are established. The operator is provided in real time with appropriate warnings on this type of alteration in the sequence.

To implement document recognition, the technique is based on automatic contour delineation procedures that outline the image referring to the single sheet and search within the sheet for a representation of essential characterizing and distinctive lines and / or colors. The result is the attribution of the type of sheet to a given category included in the starting scheme. For this reason, it is essential that each diagram has been divided by ordering and classifying the sheets on the basis of usual criteria, such as the type of document and any hierarchy present in it within the division.

The application, however of a commercial type, reads, by means of the camera 9, a high number of frames per second and is therefore able to make a thorough comparison between the previous stored image and the current one, being able to detect thus the position of any signs and markings on the single sheet inserted after the original digitization.

The image of the signs or symbols affixed by the operator is thus isolated and filtered by the camera to be proposed on the Tablet Pc for editing, for an automatic multilevel addition, setting the image on the digitized file original relative to the dossier, in the corresponding page and in the position of the latter marked manually by the operator. It should be noted here the different use of the camera compared to what could be a solution that involves only the production of a microfilm.

Moreover, advanced SW solutions are known for introducing â € œmanualsâ € annotations on a digital text. In particular Microsoft One Note is a popular package that offers numerous integrated features. In summary, it allows you to take, organize and reuse notes on laptops, desktops and tablet PCs. In particular, in combination with devices equipped with a graphic tablet (such as tablet PCs), it allows you to better express the recording and writing of manual notes, drawings, diagrams, etc. The interface is similar to that of a notebook. In this processing environment it is possible to write using the keyboard or if you have a Tablet Pc 6, you can write by hand using the graphic tablet and a pen. With Ms OneNote you import images, graphics, texts, etc. of any size.

In the apparatus described so far, the original application compared to what is known in the sector is the use of a camera that scans the dossier of paper documents, every time it is reviewed by the bank and detects the image of the € ™ handwritten annotation to then propose it on Tablet Pc for cancellation / modification by the bank. The virtual path from the camera 9 to the Tablet Pc is shown dashed in Fig. 1.

In other words, it is envisaged that the camera 9 that frames and acquires in real time the scan of the pages of the dossier by the bank operator, detecting any differences in the current digitized content compared to that of the original pages, can filter and send the differential image, corresponding to the signs entered on the original sheet, on the PC video and, at the same time, on the Tablet PC screen. The Tablet Pc 6 therefore operates as an I / O unit, being able to work with the camera 9 for the direct acquisition of the images corresponding to the marks entered on the original sheet, so that the bank operator can arrange the changes deemed appropriate on the signs detected and then implement the insertion on the digitized file.

Advantages and industriality of the invention

As can be seen from the description, the system created for the implementation of the method object of the invention fully achieves the set purposes: completeness of the documents of each case, security of their retrieval and elimination of unnecessary steps.

As far as the safety of the backups is concerned, the use of immediate archiving media is envisaged in a multiple disk 10 document management system with mirroring effect. To do this, the typical procedures for installing multiple disks are overcome, which involve creating a partition for each disk installed.

The above description relates to a particular embodiment of the invention for the sole purpose of specifying its characteristics; numerous other implementations are possible, based on the type of activity that the user has to carry out, based on the computer and its operating system and on the pre-existing management program. From the description and the figures it can be understood how the technique object of the invention fully achieves its purpose; however, it should be noted that numerous changes and additions may be made without departing from its spirit and scope of protection, as is better understood from the following claims.

CLAIMS 1. Equipment for the secure archiving, in digital format, of documents forming part of a practice characterized by the fact of providing: a) a dossier-folder in paper format in which all the documents relating to a case date are physically inserted; b) a processor (4), personal computer type, with relative input / output units (8,7), central processing unit and relative working memories; c) a scanner (2) for the transformation into digital format of documents originally in paper format; d) an archive (3) in electronic format comprising a multiplicity of tables containing, each, for each type of practice, the complete list of documents necessary for the completion of one of said practices; e) an archive (10) in electronic format comprising the related digitized documents for each dossier being completed or completed; f) an on-screen pointing tool (5) on the computer display, such as an optical pen, which allows to communicate to the computer the position currently selected on the screen; g) a graphic tablet or a Tablet PC (6) for the input of data in image format towards the PC (4). 2.
