- the print server 19 and the policy-based process server 18a may be two different devices or could be implemented on one server, such as illustrated in the embodiment of Fig. 2. Also the pre-defined policy 21 is stored on the policy-based process server 18a.
- a user is sending an electronic document 20 from a client terminal 22a to the print server 19.
- Thee electronic document being stored on the print server 19.
- the policy-based process server 18a is analysing the electronic document 20 according to possible breaches of the policy 21.
- the policy-based process server 18a may be analysing attached metadata of the electronic document 20, which may contain - perhaps encrypted - document-relevant information, such as the ownership of the electronic document 20, list of users allowed to use the electronic document 20, classification status or found keywords in the electronic document 20.
- the electronic document 20 could be analysed by text or pattern recognition methods, such as optical character recognition (OCR) or image recognition, such as signatures, logos or construction elements on a construction plan.
- OCR optical character recognition
- image recognition such as signatures, logos or construction elements on a construction plan.
- the user may define her or his own policy 21 for every electronic document 20 and the policy may be checked before the background of a company policy 21.
- the use of the electronic document 20 may be restricted for specific purposes, such as scanning, reading, printing and/or sending the electronic document 20 by the processing means 1.
- scanning of a classified electronic document 30 (not shown in Fig. 2) may be stop on the processing means 1 and not be routed to the print server 19.
- the administrator and the user may receive a notification 23 that the policy 21 was breached by the scanning of the classified document 30.
- the electronic document 20 is inhibited within the print queue of the print server 19, because a breach of the defined policy 21 was detected by the policy-based process server 18a. Because of that, a notification 23 being sent to an administration terminal 25 and an administrator in front of the administration terminal 25 could see the breach of the policy 21 for the specific electronic document 20. Without an acknowledgment message 24 being sent by the administration terminal 25 to the print server 19, the electronic document 20 can not be released from the print queue on the print server 19.
- the electronic document 20 may also be stored on a separate file server 29 (not show in Fig. 2) for documentation and preservation of evidence purposes.
- Fig. 3 shows a flowchart of a preferred embodiment of the method for policy-base printing and scanning.
- a user sends an electronic document 20 (not shown in fig. 3), like a print job, to the print server as an inhibiting means 19 (not shown in Fig. 3) .
- the electronic document 20 being stored on the print server 19.
- the electronic document 20 being analysed, if the user was allowed to send the electronic document 20 within the printing and scanning network 26 (not shown in Fig. 3) . If the user was not allowed to send the electronic document 20 and therefore breaching the policy 21 (not shown in Fig. 3), a notification 23 is sent to the administrator.
- the administrator can decided whether or not she or he accepts the breach of the policy 21 by the user. Only with an acknowledgment 24 of the administrator in direct response to the notification 23 the inhibited electronic document 20 can be further preceded.
- Metadata are additional information about the electronic document 20, such as filename or owner of the electronic document 20.
- the metadata may be part of the electronic document 20, especially as part of the header of the electronic document 20, or a separate file. If the policy 21 is not violated by keywords in the metadata, the electronic document 20 is analysed by the electronic document analysing means 18a (not shown in Fig. 3) defined by a policy-based process server directly. For example, the content of the electronic document 20 is analysed by OCR- technologies and the extracted information are compared with predefined keywords defined in the policy 21. If no predefined keywords are found within the electronic document 20, the electronic document 20 is routed to the print queue on the print server 19. Only if the user, who wants to release the electronic document 20 from the print queue for printing of the device 1, is allowed to print the electronic document 20 on a specific device 1, the electronic document 20 is pulled by or pushed to the device 1 for printing.
- the electronic document analysing means defined by a number of connected policy-based process servers 18a, 18b, 18c, 18d defining a network 26. All client terminals 22a, 22b, 22c are connected with the network 26 and all electronic documents 20 are analyzed by the entire network 26 of the policy-based process servers 18a, 18b, 18c, 18d . If the electronic document 20 being consistent with the policy 21 the electronic document 20 is routed to the inhibiting means defined by a print server 19. The print server 19 is checking whether or not the user requesting the release from the print queue and printing of the electronic document 20 on a printer 1 is allowed to do so.
- Fig. 5 shows another preferred embodiment of the system 17 of printing and scanning.
- a central server 27 retrieves electronic documents 20 from a processing means 1, such as a Canon multifunctional device C5030iplet.
- the electronic document 20 being sent to a hot folder 28, which is managed by the policy-based process server 18a.
- the policy-based process server 18a picks up the electronic document 20 from the hot folder 28 and analyses if predefined keywords defined in the policy 21 may contain in the electronic document 20.
- the policy 21 in the embodiment of Fig. 5 is defined by the administrator. All electronic documents 20 are archived on a file server 29. Because the electronic document 20 illustrated in Fig. 5 breaches the policy 21, the user is inhibited to see the classified electronic document 30 on a client terminal 22a.
- Fig. 6 shows another embodiment of the system 17 for printing and scanning.
- User 1 is scanning a document, whereas the scan breaches the pre-defined policy 21 (not shown in Fig. 6) .
- the classified document 30 being sent to the policy-based process server 18a.
- the policy-based process server 18a is also inhibiting the further processing of the classified document 30 within the system 17.
- a notification 23 is sent to the administration terminal 25 and to all users at client terminals 22b,22c,22d, who want to access the classified document 30. Because of that the classified document 30 could not being printed on the device 1 or being seen on the client terminals 22b,22c,22d.
- the policy-based process server 18a analyses the electronic document 20, especially by OCT technologies, and detecting a violation of the policy 21. Because of that, the electronic document 20 will be classified as a classified electronic document 30 and can not be printed on a processing means 1 or be seen on a client terminal 22b,22c,22d. Even the owner of the electronic document 20, in this example user 2, is no longer allowed to see the classified electronic document 30 on her or his client terminal 22d.
- Fig. 7 shows another embodiment of the system 17 for printing and scanning.
- the owner of the electronic document 20, in this example user 1 is defining a policy 21 for every electronic document 20, such as no printing and recording of every viewing.
- the electronic document 20 is routed with the policy 21 to the policy-based process server 18a, which forwards the electronic document 20 with the policy 21 to another policy-based process server 18b.
- the second user - user 2 - could only get an access to the second policy-based process server 18b.
- DRM is an acronym for digital right management.
- User 2 may view the electronic document 20 on her or his client terminal 22a, but is not allowed according to the policy 21 to print out the electronic document 20.
- the electronic document 20 is a classified electronic document 30 for printing on the device 1.
- the violation of the policy 21 may the registered and a notification 23 (not shown in Fig. 7) may be sent to an administrator .
