For example, after the electronic files generated by the website organization in a certain preset area are collected, the archive Bao Shengcheng side packages the collected electronic files to generate an archive package, and adds the area code of the preset area and the archive package generator code corresponding to the archive code to the archive package in the packaging process as the identifier of the archive package. Optionally, the encodings and the region encodings of the archive package generators corresponding to different archive package generators and different preset regions are different from each other, and in the embodiment of the present invention, the preset regions may be regions formed by provincial division.
Specifically, after the electronic file management system obtains the file package sent by the file package generator, the receiving record corresponding to the file package can be updated in the pre-established file package receiving record table based on the file package information carried by the file package. It should be noted that, even if the archive package generator does not generate an archive package in a certain area, a blank archive package (archive package without electronic archive) should be sent to the electronic archive management system so that the electronic archive management system can confirm that the archive is not missed.
Optionally, in the embodiment of the present invention, the archive packet receiving record table may monitor and record the electronic archive based on the source (archive packet generator) and the area to which the archive packet belongs, and the data format of the receiving record in the archive packet receiving record table may be as shown in table 1, in the archive packet receiving record table, the archive packet generator field is used for characterizing the archive packet generator to which the received archive packet belongs, the area field is used for characterizing the area to which the received archive packet belongs, the archive packet number field is used for characterizing the number of archive packets sent by the archive packet generator to which the archive packet should be received, and the actual archive packet number field is used for characterizing the number of archive packets sent by the archive packet generator to which the actual received archive packet is actually received.
S120, determining a target electronic archive in the electronic archive file according to the index file.
The target electronic file may refer to an electronic file to be stored in the electronic file management system.
Specifically, the target electronic archive may be sequentially determined from the file targets in the electronic archive according to the index of each electronic archive in the index file.
TABLE 1
S130, updating the receiving record of the target electronic file in a pre-established first file receiving record table according to the file information of the target electronic file.
The archive information may include an archive type of the electronic archive and an area to which the electronic archive belongs. Optionally, the archive information may be an identifier of the electronic archive, and may be identifier information added to the electronic archive during the process of generating the electronic archive. It should be noted that, the area to which the archive package belongs to the same area as the area to which the electronic archive in the archive package belongs.
Specifically, after determining the target electronic file to be stored in the electronic file management system, the receiving record corresponding to the target electronic file may be updated in the first file receiving record table established in advance according to the file information of the target electronic file.
Optionally, in the embodiment of the present invention, the first file receiving record table may monitor and record the electronic file based on the area to which the electronic file belongs, the file type of the electronic file, and the date attribute of the electronic file, a data format of the receiving record in the first file receiving record table may be shown in table 2, in the first file receiving record table, an area field may be used to represent the area to which the electronic file belongs, and a file type field may be used to represent a type of the electronic file; the date attribute of the electronic archive may include a date type field (primary key) and a date offset field; the date type field may be used to characterize a time of generation of the electronic archive of the corresponding archive type, for example, if the date type field is an a value, the electronic archive of the corresponding archive type is generated every day, and if the date type is a W value, the electronic archive of the corresponding archive type is generated only on a working day; the date offset field may further characterize the generation time of the electronic archive based on the date type field, for example, when the date type field is M value (month end), S value (season end) and Y value (year end), the date offset may represent a distance from the end day when the date offset is a negative value, and may represent a specific date when the date offset is a positive value, and for example, when the date type field is M value and the date offset field is-2, the generation time of the electronic archive of the corresponding archive type is represented on the next-to-last day of each month; the number of files field may be used to characterize the number of electronic files that should receive the region to which the target electronic file belongs; the actual number of files may be used to characterize the number of electronic files of the area to which the target electronic file actually received belongs. For example, if in the same receiving record in the first file receiving record table, the area field value is 12, the archive type field value is DOC4, the date type field value is S, the date offset field value is 21, and the archive number field value is 1000, it means that 1000 copies of DOC4 type electronic archive are required to be put in storage for 21 days of each quarter and last month of 12 provinces.
Optionally, in the embodiment of the present invention, if the date of generation of an electronic file with a certain file type accords with the configuration of a plurality of date type fields, the configuration of the date type corresponding to the maximum value of the file number field may be validated by comparing the values of the file number fields corresponding to the plurality of date type fields, so as to improve the detection strength of the electronic file missing detection.
S140, performing electronic file missing detection according to the first file receiving record table and the file package receiving record table respectively.
Specifically, the record table may be received according to the first file, and the record table may be received according to the package. The storage condition of the electronic file in the electronic file management system is detected from the source (file generator) of the electronic file and the file type of the electronic file.
TABLE 2
Optionally, the electronic file missing detection is performed according to the first file receiving record table and the file package receiving record table, including: and detecting missing archives according to the number field value of the archives in the archive packet receiving record table and the actual number field value of the archives.
Specifically, the electronic archive management system compares the archive packet number field value and the actual archive packet number field value in each receiving record in the archive packet receiving record table with a fixed monitoring frequency, and if the actual archive packet number field value is smaller than the archive packet number field value, generates an archive packet missing warning for the archive packet generator corresponding to the receiving record. For example, if the value of the field of the archive packet generator in the receiving record is SYS3, the value of the field of the area is 10, the value of the field of the archive packet number is 1, and the number of actual archive packets received is 0, it indicates that 1 part of archive packet of 10 provinces of archive packet generator SYS3 should be received, and if 0 part is received, an archive packet missing alarm is generated for the archive packet generator SYS 3. Alternatively, in embodiments of the present invention, the fixed monitoring frequency may be daily early morning (00:00), after the detection of the missing record of the package is completed for the package receiving record table, the archive packet reception record table may be initialized and updated.
Optionally, the electronic file missing detection is performed according to the first file receiving record table and the file package receiving record table, including: according to the file number field value and the actual file number field value in the first file receiving record table, performing electronic file missing detection; and according to the size relation between the file number field value and the actual file number field value, different levels of alarming measures are established for the electronic file missing detection result.
Specifically, the electronic file management system compares the file number field value and the actual file number field value in each receiving record in the first file receiving record table with a fixed monitoring frequency, and if the actual file number field value is smaller than the file number field value, generates a file missing alarm according to the area corresponding to the receiving record and the file type; for example, if there is a received record area in the first file receiving record table with a field value of 12, a file type field value of DOC4, a date type field value of S, a date offset field value of 21, a number of files field value of 1000, and an actual number of files field value of 390, it indicates that the electronic file of DOC4 type needs to be received for 1000 copies on day 21 of the last month of each quarter of 12 provinces, and if the electronic file of DOC4 type actually received for 390 copies, a file missing alarm about 12 provinces and DOC4 file types will be generated. If a received record area field value is 11, a file type field value is DOC3, a date type field value is M, a date offset field value is-2, a file number field value is 800, and an actual file number field value is-1 in the first file received record table, it is proved that the current day is not the last two days of the month end, and the received record is invalid.
Further, considering that the setting of the number of files field value is an empirical value obtained based on historical received data under the same receiving condition (regional word, file type and date attribute), and has a certain volatility, in the embodiment of the present invention, different levels are set for the alarm measure according to the size relationship between the number of files field value and the actual number of files field value, and if the actual number of files field value is greater than the number of files field value of the first preset proportion, an alarm can be prompted in the system, and the alarm can be prompted without processing; if the actual file number field value is smaller than the first preset proportion and larger than the file number field value of the second preset proportion, secondary alarm can be carried out in a mail mode, alarm reason checking is carried out in an electronic file management system aiming at the secondary alarm, and checking feedback is filled in the system; if the actual file number field value is smaller than the file number field value of the third preset proportion, main warning can be carried out in a mail and short message mode, and the main warning must be subjected to cause checking, and electronic file entry is carried out again for the receiving record.
According to the technical scheme, the receiving record of the archive package is updated in the archive package receiving record table according to archive package information, and the receiving record of the target electronic archive is updated in the first archive receiving record table according to archive information of the target electronic archive, and the electronic archive missing detection is carried out from archive package generator dimensions and archive type dimensions according to the first archive receiving record table and the archive package receiving record table respectively, so that the electronic archive can be completely detected in a missing manner, the missing of the electronic archive can be timely found, and a plurality of detection dimensions are combined with one another, so that the flexibility, accuracy and timeliness of the electronic archive missing detection are improved.
