Abstract
One or more embodiments of the present specification provide a method and a system for initiating an online conference, where the method includes: receiving meeting invitation information sent by an initiator client; acquiring participant information based on the conference invitation information, and creating a conference sharing space; and sending a meeting invitation request to the participants based on the information of the participants, wherein the meeting invitation request comprises an entrance link of the meeting sharing space.
Description
Technical Field
One or more embodiments of the present disclosure relate to the technical field of software applications, and in particular, to a method and a system for initiating an online conference.
Background
Currently, with the popularization of electronic offices, meeting invitations and organizations using software are becoming more common. The meeting initiator may initiate a meeting offer to the participants through calendar or email requesting that the meeting time periods of the participants be locked and synchronized.
In the existing meeting organization software, the meeting invitation usually contains calendar information and personnel information, and sometimes the meeting initiator sends out the meeting subject in text form together through the meeting invitation. After the meeting invitation is sent, once the adjustment is needed, only the meeting initiator can edit the sent meeting invitation, and the participants can only choose to accept or reject the meeting invitation and cannot correct or supplement the original meeting invitation. In addition, conference-related material of conference participants cannot be associated with the conference, so that the conference initiator is often required to collect and summarize in an offline manner, and preparation work before or after the conference is cumbersome and inefficient.

In view of this, one or more embodiments of the present disclosure provide a method and a system for initiating an online conference.

According to a fourth aspect of one or more embodiments of the present description, there is provided an electronic device comprising a memory, a processor and a computer program stored on the memory and executable on the processor, the processor implementing the steps of the method according to the first aspect when executing the program.

Detailed Description
Reference will now be made in detail to the exemplary embodiments, examples of which are illustrated in the accompanying drawings. When the following description refers to the accompanying drawings, like numbers in different drawings represent the same or similar elements unless otherwise indicated. The implementations described in the following exemplary embodiments do not represent all implementations consistent with one or more embodiments of the present specification. Rather, they are merely examples of apparatus and methods consistent with certain aspects of one or more embodiments of the specification, as detailed in the claims which follow.
It should be noted that: in other embodiments, the steps of the corresponding methods are not necessarily performed in the order shown and described herein. In some other embodiments, the methods may include more or fewer steps than those described herein. Moreover, a single step described in this specification may be broken down into multiple steps in other embodiments; multiple steps described in this specification may be combined into a single step in other embodiments.
When a conference invitation is made through software, generally, an initiator having a conference initiating authority initiates a conference invitation to participants of the conference by using the software, and the participants of the conference participate in the corresponding conference at a specified time and place according to the specific content of the invitation. Generally, when initiating a meeting invitation, an initiator will generally send the subject of the meeting and brief information about the title of the meeting to participants of the meeting at the same time in the meeting invitation, or write specific content of the meeting, such as the meeting topic or files related to the meeting, in the meeting invitation and synchronize to the participants of the meeting. Both of the above methods can make the participants of the conference know the necessary information related to the conference in the preparation stage before the conference is opened.
However, since the conference content transmission of the above method is unidirectional from the initiator to the participants of the conference, the participants of the conference can only be the recipients of the necessary information of the conference in the preparation phase of the conference. Even if the related data of the conference is found to have errors or the related data of the conference needs to be uploaded, the conference content cannot be edited and modified. The preparation work of the conference still depends on the initiator of the conference, and the initiator collects and summarizes relevant conference materials online. In this specification, an initiating method of an online conference is provided, where when a conference offer is formed, a shared space associated with the conference is created, the created shared space associated with the conference is sent to all conference participants through the conference offer, and access and editing permissions of a conference sender and the conference participants to the shared space are opened, so that the conference participants can join in preparation of the conference through the conference shared space, and complete the preparation of the conference in cooperation with an initiator of the conference. Referring to fig. 1, fig. 1 is a schematic diagram illustrating an initiating system of an online conference according to an exemplary embodiment of the present disclosure.
As shown in fig. 1, the system for initiating an online conference may include: a server 11, an initiator client 12, and at least one participant client 13.
The server 11 may be a physical server including an independent host, or the server 11 may be a virtual server carried by a host cluster. In operation, the server 11 may be configured with an initiating device of the online conference, and the initiating device may be implemented in a software and/or hardware manner to provide an initiating service of the online conference, create a conference sharing space according to the conference offer information sent by the initiating client 12, and send a conference offer request to the participants, where the conference offer request includes an entry link of the conference sharing space.
Specifically, the server performs: receiving meeting invitation information sent by an initiator client; acquiring participant information based on the conference invitation information, and creating a conference sharing space; and sending a meeting invitation request to the participants based on the information of the participants, wherein the meeting invitation request comprises an entrance link of the meeting sharing space.
The initiator client 12 refers to an electronic device which can be used by an initiator of the conference and can initiate the network conference; the participant client 13 refers to an electronic device that can be used by the participants of the conference to accept a conference offer request generated based on the conference offer information provided by the initiator client 12, which is sent by the server 11. The initiator client 12 and the participant client 13 may be deployed on electronic devices used by members within the same or different organizations. The electronic device may be a mobile phone, a desktop computer, a tablet device, a notebook computer or a handheld computer (PDAs), a wearable device (e.g., smart glasses, VR glasses, etc.), and the like, which is not limited by one or more embodiments of the present disclosure.
The initiator client 12, the participant client 13 and the server 11 establish a Communication connection therebetween, where the Communication connection may include connection through various types of wired or wireless networks, and may also include bluetooth connection, infrared connection or NFC (Near Field Communication) connection.
Specifically, the initiator client 12 or the participant client 13 may first acquire the wireless communication connection information corresponding to the server 11, and then establish a wireless communication connection with the server 11 based on the wireless communication connection information.
It should be noted that the initiator client 12 or the participant client 13 may specifically be an electronic device that has electronic components such as a Central Processing Unit (CPU), a memory, and a display screen, and can implement the conference organization method.
The method of meeting organization in the present specification will be described below with reference to fig. 2. Fig. 2 is a flowchart illustrating an initiating method of an online conference according to an exemplary embodiment. As shown in fig. 2, the method for initiating an online conference may be applied to the server 11 in the system for initiating an online conference shown in fig. 1, and the method may include the following steps:
s201, receiving the meeting invitation information sent by the client of the initiator.
The initiator client is an electronic device used by the initiator to initiate a conference invitation, and the initiator may send conference invitation information to the server by using the initiator client, where the conference invitation information may include necessary information of a conference such as time and place of initiating the conference, information of participants who need to invite to participate in the conference, and information of a conference title.
In an exemplary embodiment of the present specification, the meeting offer information may be generated as follows:
the communication software in the initiator client provides a schedule, the initiator selects a target date in the schedule which needs to be subjected to the conference through the initiator client, fills necessary information of the conference such as time and place of initiating the conference, information of participants who need to invite the conference, conference title and the like, the initiator client establishes a conference schedule according to the information, generates conference invitation information corresponding to the conference schedule and sends the conference invitation information to the server.
Certainly, the initiator may also generate the meeting invitation information through a communication message or a newly created meeting service provided by an email system, and the method for generating the meeting invitation information is not specifically limited in this specification.

In an exemplary embodiment of the present specification, after the conference shared space is created, access and editing rights of the initiator and the participants to the conference shared space are opened based on the participant information. In an exemplary embodiment of the present specification, the conference shared space includes a conference template.
The conference template is provided by the server to the initiator client of the conference. Where the server may provide different types of meeting templates. The types of meeting templates may include: work week, report, project example, morning meeting, etc., where each different meeting template includes different meeting organization information. For example, for a work week meeting, its meeting organization information may include: and recommending the conference flow. The recommended meeting flow specifies that the meeting is to proceed as follows: (1) summary of work in this week; (2) project progress; (3) project specific content; and (4) backlogs.
In an exemplary embodiment of the present specification, for a work week with three participants, the initiator a may set different responsibility for each process, for example, (1) the work summary of this week in the recommended conference process is set to be responsible for participant B, while the other processes are set to be responsible for participant C.
In an exemplary embodiment of the present specification, the meeting template may include one or more of the following recommended meeting organization information: recommending a meeting flow, recommending the number of participants, recommending meeting time and recommending a meeting place.
For example, for a periodic project summary conference, conference review content can be provided in the recommended conference flow, and conference records of the last periodic project summary conference are reviewed to provide comparison for the conference, so that project summary is facilitated. For another example, for a group weekly meeting, a recommended meeting location and a recommended meeting time may be provided, and the time location of the weekly group weekly meeting is directly determined to be 9 morning on monday: 30 to 10:30, the initiator of the group congress does not need to fill in the meeting time and the meeting place when initiating the group congress, and the organization efficiency of the meeting can be improved.
Providing the conference template for the initiator can save the time for the initiator to set information such as a conference flow and the like according to the conference, and can improve the efficiency of conference organization by selecting the conference template most suitable for the conference and filling in the conference invitation information according to the selected conference template.
After the initiator fills in the corresponding meeting content according to the meeting template, the initiator client corresponding to the initiator generates meeting invitation information and sends the meeting invitation information to the server. And the server receives the conference offer information generated by the initiator client based on the conference template.
And after the conference invitation information is sent to the server by the initiator client, the server acquires the information of the participants according to the conference invitation information and sends a conference invitation request to each participant.
S203, sending a meeting invitation request to the participants based on the information of the participants, wherein the meeting invitation request comprises the entrance link of the meeting sharing space.
And the participants can access the conference shared space through the portal connection and edit the conference shared space.
In an exemplary embodiment of the present specification, the meeting invitation request is sent to a corresponding participant of the meeting. The participant can choose to accept the meeting offer request or ignore it, as the case may be. And after the participant selects to accept the meeting invitation request, sending meeting invitation acceptance information to the server through the participant client corresponding to the participant. And the server sends the meeting invitation acceptance success information to the corresponding participant client side corresponding to the meeting invitation acceptance information.

In another exemplary embodiment of the present description, participants to a conference may add or delete files that have been uploaded.
In an exemplary embodiment of the present specification, the conference shared space includes a conference shared online document. A conference offer request is sent to the participants based on the participant information, wherein, as shown in fig. 4, an entry link 411 of the conference sharing space established in the previous step is included in the conference offer request 41 in fig. 4. Upon receiving the meeting offer request 41 through the participant client 13, the participant can access and edit the meeting shared space of the meeting through the above-described portal link 411.
In this specification, in an exemplary embodiment, the meeting offer request information may not include an entry link of the meeting shared space, and when the initiator receives the meeting offer request, meeting offer acceptance information may be returned to the server 11. The server sends meeting offer acceptance success information, which may include at least an entry link for the meeting shared space, to the participant client 13 in response to the meeting offer acceptance information. By the method, when a certain participant does not accept the meeting invitation request, the entrance link of the meeting shared space is not sent to the participant, so that the leakage of meeting contents can be avoided.
Assume that the conference participants include user 1, user 2, user 3, and user 4, where user 1, user 2, and user 4 are in the same organization as the initiator, and user 3 does not belong to the organization. When the initiator initiates a conference with a conference type of organizing an internal conference, even if the initiator adds the user 3 as a participant of the conference in the conference offer information, the server will not send the conference offer request of organizing the internal conference to the participant client corresponding to the user 3 according to the association relationship between the stored participant client and the organization. This is in turn possible to ensure that the person outside the organization, user 3, cannot attend the meeting inside the organization.
In an exemplary embodiment of the present specification, through the trigger area 412, the participant may also obtain the preparation of the conference by other participants or the initiator, for example, the conference material uploaded by other participants or the initiator, the conference issue added, and the like.
In an exemplary embodiment of the present description, the conference shared space editing window as shown in fig. 5 may be invoked by a trigger to the portal link 411. Participants may edit the conference shared space content through the window.
For example, the participant may edit the meeting title as in area 51 in fig. 5, such as modifying the group weekly meeting to a third group weekly meeting of the month.
The participants may also edit the conference issue, such as in area 52 of fig. 5, including adding a conference issue, deleting a conference issue, modifying the name of a conference issue, adding an attachment to a conference issue, etc.
For example, in the above embodiment, if a participant needs to add a conference issue, a new conference issue can be added by triggering a new add issue button 53 as shown in fig. 5, calling up an issue selection window 54, and editing a name and uploading an attachment for the new conference issue. The participants can participate in the preparation work of the conference by modifying the conference content, thereby realizing the preparation work before the conference by a plurality of persons. Without the initiator having to contact the participants individually offline to ask them to provide conference related resources.
After the participant modifies the conference content, responding to an editing request of the participant to the conference shared space, and updating the conference shared space content; and pushing the updated conference sharing space content to other participants or initiators, or responding to access requests of the other participants or the initiators to the conference sharing space and displaying according to the updated conference sharing space content. The method feeds back the update of the shared space content to the initiator client and the participant client, so that the content recorded in the conference shared space accessed by the initiator client and the participant client is in the latest state synchronously.
Fig. 6 is a schematic structural diagram of an electronic device according to an exemplary embodiment of the present specification. Referring to fig. 6, the apparatus includes, at a hardware level, a processor 602, an internal bus 604, a network interface 606, a memory 608, and a non-volatile memory 610. Of course it is also possible to include hardware required for other functions. The processor 602 reads the corresponding computer program from the non-volatile memory 610 into the memory 608 and then runs, thereby forming an initiating device of the online conference on a logical level. Of course, besides software implementation, the one or more embodiments in this specification do not exclude other implementations, such as logic devices or combinations of software and hardware, and so on, that is, the execution subject of the following processing flow is not limited to each logic unit, and may also be hardware or logic devices.
Corresponding to the embodiment of the foregoing method, this specification further provides an initiating device of an online conference, as shown in fig. 7, the initiating device may include:
a receiving unit 710, configured to receive meeting invitation information sent by an initiator client;
an obtaining unit 720, configured to obtain information of participants based on the conference offer information, and create a conference shared space;
a sending unit 730, configured to send a conference offer request to a participant based on the participant information, where the conference offer request includes an entry link of the conference sharing space.
Optionally, the apparatus further comprises:
and an opening unit 740, configured to open, after the conference shared space is created based on the participant information, access and editing permissions of the initiator and the participants to the conference shared space.
Optionally, the apparatus further comprises:
an updating unit 750, configured to update the content of the conference shared space in response to an editing request of at least one participant to the conference shared space;
a pushing unit 760, configured to push the updated content of the conference sharing space to another participant or initiator, or respond to an access request of the other participant or initiator to the conference sharing space, and display the content according to the updated content of the conference sharing space.
Optionally, the editing of the conference shared space at least includes editing a conference content text and/or uploading a file.
Optionally, the conference shared space further includes a conference template, and the conference template includes one or more of the following recommended conference organization information: recommending a meeting flow, recommending the number of participants, recommending meeting time and recommending a meeting place.
Optionally, the apparatus further comprises:
an establishing unit 770, configured to establish an association relationship between the initiator client or the participant client and the organization according to the organization to which the initiator or the participant belongs.
Optionally, the establishing unit 770 is specifically configured to:
storing the relationship between the organization information of the organization and the user information of each member in the organization at a server;
and marking the user information stored by the server to indicate that the user corresponding to the user information is an administrator of the initiator client or the participant client.
Optionally, the sending a meeting offer request to the participant comprises:
determining a conference type of the conference according to the conference offer information, wherein the conference type comprises: organizing internal or other types of meetings;
and if the conference is an internal organization conference, if the initiator and the participant belong to the same organization according to the incidence relation, sending the conference invitation request to the participant.
The implementation process of the functions and actions of each unit in the above device is specifically described in the implementation process of the corresponding step in the above method, and is not described herein again.
The systems, devices, modules or units illustrated in the above embodiments may be implemented by a computer chip or an entity, or by a product with certain functions. A typical implementation device is a computer, which may take the form of a personal computer, laptop computer, cellular telephone, camera phone, smart phone, personal digital assistant, media player, navigation device, email messaging device, game console, tablet computer, wearable device, or a combination of any of these devices.
In a typical configuration, a computer includes one or more processors (CPUs), input/output interfaces, network interfaces, and memory.
The memory may include forms of volatile memory in a computer readable medium, random Access Memory (RAM) and/or non-volatile memory, such as Read Only Memory (ROM) or flash memory (flash RAM). Memory is an example of a computer-readable medium.
Computer-readable media, including both permanent and non-permanent, removable and non-removable media, may implement the information storage by any method or technology. The information may be computer readable instructions, data structures, modules of a program, or other data. Examples of computer storage media include, but are not limited to, phase change memory (PRAM), static Random Access Memory (SRAM), dynamic Random Access Memory (DRAM), other types of Random Access Memory (RAM), read Only Memory (ROM), electrically Erasable Programmable Read Only Memory (EEPROM), flash memory or other memory technology, compact disc read only memory (CD-ROM), digital Versatile Discs (DVD) or other optical storage, magnetic cassettes, magnetic disk storage, quantum memory, graphene-based storage media or other magnetic storage devices, or any other non-transmission medium that can be used to store information that can be accessed by a computing device. As defined herein, a computer readable medium does not include a transitory computer readable medium such as a modulated data signal and a carrier wave.

Claims (11)
1. A method for initiating an online conference, comprising:
receiving meeting invitation information sent by an initiator client;
acquiring participant information based on the conference invitation information, and creating a conference sharing space;
and sending a meeting invitation request to the participants based on the information of the participants, wherein the meeting invitation request comprises an entrance link of the meeting shared space.
2. The method of claim 1, further comprising:
and opening the access and editing permission of the initiator and the participants to the conference shared space after the conference shared space is created based on the participant information.
3. The method of claim 1, further comprising:
responding to an editing request of at least one participant to the conference shared space, and updating the content of the conference shared space;
and pushing the updated conference sharing space content to other participants or initiators, or responding to access requests of the other participants or the initiators to the conference sharing space and displaying according to the updated conference sharing space content.
4. The method of claim 3, wherein the editing of the conference shared space comprises at least editing conference content text and/or file uploading.
5. The method of claim 1, wherein the meeting shared space further comprises a meeting template comprising one or more of the following recommended meeting organization information: recommending a meeting flow, recommending the number of participants, recommending meeting time and recommending a meeting place.
6. The method of claim 1, further comprising:
and establishing the association relationship between the initiator client or the participant client and the organization according to the organization to which the initiator or the participant belongs.
7. The method of claim 6, wherein the establishing an association of the initiator client or the participant client with the organization comprises:
storing the relationship between the organization information of the organization and the user information of each member in the organization at a server;
and marking the user information stored by the server to indicate that the user corresponding to the user information is an administrator of the initiator client or the participant client.
8. The method of claim 6, wherein sending a meeting offer request to a participant comprises:
determining a conference type of the conference according to the conference offer information, wherein the conference type comprises: organizing internal meetings or other types of meetings;
and if the initiating party and the participating party belong to the same organization according to the incidence relation under the condition that the conference is an internal organization conference, sending the conference invitation request to the participating party.
9. An initiating system for an online meeting, the system comprising: initiator client, participant client, server, wherein the server performs:
receiving meeting invitation information sent by an initiator client;
acquiring participant information based on the conference invitation information, and creating a conference sharing space;
and sending a meeting invitation request to the participants based on the information of the participants, wherein the meeting invitation request comprises an entrance link of the meeting shared space.
10. A computer-readable storage medium, on which a computer program is stored which, when being executed by a processor, carries out the steps of the method according to any one of claims 1 to 8.
11. An electronic device comprising a memory, a processor and a computer program stored on the memory and executable on the processor, characterized in that the processor implements the steps of the method according to any of claims 1-8 when executing the program.
