Detailed Description
In order to make the objects, technical solutions and advantages of the embodiments of the present invention clearer, the technical solutions in the embodiments of the present invention will be clearly and completely described below with reference to the drawings in the embodiments of the present invention, and it is obvious that the described embodiments are some, but not all, embodiments of the present invention. All other embodiments, which can be obtained by a person skilled in the art without inventive step based on the embodiments of the present invention, are within the scope of protection of the present invention.
Referring to FIG. 1, a flow chart of an electronic file management method according to the present application is shown.
As shown in FIG. 1, the method for managing electronic files comprises the following steps:
and S101, screening the archived files recorded into the archive management system according to preset screening conditions to obtain at least one archived file meeting the archiving conditions.
In this embodiment, the archive management system may be a system for electronically managing the electronic archive. The archive file may be an archive file previously entered into the archive management system, and the archive file may be, for example, batch-imported into the archive management system by an administrator. The present disclosure is not particularly limited with respect to the number of archive files entered into the archive management system.
The preset screening conditions can be preset archive filing conditions, and optionally, the preset screening conditions comprise completion state archive screening, archive screening which is not filed, archive screening which needs to be filed and archive screening which is stamped. Specifically, the archive completion state refers to an archive filling completion state; the archive unarchived state refers to the archive being in an unarchived state; the archive needing filing state refers to that an archive needs filing, and it can be understood that in some service scenes, the archive can be a temporary file and does not need to be filed; the file stamping state refers to that the file main file or the file attachment is stamped with a seal, and the file is indicated to pass the audit.
It should be noted that, if the current archive is in the archive completion state, and is in the archive unarchived state, the archive to be archived state, and the archive to be sealed state, it indicates that the archive meets the archive condition.
Step S102, analyzing the content of the at least one archived file, and determining the file characteristic information of the at least one archived file according to the analysis result.
In this embodiment, parsing the contents of the archive file may resolve the type of archive file, which may include, for example, a personal profile, an enterprise profile, a crowd profile, and so on. Different types of archived files correspond to different classification numbers so as to classify the archived files, and management of the archived files is facilitated.
It should be noted that, parsing the content of the archive file may resolve the feature category of the archive file, which may include, for example, a name feature, an address feature, and the like.
Step S103, determining whether the feature class of the at least one archived file completely covers a preset feature class combination.
In this embodiment, by judging whether the feature class of at least one archived file completely covers the preset feature class combination, the subsequent storage locations of the archived files can be classified, so that a user can conveniently inquire required archives according to the storage locations, and the workload of searching the archives is reduced.
Specifically, if the feature class in the file feature information completely covers the preset feature class combination, at least one archived file is stored in the complete feature library, and the at least one archived file is automatically sorted based on the classification number of the at least one archived file and the preset sorting rule, so that the at least one archived file is automatically managed.
It should be noted that the preset collation rule is determined according to at least one of the following: the file source attribute is set in the file source field.
For example, the sorting rule is determined according to the classification number of the archived files, and the archived files with the same classification number can be classified into one class, so that the archived files of the same type can be uniformly sorted.
The sorting rule can be determined according to the title field of the archived files, the archived files with the same title field meaning can be classified into one class, the archived files with the same title field meaning can represent similar contents of the archived files, the archived files with the similar contents are stored together, the archived files with the similar contents can be quickly retrieved during retrieval, and associated query results can be provided for users, so that the comprehensiveness of the query results is guaranteed.
The sorting rule can be determined according to the source attribute of the archived files, such as which department or which enterprise the archived files come from, and the archived files with the same source attribute can be classified into one class, so that the archives of the same department or the same enterprise can be stored into one class, and the management and the retrieval are convenient.
Step S104, if the feature type in the file feature information does not completely cover the preset feature type combination, separating the template information of the at least one archived file from the document content, and generating a first target file associated with the template information and a second target file associated with the document content.
In this embodiment, by separating the template information of at least one archived file from the document content, a first target file associated with the template information and a second target file associated with the document content are generated, so that it is difficult for others to simultaneously acquire all files related to the electronic archive, and further, all contents of the electronic archive cannot be acquired, thereby effectively ensuring the security of the electronic archive.
It should be noted that, the second target file is provided with encoding information for identifying the document content and a location identifier for identifying the location of the document content in the at least one archive file. The generation process of the coded information comprises the following steps: the method comprises the steps of coding document content to obtain coded document content, obtaining a check code of the coded document content, and combining a query identifier of the document content, the coded document content and the check code to obtain coded information.
Step S105, the first target file and the second target file are respectively stored in a defect feature archive library corresponding to the feature category missing from the at least one archived file, and the second target file is automatically sorted according to the classification number of the at least one archived file and a preset sorting rule, so that the at least one archived file is automatically managed.
In this embodiment, the first target file and the second target file are respectively stored in a defect feature archive corresponding to the feature category missing from at least one archived file. When at least one of the archived files lacks two or more characteristic categories, the second target file is respectively stored into two defect characteristic archives corresponding to the characteristic categories which are lost by the at least one of the archived files.
It should be noted that, when the feature categories in the document feature information do not completely cover the preset feature category combination, the feature categories in the document feature information are incomplete, and when the user searches by using the missing features, the user cannot search even if the archive to be searched by the user exists in the archive, and after the search features are replaced, the user needs to repeatedly search, so that the search workload is large.
For example, only the address characteristics exist in the current archived file, so that the current archived file is stored in the defect characteristic archive library with the missing identity characteristics, and when a subsequent user needs to acquire the current archived file, the current archived file can be acquired only by performing address characteristic retrieval in the defect characteristic archive library with the missing identity characteristics.
In summary, in the method of this embodiment, the archive files meeting the archive condition are analyzed, so that the feature types of the archive files are obtained, the feature types of the archive files are compared with the preset feature type combinations, and after the archive files are found to lack a certain feature type through comparison, the archive files are stored in the defect feature archive library corresponding to the missing certain feature type, so that a user can quickly query a required archive in the defect feature archive library by using other retrieval features, and the problem that a large amount of time is required when the user needs to obtain an archive from all the archive libraries is solved.
In an optional embodiment, if the feature class in the file feature information completely covers a preset feature class combination, separating the template information and the document content of the at least one archived file, and generating a first target file associated with the template information and a second target file associated with the document content; and respectively storing the first target file and the second target file into a complete feature archive, and automatically sequencing the second target file according to the classification number of the at least one archived file and a preset sorting rule so as to automatically manage the at least one archived file.
