Abstract

The application provides a method and a device for generating a document. A method for generating an official document comprises the following steps: receiving a document generation request initiated aiming at a target text; extracting target text elements included in the target text; determining a target official document template matched with the target text based on the target text elements; determining a standard format corresponding to a template text element with the same type as the target text element in a target official document template aiming at each target text element; and converting the target text element into the standard format, and generating a corresponding official document from the target text based on the target text element converted into the standard format. By adopting the method, the document can be quickly generated based on the preset document template, and the document generation efficiency is improved.

Technical Field

The present application relates to the field of electronic document processing technologies, and in particular, to a method and an apparatus for generating a document.

Background

In government agencies, it is often necessary to communicate government policies and to handle official business via official documents. Official documents (official documents) are written materials which are formed and used by legal authorities and organizations in official activities according to specific body styles through certain processing procedures.

In the related art, when writing an official document in an electronic document form, the user usually manually operates the official document, and the user needs to continuously adjust the font size, the font type, the line spacing and the like to obtain the official document conforming to the format specification, so that the operation of the user is complicated and not convenient enough. Moreover, the formats corresponding to different types of documents are also different, and if a user wants to generate multiple types of documents, the user needs to edit the documents according to the format corresponding to each type, which consumes a lot of time and effort and is inefficient.

Disclosure of Invention

In view of the above, the present application provides a method and an apparatus for generating text.

Specifically, the method is realized through the following technical scheme:

a method for generating an official document comprises the following steps:

receiving a document generation request initiated aiming at a target text;

extracting target text elements included in the target text;

determining a target official document template matched with the target text based on the target text elements;

determining a standard format corresponding to a template text element with the same type as the target text element in a target official document template aiming at each target text element;

and converting the target text element into the standard format, and generating a corresponding official document from the target text based on the target text element converted into the standard format.

An apparatus for generating an official document, comprising:

the receiving unit is used for receiving a document generation request initiated aiming at the target text;

an extraction unit that extracts a target text element included in the target text;

the matching unit is used for determining a target official document template matched with the target text based on the target text element;

the determining unit is used for determining a standard format corresponding to a template text element with the same type as the target text element in the target official document template aiming at each target text element;

and the generating unit is used for converting the target text element into the standard format and generating a corresponding official document from the target text based on the target text element converted into the standard format.

As can be seen from the above description, in an embodiment of the present application, after receiving an official document generation request initiated by a user for a target text, a plurality of target text elements included in the target text may be extracted, a matched target official document template is determined based on the target text elements, then, for each target text element, a standard format corresponding to a template text element of the same type as the element in the target official document template is determined, the target text element is converted into the standard format, and based on the target text element converted into the standard format, the target text is generated into a corresponding official document.

By adopting the method, the target text element can be automatically extracted according to the target text provided by the user, the corresponding official document template is matched, and then the official document is quickly generated according to the target text element and the official document template, so that the user does not need to manually edit the official document in the whole process, the convenience is improved, and the official document generation efficiency is improved.

Reference will now be made in detail to the exemplary embodiments, examples of which are illustrated in the accompanying drawings. When the following description refers to the accompanying drawings, like numbers in different drawings represent the same or similar elements unless otherwise indicated. The embodiments described in the following exemplary embodiments do not represent all embodiments consistent with the present application. Rather, they are merely examples of apparatus and methods consistent with certain aspects of the present application, as detailed in the appended claims.

The terminology used herein is for the purpose of describing particular embodiments only and is not intended to be limiting of the application. As used in this application and the appended claims, the singular forms "a", "an", and "the" are intended to include the plural forms as well, unless the context clearly indicates otherwise. It is to be understood that although the terms first, second, third, etc. may be used herein to describe various information, such information should not be limited to these terms. With the continuous development of the technology, electronic documents are adopted to replace traditional paper documents in more and more fields, and the work and the life of people are greatly facilitated. In a government organization, a document may be edited by an electronic document to convey a political policy and to handle a business based on the document. Documents are materials formed and used by legal authorities and organizations in public activities and often have a specific format, which requires that the relevant personnel strictly comply with the format requirements when editing the documents.

In the related art, the user edits the document manually, and the user needs to continuously adjust the font size, font type, line spacing and the like in the document to obtain the document conforming to the format specification, which leads to tedious operation and inconvenient operation of the user. Moreover, the formats corresponding to different types of documents are also different, and if a user wants to edit multiple types of documents, the user needs to edit the documents according to the format corresponding to each type, which consumes a lot of time and effort and has low efficiency.

Based on the method, the corresponding document can be quickly generated from the target text through the preset document template, document generation efficiency can be improved, and user experience is improved.

Some concepts involved in the present application are first explained:

target text: the text to be processed and required to generate the official document can be provided after being written by a user. The content and format of the target text are not particularly limited.

Text elements: refers to several elements obtained by dividing the content of the document. The text elements may include various types such as a title, a body, an attachment description, a privacy level, and the like, and various types of text elements may be previously set. For example, if the text element type is "issuing institution", the corresponding text element content may be "guangzhou city people government document".

Target text elements: text elements extracted from the target text.

Template text elements: text elements included in the official document template.

Document template: refers to a template set in advance for generating an official document. The official document template can comprise a plurality of template text elements of different types and standard formats corresponding to the template text elements of different types. The official document template may include only the type of the template text element, such as "issuing organization", or may also include the type of the template text element and corresponding default content, such as "issuing organization: xx civil government ", which is not particularly limited. Moreover, the template may further be provided with a standard format corresponding to each template text element, and the standard format may include: font, font size, font color, ground color, line thickness, line length, and the like.

After the above contents are clarified, an example of a document generation method provided in the present application will be described below.

Referring to fig. 1, fig. 1 is a flowchart illustrating a method for generating a document according to an exemplary embodiment of the present application. The method can be applied to an electronic device with a memory and a processor, and a client, such as application software for document editing, can be installed on the electronic device.

The document generation method can comprise the following steps:

102, receiving a document generation request initiated aiming at a target text;

step 104, extracting target text elements included in the target text;

step 106, determining a target official document template matched with the target text based on the target text element;

step 108, aiming at each target text element, determining a standard format corresponding to a template text element with the same type as the target text element in a target official document template;

step 110, converting the target text element into the standard format, and generating a corresponding official document from the target text based on the target text element converted into the standard format.

The above steps are explained in detail below.

In this embodiment, a plurality of document templates may be preset, for example, the templates may be set according to the document type. Common official document categories such as regulations, approaches, decisions, commands, instructions, replies, notifications, letters, reports, meeting summaries, etc. may be provided with corresponding official document templates for each official document category. Moreover, the format requirements of different official document languages are different, and different official document templates may include different template text elements and different formats of template text elements.

In this embodiment, a user may initiate a document generation request for a target text, where the target text may be obtained by the user through independent editing or may be obtained through other manners. The user can initiate the document generation request by clicking the relevant buttons and controls on the page of the client.

After receiving the document generation request, the client can extract a plurality of target text elements from the target text. For example, several types of text elements may be preset, for example, for a layout header, the following types of text elements may be included: number, security level, security period, urgency, issuing organization mark, issuing character number, issuer, etc.; for a body, the following types of text elements may be included: title, host sending organization, text, accessory description, signature of issuing organization, composition date, seal, assistance, accessory, etc.; for a layout, the following types of text elements may be included: a copy-and-forward office, a print-and-forward date, etc. Whether the text elements of the types exist in the target text can be judged, and if the text elements exist, the specific contents of the text elements can be extracted to serve as the target text elements.

The specific method for extracting text elements from the target document may refer to related technologies, and the present application does not limit this specific method. Similarly, text elements may be extracted from the target text based on a semantic analysis algorithm; the extraction may also be based on a pre-configured extraction rule, which may be determined based on keywords or locations. If a keyword of a certain text in the target text is identified as a date and the text is located at a preset position of the target text, a text element related to the date can be determined. In another example, if a certain text in the target text contains the keyword "copying mechanism", the text may be determined as a text element related to the copying mechanism.

After the target text element is extracted, a target official document template matched with the target text can be determined based on the target text element. For example, the target text element may be matched with the template element types included in the respective official document templates, and the matched target official document template may be determined based on the matching degree. Or the target official document template may be determined in other ways. The details will be described in the following examples.

In this embodiment, after the target official document template is determined, for each target text element extracted from the target text, a template text element of the target official document template, which is the same as the target text element in type, may be determined, and a standard format of the template text element may be determined. And then converting the target text element into the standard format, and generating a corresponding official document from the target text according to the standard format. The details will be described in the following examples.

As can be seen from the above description, in an embodiment of the present application, a plurality of official document templates may be preset, after receiving an official document generation request initiated by a user for a target text, a plurality of target text elements included in the target text may be extracted, a matched target official document template is determined based on the target text elements, then, for each target text element, a standard format corresponding to a template text element in the target official document template, which is the same as the element type, is determined, the target text element is converted into the standard format, and a corresponding official document is generated from the target text based on the standard format.

The following describes an embodiment of another document generation method provided in the present application. The method of the embodiment can be applied to application software for text editing, such as Microsoft Office, WPS Office, and the like.

Referring to fig. 2, fig. 2 is a flowchart illustrating another document generation method according to an exemplary embodiment of the present application, where the method may include the following steps:

step 202, receiving a document generation request initiated for a target text.

Step 204, extracting the target text elements included in the target text.

In this embodiment, a target document may be specified, and a document generation request may be initiated based on the target document, where text included in the target document is the target text.

After receiving the document generation request, the client may first determine whether the target document is an invalid document, for example, whether the target document is an empty document or a protected document. If yes, determining that the file is invalid, and outputting an abnormal prompt to the user to prompt the user to upload the file again. If not, determining that the document is valid, and extracting the target text element from the target text included in the document. The specific method for extracting the target text element can refer to the foregoing embodiments, and is not described herein again.

Step 206, determining the target official document to which the target text belongs based on the target text element.

In this embodiment, the target official document language to which the target text belongs may be determined according to the target text element, and the corresponding official document template may be found based on the target official document language in the following, so that the accuracy of the found official document template may be improved, and the accuracy of the finally generated official document may also be improved.

For example, a title of the target text may be determined from the target text element, and a target official document to which the target text belongs may be determined based on the title.

Specifically, the title content of the target text can be extracted, and the target official document to which the target text belongs is determined according to the title content. For example, the title usually includes some keywords, such as "notification", "meeting note", etc., and the target document type to which the target text belongs can be determined according to these keywords.

For another example, the element type of the target text element may be determined, and then the target official document to which the target text belongs may be determined according to the element type. For example, each document type may correspond to different types of text elements, and the higher the matching degree of the target text element and the text element type corresponding to a certain document type is, the higher the possibility that the target text belongs to the document type is.

Of course, the target official document may be determined in other manners, for example, text content may be extracted from the target text element, and the target official document may be determined by performing semantic analysis on the text content, which may specifically refer to related technologies, which are not described herein.

And step 208, determining a corresponding target official document template based on the target official document.

In this embodiment, a mapping relationship between an official document template and an official document may be preset, a target official document to which the target text belongs may be determined based on the target text element, and then an official document template corresponding to the target official document may be determined as the target official document template based on the mapping relationship.

One official document can correspond to only one official document template or a plurality of official document templates. When the target official document type only corresponds to one official document template, the corresponding official document template can be directly used as the target official document template. When the target official document type corresponds to a plurality of official document templates, the plurality of official document templates can be further screened to determine the target official document template.

For example, the multiple official document templates may be sorted according to the frequency of usage in the actual application scenario, and then the most frequently used official document template may be selected as the target official document template.

For another example, for each official document template corresponding to the target official document, a matching degree between a template text element included in the official document template and a target text element extracted from the target text may be determined, and the target official document template matched with the target text may be determined based on the matching degree.

The matching degree may be calculated by various methods:

in one example, it may be determined that the template text element included in the official document template and the text element belonging to the same type in the target text element are included, and then the matching degree is determined based on the text elements of the same type.

For example, assume that the document template 1 includes template element types a, b, and c, and the text element types extracted from the target text are a, b, e, and f. The same type of text elements are a and b.

A first proportion of the text elements of the same type to the template text elements included in the official document template may be determined, and the matching degree may be determined based on the first proportion. That is, the first ratio is 2/3, and the first ratio can be directly used as the matching degree.

It is also possible to determine a second proportion of the same type of text elements to the target text elements, and determine the matching degree based on the second proportion. That is, the second ratio is 2/4 ═ 1/2, and the second ratio can be directly used as the matching degree.

In another example, the degree of match may also be determined based on the first and second ratios.

Still taking the above example as an example, the first ratio is 2/3, the second ratio is 1/2, and further, weights may be assigned to the first ratio and the second ratio, and a weighted sum of the first ratio and the second ratio may be calculated as the matching degree. If the weights are all 1, the matching degree is 2/3+1/2 ═ 7/6.

Still taking the above example as an example, if the official document template 1 includes 3 template text elements, i.e. the first number is 3, and the target text includes 4 text elements, i.e. the second number is 4, then the matching degree may be 3/4.

In this example, when the target official document type corresponds to a plurality of official document templates, the official document template with the highest matching degree may be used as the target official document template.

Of course, the matching degree may be determined by other methods besides the above examples. For example, the document template may also be provided with a key template element type, and the matching degree is determined based on the matching degree between the target text element type and the key element type.

For example, it is assumed that the key element type of the document template 1 is "signature" and is characterized by short signature, and the key element type of the document template 2 is "signature" and is characterized by long signature. The content of the target text element "signature" in the target text may be determined, and then it is determined whether it belongs to a long signature or a short signature, for example, it may be determined according to the number of words, and if it belongs to a long signature, it is determined that it has a higher degree of matching with the type of the official document template 2; if the signature belongs to the short signature, the type matching degree of the signature and the official document template 1 is determined to be higher.

In addition to the above examples, the matching degree may be determined by other methods. Alternatively, the matching degree may be determined in a combination of various ways, which are not exemplified herein.

In this embodiment, the target official document template may be automatically determined, for example, a template with the highest matching degree is automatically determined as the template official document template based on the matching degree, or priorities of the official document templates may be determined based on the matching degree, for example, the higher the matching degree is, the higher the priority is, then candidate official document templates corresponding to the target official document type are displayed in an order from high to low according to the priorities, a user may initiate an official document generation request for any candidate official document template, and after receiving the official document generation request initiated for any candidate official document template, the candidate official document template targeted by the official document generation request may be determined as the target official document template, which is not particularly limited.

In this embodiment, if the document type to which the target text belongs cannot be determined, or after the document type is determined, the matching degree between the target text element and the template text element included in the document template corresponding to the document type is lower than a threshold, an appropriate target document template cannot be determined. In this case, it may be determined that the document template lacks a template text element corresponding to the target text element. An exception alert may be output to the user that the text element is missing to alert the user to supplement the text element. Of course, a default official document template may be selected as the target official document template corresponding to the target text. The default template may be, for example, the most common template used most frequently in the actual application scenario, such as the template corresponding to the language "notify". In addition, in the case where text elements are missing, a common layout such as a format and a position may be adopted for the missing text elements to generate a document. That is, in this embodiment, the template text elements in the target official document template do not necessarily have a one-to-one correspondence in type or number of text elements compared with the target text elements in the target text. The method for generating the official document in the embodiment is suitable for the condition of non-uniform and one-to-one correspondence, and can also be used for typesetting missing text elements by adopting a universal format and position so as to solve the problem that typesetting cannot be performed due to non-one-to-one correspondence.

Step 210, determining a standard format corresponding to a template text element with the same type as the target text element in the corresponding template for each target text element.

In this embodiment, for each target text element extracted from the target text, a template text element of the same type as the target text element may be determined from a target official document template corresponding to the target text, and a standard format of the template text element may be obtained.

When determining a template text element of the same type as the target text element, there may be the following three cases:

(1) the target official document template comprises template text elements with the same type as the target text elements.

In this case, the corresponding standard format can be directly obtained according to the template text element.

(2) The target official document template does not include a template text element of the same type as the target text element.

For example, the target text element includes a first text element, and the target official document template does not include a template text element of the same type as the first text element. In this case, the first text element may be converted into a common format, for example, a type of the first text element may be determined, and then a common national standard format corresponding to the type may be found from the national standard, and then the first text element may be converted into the common national standard format. And then generating a corresponding official document from the target text based on the target text element converted into the standard format and the first text element converted into the universal format.

(3) The target official document template comprises template text elements with different types from any target text element.

In this case, the template text element is ignored or deleted. Under the condition that the standard format of the template text element is extracted and the target text element is set, the template text element is ignored in a mode of not extracting the template text element; when the target text element is filled in the target official document template, the template text element is deleted.

In this embodiment, the standard format may be a font type, a font size, a line spacing, and the like. The conversion of the standard format may be implemented through an API interface of document editing software, for example, a related API interface of WPS, which may refer to related technologies specifically, and this application is not necessarily described herein.

Of course, in addition to the above format conversion, the target text element may be converted at a semantic level. The specific implementation thereof may be various.

For example, for a text element type of title, a standard format of no more than 15 words can be specified, and the title extracted from the target text is 16 words, and more than 15 words, it can be modified to be reduced to within 15 words while leaving the semantic unchanged.

For another example, if the target text elements extracted from the target text have wrongly written words, sensitive words, illegal words, etc., they may also be modified to meet the requirements. The specific method for format conversion based on semantics may refer to related technologies, and the application is not particularly limited thereto.

And step 212, generating and displaying a corresponding official document for the target text.

In this embodiment, after the target text element converted into the standard format is obtained, the corresponding document may be generated based on the standard format.

In this embodiment, the target position information of the target text element in the document may also be determined based on the position information of the template text element in the document. The position information may be preset, and the position information may be fixed or may be relatively variable. The position information of the text element such as "title" is "at line 1 of page 1", and its position in the text is usually fixed. For another example, if the position information of the text element "attached caption" is "next line to the body content", the position thereof in the body content changes with the change of the body content, if the last line of the body content is page 2, line 1, the position of the "attached caption" is page 2, line 2, and if the body content increases, the last line thereof becomes page 2, line 5, the position of the "attached caption" becomes page 2, line 6.

In this embodiment, when generating an official document corresponding to a target text based on a target text element, a template text element corresponding to the target text element may be determined, on one hand, a standard format corresponding to the template text element may be obtained, and the target text element is converted into the standard format; on the other hand, the position information of the template text element in the official document template can be acquired, the target position information of the target text element in the official document is determined, and then the corresponding official document can be generated for the target text based on the standard format and the target position information. For example, the target text elements converted into the standard format may be typeset according to the target position information of the target text elements in the document, and the result obtained by typesetting may be used as the document corresponding to the target text, and the specific method of typesetting may refer to the related art.

In the following description, taking the element type of "title" as an example, a preset title, such as "xxx announcement", may exist in the target official document template, and its standard format is song style, five signs, and its position information is "in the middle of the top page, 2cm from the top of the page, and one line on the text content". The title of "notification about policy implementation" extracted from the target text may be used to replace the "xxx notification" in the template, convert it into the standard format of sons body and number five, and generate a document meeting the requirements according to the location information. Of course, this example is merely illustrative and not intended to limit the present application.

In this embodiment, if the position information corresponding to the target text element cannot be determined, an official document may be generated according to the specified position.

For example, the specified location may be the location in the document where the type element specified in the national standard is located. For example, if the type of the target text element is a security level, a security level may be followed by a number in the national standard, and the security level is followed by an urgency level, the position of the target text element in the document may be determined according to the specification.

For another example, if a target text element adjacent to the target text element in the target text is referred to, the position of the target text element in the target official document template may be determined according to the corresponding position of the adjacent target text element in the target official document template, so that the generated official document maintains the adjacent position relationship of the target text elements.

Of course, the designated location may be other locations, such as a default location, and the present application is not limited thereto.

It should be noted that the generation of the official document is based on the editing of the official document template, and does not mean the editing of the official document template itself.

In this embodiment, the generated document may be presented to the user.

In one example, only the generated official document may be presented. The official document comprises a target text element extracted from the target text in a standard format, and the position of the target text element in the official document is matched with the position of the corresponding template text element in the target official document template.

In another example, in addition to the document, a target document template for generating the document and several candidate document templates may be displayed.

For example, in the step 208, the document type to which the target text belongs may correspond to a plurality of document templates, and after the target document template is determined and a document is generated based on the target document template, other candidate document templates may be displayed. And the candidate official document templates can be displayed in an arrangement from high to low according to the priority, and if the user considers that the official document generated based on the target official document template does not meet the requirement of the official document, the required template can be selected from the candidate official document templates displayed in the arrangement to generate the official document.

There are various methods for determining the priority of the candidate official document template, for example, the priority may be determined according to the matching degree between the target text element and the template text element determined in the foregoing step 208, and the higher the matching degree is, the higher the priority is.

For another example, the priority may also be determined according to how frequently the candidate official document template is used in the actual scene, and the more frequently the candidate official document template is used, the higher the priority is.

Of course, other methods may be used to determine the priority, which is not exemplified herein.

In addition, in addition to displaying a plurality of candidate official document templates in the case where one official document type corresponds to a plurality of official document templates, the candidate official document templates may be displayed in other cases. For example, each preset official document template can be displayed according to the priority order for the user to select.

Referring to fig. 3, fig. 3 is a schematic diagram of a page according to an exemplary embodiment of the present application. Fig. 3 exemplarily shows a page showing a generated official document to a user, in which "announcement (long signature)" marked by a dotted line box is a target official document template, and a preview area of the page may be shown with a preview of the official document generated based on the template, and the user may view the generated official document in the area. In addition, fig. 3 may also show some non-target official document templates sorted by priority, such as "reply (signature)", "notice", and "bulletin".

Step 214, receiving a document generation request initiated for any candidate document template.

In this embodiment, the user may initiate a document generation request for any candidate document template displayed by the user, and after receiving the request, the client may execute the foregoing step 210 and step 212 to generate a document for the target text based on the candidate document template specified by the user. The specific generation method refers to the foregoing steps, and is not described herein again.

Still taking the example shown in fig. 3 as an example, the user may click on the template "reply (signature)" to initiate a document generation request, and after receiving the request, the client may use the template as a target document template, and then generate a document for the target document based on the template, and present the generated document to the user.

In this embodiment, after the document is generated, if the user is not satisfied with the format of some text elements in the document, the user may also perform custom setting on the document. For example, the user may click a "custom setup" button issued on the page of fig. 3, and then the user may specify the type of text element to be set up, and may also set up the format of the type of text element. For example, the title in the target official document template has a font size of four, and the user can modify the font size to four smaller through the custom setting. So as to assist the user to obtain the official document more meeting the requirement of the user.

In this embodiment, after the user determines that the document meeting the user's requirement is obtained, the user may click the relevant button to obtain the generated document, for example, click the "open document" button in the lower right corner of fig. 3.

As can be seen from the above description, in an embodiment of the present application, an official document can be created to create a corresponding official document template, the document to which the target text belongs can be identified, and the corresponding official document template is found based on the text to generate an official document, so as to obtain a more accurate official document template and finally generate a more accurate official document.

In addition, a plurality of non-target official document templates can be displayed for the user, so that the user can switch among the non-target official document templates, official documents which meet the requirements of the user are obtained finally, and the user experience is improved.

Corresponding to the embodiment of the method for generating the official document, the application also provides an embodiment of a device for generating the official document.

The embodiment of the generation device of the application document can be applied to the electronic equipment. The device embodiments may be implemented by software, or by hardware, or by a combination of hardware and software. Taking a software implementation as an example, as a logical device, the device is formed by reading, by a processor of the electronic device where the device is located, a corresponding computer program instruction in the nonvolatile memory into the memory for operation. From a hardware aspect, as shown in fig. 4, the electronic device in which the generating apparatus of the disclosure is located is a hardware structure diagram of the electronic device, except for the processor, the memory, the network interface, and the nonvolatile memory shown in fig. 4, the electronic device in which the apparatus is located in the embodiment may also include other hardware according to the actual function of the electronic device, which is not described again.

Referring to fig. 5, fig. 5 is a block diagram of an apparatus for generating a document according to an exemplary embodiment of the present application. The apparatus for generating the document may include: a receiving unit 510, an extracting unit 520, a matching unit 530, a determining unit 540, a generating unit 550 and a presenting unit 560.

The receiving unit 510 is configured to receive a document generation request initiated for a target text;

an extracting unit 520, configured to extract a target text element included in the target text;

a matching unit 530, configured to determine, based on the target text element, a target official document template matched with the target text;

a determining unit 540, configured to determine, for each target text element, a standard format corresponding to a template text element in the target official document template, where the template text element is of the same type as the target text element;

The above-described embodiments of the apparatus are merely illustrative, and the units described as separate parts may or may not be physically separate, and parts displayed as units may or may not be physical units, may be located in one place, or may be distributed on a plurality of network units.
