<Desc/Clms Page number 2>
La présente invention a pour objet, par divers perfectionnements aux dispositifs et procédés d'enregistrement des inventaires permanents, de remédier aux inconvénients précités en réunissant simultanément les condi- tions suivantes la- Sécurité absolue de l'enregistrement;
2.- Frais d'investissement réduits;
<Desc/Clms Page number 3>
3.- Personnel employé restreint;
4.- Information permanente;
5.- Information finale sans délai;
6.- Connaissance du stock mort;
<Desc/Clms Page number 4>

IMPROVEMENTS TO THE DEVICES AND METHODS FOR RECORDING
PERMANENT AND SIMILAR INVENTORIES.
The object of the present invention is to improve the devices and methods for recording permanent inventories and the like.
We know how to keep permanent inventories of goods. articles or the like in the store. \) the inputs and outputs of products are usually recorded on a device comprising a double system of cards the cards commonly called stock cards kept in quantities at the store and the cards called cards accountants kept in quantities and values in the department of store accounts.
Entries and exits commonly referred to as store movements are recorded on said cards by the transcription of quantitative elements appearing on a document, invoice, store exit voucher or the like referred to as the base document.
For each of the items in the store there is a stock card and an accounting card generally with a different layout.
The cards are usually placed in appropriate furniture either vertically in the case of the so-called ordinary card or horizontally and in steps in the case of the so-called visible card. Either of these systems may include an index device or of jumpers. \) fixed or movable, intended either to facilitate the sorting of the files, or to provide certain indications such as for example the movement or the absence of movement of the article in question.
The recording of numerical data on the various cards as well as the sorting and classification of the latter can be carried out either manually or mechanically.
Irrespective of the types of cards and the recording methods employed, the current systems for drawing up and maintaining permanent inventories have various drawbacks.
<Desc / Clms Page number 2>
Often discrepancies are revealed, on the one hand between the stock card and the accounting card, on the other hand. between these and the quantities actually in the store.
The causes of these discrepancies are in particular: an error in recording the quantities entering or leaving the stores on the stock card or the accounting card, the omission of a record on one or the other of the cards or on both simultaneously, for example the consequence of the inattention of an employee or of the loss or incorrect classification of the basic document or an act committed by the storekeeper.
In the usual systems for recording permanent inventories, the localization of errors of this kind requires careful recording of the entries made on the cards using the basic documents. This clocking, which is only carried out when an error has been revealed, is very long and entails a very significant loss of time. Given that the errors are generally only revealed when the physical inventory of the quantities in the store is carried out and that they can be all the more numerous since this type of inventory is only carried out at intervals from very distant times it follows that the logging operations require additional work on the part of the personnel and delay the final establishment of the periodic inventory. Consequently, the final information is late and the permanent information is null.
In any case, the procedures for recording permanent inventories used up to now do not offer a guarantee of accuracy and therefore do not fulfill the role assigned to them of giving the real situation of existing ones. at the store.
The fundamental defect of the usual procedures lies in the fact that a priori the information recorded on the files are supposed to be the faithful reproduction of those appearing on the base document which is the original document and that the control cannot be carried out without delay.
The mass of records represented by the permanent inventory of a large company does not make it possible to determine at all times the items for which during a determined period of time no movement has been recorded. All of these items constitute dead stock and represent fixed capital whose importance is generally proportional to that of the company. The latter must be able to determine the dead stock in order to take the necessary measures to reduce it. To remedy this situation, various devices have been proposed comprising movable indexes or jumpers. However, given that the movement of the latter is not automatic but left to the care of the attendants, the system, although generally very expensive, also offers no guarantee of accuracy.
It has been observed by the timing of the movements carried out by those responsible for keeping a permanent inventory that the handling of the cards absorbs 2/3 of the working time. As a result, the card recording methods entail with regard to the actual work to be realized a great waste of time which requires a large staff for a reduced recording speed and random accuracy.
Permanent inventories on cards require investment costs that are all the higher the more sophisticated they are.
Their mobility being zero, the communication of information on some of the existing ones in the store requires the establishment of a special statement.
The object of the present invention is, through various improvements to the devices and methods for recording permanent inventories, to remedy the aforementioned drawbacks by simultaneously meeting the following conditions: Absolute security of the recording;
2.- Reduced investment costs;
<Desc / Clms Page number 3>
3.- Restricted staff;
4.- Permanent information;
5.- Final information without delay;
6.- Knowledge of dead stock;
7.- System mobility
According to an advantageous embodiment of the present invention. a device is proposed which allows the successive recording on the document based on the invoices of the warehouse exit voucher or the like of the coding number of the article of the balance of the quantities remaining in the warehouse after execution of the order entered on the document. of bases as well as of the value of the entered or exited quantity so that at any time the aforementioned base document can serve both as a reference document for keeping the permanent inventory and as a funny control of the information contained in the latter.
The above-mentioned coding of the articles in the store will preferably be established by continuous numerical numbering taken up in a preferably alphabetical directory.
It is also proposed to replace the usual card recording devices by a device comprising a set of loose sheets forming one or more registers, each of these sheets being adjusted in such a way that it is allowed to condense on each of these. provides the accounting information necessary for keeping a permanent inventory and which should normally be entered on a large number of files, for example a hundred.
The adjustment of said movable sheets may advantageously conform to that described in patent no. 493.854 requested on February 11, 19500
Other details and features will emerge more clearly from the description given below, purely by way of nonlimiting example. one of the embodiments of the present invention.
Figure 1 shows the lower part of a base document. in this case a store exit voucher. ,
Figure 2 shows partially in four irregular fragments the front of a loose leaf.
A store exit slip 1 is intended to receive in its part not shown the usual information carried by the issuing department such as quantity? description of the item and accounting allocation o In its lower part, as shown in fig 1, boxes 2.3.4 and 5 are provided, intended for recording and successive control in the various departments through which the voucher 1 will change from various mentions such as in 2 the code number of the article to be taken out of the store in 2 the quantity of said article remaining in the store after execution of the exit., in 4 the unit price in ± the value of the quantity out., from the store:
The front of a movable sheet 6 shown in FIG. 2 comprises a margin 8 in which are formed perforations 3, intended to allow the joining in a removable manner ,,, of several sheets 6 in one register.
The part of the front of the loose leaf 2 situated to the right of the margin 1 is divided horizontally into five bands 10 themselves subdivided into twenty columns 11. Each page of the loose leaf 6 therefore has 100 columns 11.
The Il columns are divided into boxes 12.13.14 and 15.
Boxes 12 and 14 are intended to receive certain information ,,, for example the quantity of the minimum stock and / or the maximum stock ,,, an average cost price, etc.
<Desc / Clms Page number 4>
Boxes 13 receive a continuous numbering corresponding to that of the coding of the articles in store. The numbering will be established advantageously so that for each of the pages of loose-leaf 6 any number whose last two digits are represented by 01 will be entered in box 13 located at the top and to the left of the page and that the -8 numbers ending in 00 will be found in the last box 13, that is to say at the bottom right of the page.
The front and back of pages 6 have a similar rule, when the register which contains them is open, an overview of 200 articles is available! the right page reproducing the series of numbers of which the hundred is odd and the left page that of which the hundred is even. For each hundred, the numbering being arranged in the same order on each of the pages. column 11 corresponding to a determined number in the chosen hundred can be easily and quickly located.
The identification can be further facilitated in the case given as an example where each page contains around a hundred columns 11 and separating vertically into two equal parts by a thick line not shown in the drawings the 20 columns 11 of each of the bands 10 in such a way that the odd tens are to the left of the bold line and the even tens begin to the right of the latter.
Loose sheets 6 of identical size, rule and numbering together in registers may be used in a uniform manner instead of stock cards and accounting records. They will also constitute the book of periodic inventories.
Since it is easy to bring together in a single register, for example a hundred loose-leaf pages 6, it can be seen that a register thus constituted will contain the accounting information relating to 20,000 articles, that is to say that 'it will advantageously replace a set of 20,000 files as well as the furniture intended to contain them.
Consequently, the device for recording a permanent inventory as described above has the advantage over the devices currently in use of great manageability and hence of faster execution of accounting entries.
It gives the permanent inventory a mobility that excludes the clutter of files. It also makes it possible to achieve a very significant reduction in the usual cost of recording equipment. The savings in capital invested thus obtained is of the order of 99% compared to the ordinary card system and of 99.9% compared to the one with visible cards.
The combined use of the basic document 1 and of loose sheets 6 described above makes it possible to achieve the various other aims of the invention: absolute security of registration, employment of a small staff, permanent information, final information without delay and knowledge of dead stock.
In the example chosen and shown in FIG. 1, step document 1 is a store exit voucher which, after having been established by the issuing services, arrives at the store for execution. The storekeeper after having entered in 2 the codification number of the article concerned delivers the designated quantity. In his loose-leaf register 2. and in column 11 corresponding to the number of the article, he deducts from the quantity in the store mentioned in 15 the quantity indicated on the voucher 1 and enters the balance thus obtained at the same time. in the next box 15 of the same column 11 and in the box of voucher 1.
After execution at the store, the coupons 1 are sent to the administrative service responsible for keeping the permanent inventory. In the recommended system and for a company whose stores contain thousands of regularly moving items, this service should normally only have three representatives: the quantity accountant.
<Desc / Clms Page number 5>
quantities ,,, the securities accountant and the auditor.
The quantity accountant receives the vouchers 1 coming from the stores He checks the incorrectness of the code number mentioned in 2 and of the balance brought in 3. balance that in his loose-leaf register 6 he enters in box 15 of column 11 corresponding to the above code number.
As permanent control is exercised over the quantities appearing in the inventory, no error can be attributed to the accounting record and the differences observed during the material inventory by counting the articles in the store are attributable to the warehouse keeper.
The securities accountant whose loose-leaf register contains at 15 the unit price of each of the articles in the store, enters the latter in the voucher box 1 and enters at 1 the value of the quantity taken out of the store. He also establishes the daily expenses sheet.
Finally all the vouchers 1 reach the verifier who is responsible for their conservation.
It is understood that similar operations are carried out for entering the store. The voucher 1 is generally replaced by an invoice emanating from the supplier and on which the device illustrated in fig1 is appropriately reproduced.
As results from the recording process described above ,,, the base document serves at all times as a reference document for the establishment of the permanent inventory and for the daily control thereof. absolute security of entries at the same time as permanent information.
The book of periodic inventories composed of 6 sheets will be assembled quickly.
The personnel required to keep a permanent inventory according to the proposed system is limited - it represents about half of that necessary according to the known systems.
The movable sheet 6 shown in FIG. 2 comprises per column 11 only five boxes 15 intended for the recording of digital data. In the proposed method, the digital data are advantageously entered especially in boxes 11 with an ordinary pencil. When boxes 11 are filled in. entries except the last are erased to be replaced by new ones. It follows that the transcription of digital data is accelerated and that the loose sheets 6 can in principle be used indefinitely.
It is obvious that the invention is not limited to the only embodiments described above and that many modifications could be made to it with regard in particular to the number, the shape, the arrangement and the constitution of the elements. involved in its realization.
It is also understood that the invention is not limited to the keeping of permanent inventories and that it extends to any recording of digital data, usually collected on cards or not, in the establishment of statistics or accounts.
