For years business process has been reliant on communications with their employees tbeing predominately recorded in hard copy and retained only on a manual file or diary note for reference purposes. Communication with employees is now being understood to 5 be as vital in the success of an organization as the recording of the communications with customers.
00 Due to the manual activities of this process inconsistency occurs frequently.
0 O Organizations have inconsistency with the delivery of policy as the records audit ability is 10 limited and the records value is limited by the individual making the entry. Further the 0 O limits of this type of system is that the recall of the records are only as good as the individual that made or holds these records.
This innovation in the business process is to ensure that these limitations are removed for future business purposes. The innovation does not remove the need for records nor for hard copies of records but enhances the business process to improve consistency of delivery of policy and communications, traceability, audit ability and quick reference of communications The use of a database, that may be derived of any type, and a user interface through which records and details of conversations, training, counseling, meetings, memorandums and other communications with employees may be recorded. For the purposes of search the database and interface are structured such that records are keyword categorized as well as being searchable by other methods such as the employee name as an individual, employees within a group such as by site or department, or by communication method or type.
A user would thus be able to identify all records associated with an individual and thus ensure more accurate enforcement of the organizations policy where applicable to the individual. Further a user would be able to apply search and audit inconsistency between the enforcement of similar policy that may be delivered differently. Again a user may review communications that have been made in relation to any given topic to assess the

O current understanding of a policy within the workplace, and/or further, attempt to Cl Sestimate the impact that a change of policy may have on a given workplace, workgroup or individual.
The appearance of the user interface and the programming language selected for the development of the software application have no impact on the performance of the 00 process change. As such this application is not limited by any given on screen appearance

The software application should include lists for all key searchable criteria. The search method of a database selects entries associated with a field that is same as or similar to a searched word or words or a date that may be exact or within a range specified.
As such a list of employee's names in database format, that may be referenced at the time of recording of details. In line with a database function of search, character capitalization, letter order, correct spelling, name order (first then last or last then first) impact the ability of search, thus a listing of employees names from which an individual may be selected improves the software applications ability to search.
Further to this the application may contain lists of predetermined and/or modifiable lists of topics, departments, groups or meetings. As with the reasons stated above the list improves the search ability of records entered within the database.
The software application when used in this context would enhance the administration of an organizations policy or procedure due to the recall of communications, agreements, previous practice or outworking of a processes leading to consistency or modification of policy or future practice to improve future process or practice.

Claims (2)

The use of a software application as described in claiml, which may be accessed 0either by direct connection to a server containing the software, connection to an o internet or intranet connection that allows access to the software, or direct S 10 installation of the software onto an individual machine or series of machines. The use of a software application as described in claim 1 and 2 that is able to output the records both in report (list) format or in a format that has other business application such as, minutes for a meeting or a memorandum, file note, record of counseling, written warning or Statement of events.
  2. 4. The use of software as described in claims 1-3 that contains lists that may be modified by a user or fixed, these list being referenced and selectable at the time of entry of details in key searchable fields.
