Abstract

The invention relates a method for requesting, negotiating and entering into agreement between a subordinate and a superior in a managerial relationship. The method comprises providing an electronic database system. At least the subordinate accesses the database via a data connection in order to initiate negotiations with the superior of entering into an agreement related to the employment of the subordinate. A request is transmitted, the request containing a written proposal for an agreement to be joined by both the subordinate and the superior. The request is receive by the superior. The request is being replied to, in writing or by being flagged, by a confirmation, a cancellation or an offer of negotiation of the agreement. The reply is transmitter to the subordinate.

Description

METHOD FOR ORGANIZING AGREEMENTS BETWEEN A SUBORDINATE AND A SUPERIOR
FIELD OF THE INVENTION
The invention relates to a method for requesting, negotiating, entering into and subsequently managing agreements between a subordinate and a superior in a managerial relationship.
BACKGROUND OF THE INVENTION
People within a company, a department or other organization unit are more and more vital to any organization. This emphasises the need to maintain the employment and the motivation of the people working in the organization. Satisfaction is a key issue in this endeavour. Subordinate satisfaction depends amongst others on the will and the ability of the superior to fulfil agreements between the two, and vice versa, the satisfaction of a superior amongst others depends on the will and the ability of the subordinate to fulfil agreements between the two.
Therefore, it is important to control and monitor any agreement between a superior and a subordinate so that both the superior and the subordinate, as good as possible, fulfil the agreements between the two.
In the present context, the denotation "subordinate" is any human being reporting upwards in a managerial hierarchy, and the denotation "superior" means any person executing managerial tasks towards one or more subordinates.
When two persons within a managerial relationship are to enter into agreement with each other, it is normally conducted by the two persons arranging a meeting. At the meeting, negotiations take place and one or more agreements are established. Subsequently, i.e. after the meeting, it is up to the two parties to fulfil the respective agreements, that each of them have committed themselves to. However, fulfilment of the agreements is not always monitored by the superior, the subordinate or a third party within the organization, and it is often only when a new meeting is arranged, possibly a year later, that the status of the agreements are established, i.e. whether the agreements have been accepted, have not been accepted or have proven to be irrelevant.
This is especially the case when agreements relates to non-concise issues, i.e. issues other than salary, working hours or other agreements based on figures, such as an agreement of educational activity to be undertaken by a subordinate, such as a promise made by a subordinate or a superior to improve a specific personal qualification or undertake a task to improve individual, team or organizational performance, such as different fringe benefits to be offered by a superior to a subordinate, such as special leave being asked for by a subordinate and other such agreements either written or non-written.
Non-observance or non-monitoring of the agreements may lead to dissatisfaction. Furthermore, it may lead to ineffectiveness as the subordinate, the superior and the organization do not gain the full benefit of the agreements.
Non-observance or non-monitoring of the agreements may also lead to neglect of the need for necessary or desirable new agreements and re-negotiations of existing agreements within a period of time, where negotiation of agreements, e.g. on an annual basis, are not offered by the superior.
Thus, there is a need for a more dynamic method and system, where monitoring the agreements is easier, and/or where observing whether the agreements are being accepted is easier, and/or where agreements may be re-negotiated or where new agreements may be negotiated at any time needed or any time desired by the subordinate or by the superior.
SUMMARY OF THE INVENTION
It may be an object of the invention to provide a tool for ascertaining that agreements between a subordinate and a superior are monitored and accepted. It may also be an object of the invention to maintain or even increase subordinate and superior satisfaction as well as to enhance individual, team and/or organizational effectiveness due to agreements being accepted.
It may also be an object of the invention to provide a tool enabling a more dynamic approach towards agreements being negotiated or re-negotiated.
It may even be seen as an object of the invention to provide a tool where negotiations of agreements may be initiated not only by the superior, but also by the subordinate.
One or more objects of the invention may be obtained by a method comprising
- providing an electronic database system comprising a wired or wireless data connection to each of one person and another person, said users capable of accessing the database,
- at least the one person accessing the database via the data connection in order to initiate negotiations with the other person of entering into an agreement related to the employment of the one person,
- transmitting a request by the one person for an agreement with the other person, the request containing a written proposal for an agreement to be joined by both the one person and the other person,
- the other person accessing the database via the one of the data connections,
- receiving from the one person the request by the other person, said request being replied to, in writing or by being flagged, by a confirmation, a cancellation or an offer of negotiation of the agreement,
- transmitting the reply by the other person to the one person, said reply being handled by the one person by signing the agreement, declining the agreement in writing or by being flagged, or initialising negotiations.
According to one aspect of the invention, the one person is a subordinate such as an employee and the other person is a superior such as a leader of the employee.
According to another aspect of the invention, the one person is a subordinate such as a leader and the other person is a superior such as a manager of the leader. In the following, by way of example only, the one person is a subordinate and the other person is a superior. However, such denomination must not be construed as limiting the scope of protection. Thus, in the alternative, the one person may be a superior and the other parson may be a subordinate.
In the following, by way of example only, reference is made to an agreement. However, more than one agreement may be handled by the method according to the invention. Also, a plurality of agreements may be handled by an agreement form bundling the plurality of agreements together.
The advantage of the above-mentioned method is that agreements may be negotiated, entered into or declined in a manner being expedient, being biased between interests of the subordinate and the superior, and in manner where agreements may be negotiated, entered into or declined at any time.
A sequence of steps as mentioned above enables two parties of a database system to negotiate agreements concerning the mutual managerial relationship between the two, based on the content of and the communication capabilities of the database system. Thus, a superior may initiate negotiations at any time, without having to set up a meeting, and dealing with any subject related to the managerial relationship to the subordinate, and vice versa, a superior may initiate negotiations at any time, without having to set up a meeting, and dealing with any subject related to the managerial relationship to the subordinate.
Also, a sequence of steps as mentioned above enables a fast, a safe and an unambiguous communication between the two parties of: when negotiations of an agreement have been initialised, whether an agreement has been reached or not, the content of the possible agreement, and when the agreement has bee reached.
According to the method of the invention, the subordinate is an employee and the superior is a leader of the employee. According to the method of the invention, the subordinate may also be a leader and the superior may be a manager of the leader. Thus, contrary what is often the case, by the method according to the invention, the subordinate, and not only the superior, may request negotiations about a possible agreement, which the subordinate wants to reach with his or her superior. By accessing the database system, the subordinate may request initiation of negotiations based on the established procedures and ways of communicating, which the database system supports and/or dictates.
According to the method of the invention, similarly to what is often the case in common negotiations within a managerial relationship, the superior, in accordance with possible managerial obligations or procedures of the organization, may initiate negotiations about a possible agreement, which the superior wants to reach with his or her superior. By accessing the database system, the superior may initiate negotiations based on the established procedures and ways of communicating which the database system supports and/or dictates.
According to the method of the invention, different scenarios may occur depending on whether the superior replies to, in writing or by the agreement being flagged, the request for an agreement by the subordinate, either by a confirmation, or a cancellation or an offer of negotiation of the agreement.
With the proviso that the agreement between the superior and the subordinate is accepted, the agreement is stored in the database of the superior and in a database of the subordinate, and the agreement is flagged in the databases as being entered into.
With the proviso that the agreement between the superior and the subordinate is declined, the method comprises not storing the agreement in a database of the superior, and retransmitting the agreement to the subordinate, and the agreement is flagged in the database of the subordinate as not being entered into.
With the proviso that the agreement between the superior and the subordinate is to be negotiated, the method comprises storing the agreement in a database of the superior and in a database of the subordinate, and the agreement being flagged in the databases as not being entered, and the method comprises setting an initial time interval in the database of at least the subordinate for initialising negotiations of the agreement. With the proviso that an initial time interval for initialising negotiations of the agreement has been set in the database of at least the subordinate, the method comprises the agreement being flagged in the databases as not being entered, when the end of the time interval has passed, and the method comprises setting a subsequent time interval in the database of at least the subordinate for initialising negotiations of the agreement.
With the proviso that an initial time interval for initialising negotiations of the agreement has been set in the database of at least the subordinate, the method comprises the agreement being flagged in the databases as being entered into, when the end of the initial time interval has passed.
With the proviso that an agreement has been entered into between the subordinate and the superior, the method comprises setting a further time interval, subsequent to the date of entering into agreement, for accepting the agreement, and with the proviso that the agreement has been accepted within the further time interval, the method comprises the agreement being flagged in the databases as being accepted, when the end of the further time interval has passed.
With the proviso that an agreement has been entered into between the subordinate and the superior, the method comprises setting a further time interval, subsequent to the date of entering into agreement, for accepting the agreement, and with the proviso that the agreement has not been accepted within the further time interval, the method comprises the agreement being flagged in the databases as not being accepted, when the end of the further time interval has passed.
DETAILED DESCRIPTION OF AN EMBODIMENT OF THE INVENTION
The invention will hereafter be described with reference to the accompanying drawing showing a possible lay-out of a functional relationship among the different users being part of a database system for handling agreements.
The drawing is a flow diagram showing a number of possible communication paths to and from a database, said communications paths establishing communication between a subordinate and a superior within an organization and said subordinate and said superior being in a mutual managerial relationship.
The denotations are the following: Meeting, PFsup: Preparation Form for superior, PFsut>: Preparation Form for subordinate, AF: Agreement Form.
Each of the two parties, i.e. the subordinate and the superior, has access to and has data storage capacity in the database. Each of the two parties has at least the same means of access and the same database tools for initiating, negotiating, declining and entering agreements. The line separating the two parties indicates each of the two parties' contents of and access points to the database.
A possible flow of communication between the two parties via the database may take place as described hereinafter. However, other possible flows of communication may take place, e.g. by reversing the direction of the arrows of the lines having arrows only pointing one way.
The subordinate transmits a request to the superior of entering into agreement. As mentioned above, the agreement may be one single agreement, or the agreement may be a plurality of agreements, possibly being bundled together by an agreement form. Together with the request a proposal for an agreement in writing is attached or a link to the database is provided, said database thus having stored the proposal for the agreement. The request and the proposal for the agreement are received by the superior via an access point of the superior. The superior may print the proposal for the agreement for subsequent personal interview with the subordinate. After the superior and the subordinate have had a personal interview, either in person or by telecommunication, the agreement is either rejected or accepted by the superior. If the agreement is rejected, the agreement is retransmitted to the subordinate. If the agreement is accepted, the agreement is stored in the database, both in the part of the database which the superior has access to and the part of the database which the subordinate has access to. The agreement having been entered and possible other agreement having been entered between the superior and the subordinate is stored in a table of the database.
After the one or more agreements have been stored in the table, negotiations based on the agreements already agreed upon may still be re-negotiated by the subordinate or the superior requesting either amendments to, cancellation of or prolongation of the agreements. Re-negotiations may lead to the request and proposal for amendments to the one or more agreements either being rejected or being accepted by the other party. Thus, a flow of communication as illustrated based on a proposal for a new agreement may also occur based on already established agreement, where one of the parties requests re-negotiations.
In the embodiment shown, the request is initiated by the subordinate. However, in the alternative, the request may be initiated by the superior. Also, in the embodiment shown, the proposal for agreement is printed on paper by the two parties. In the alternative, the proposal for agreement may be viewed on e.g. a computer screen or other means of visualising the proposal for agreement.

Claims

1. A method for organizing information around agreements, said agreements being between a subordinate and a superior, said method comprising - providing an electronic database system comprising a wired or wireless data connection to each of a subordinate and a superior, said persons capable of accessing the database,
- one person, the subordinate or the superior, accessing the database via the data connection in order to initiate negotiations with other person, the superior or the subordinate, of entering into an agreement related to the employment of the subordinate,
- transmitting a request by the one person for at least one agreement with the other person, the request containing a written proposal for at least one agreement to be joined by both the one person and the other person, - the other person accessing the database via the one of the data connections,
- the other person receiving from the one person the request, said request being replied to, in writing or by being flagged, by a confirmation, a cancellation or an offer of negotiation of the at least one agreement,
- the other person transmitting the reply to the one person, said reply being handled by the one person by accepting the at least one agreement, declining the agreement in writing or by being flagged, or initialising negotiations, and
- with the proviso that the at least one agreement between the superior and the subordinate is to be negotiated, storing the at least one agreement in a database of the superior and in a database of the subordinate, and - the at least one agreement being flagged in the databases as not being entered, and setting an initial time interval in the database of the superior and/or of the subordinate for initialising negotiations of the agreement, and
- with the proviso that at least one agreement has been entered into between the subordinate and the superior, setting a further time interval, subsequent to the date of entering into agreement, for accepting the at least one agreement, and
- with the proviso that the at least one agreement has been accepted within the further time interval, the at least one agreement being flagged in the database as being accepted, when the end of the further time interval has passed.
2. A method according to 1, where the one person is a subordinate such as an employee and the other person is a superior such as a leader of the employee.
3. A method according to 1, where the one person is a subordinate such as a leader and the other person is a superior such as a manager of the leader.
4. A method according to any of claim 1-3, where
- a plurality of agreements constitutes the basis for the request of agreement to be joined by both the one person and the other person, said plurality of agreements being bundled together as a single agreement form,
- said agreement form being the at least one agreement to be joined by both the one person and the other person by accepting the agreement form, by declining the agreement form in writing or by being flagged, or by initialising negotiations.

A method according to any of claims 1-3, where, with the proviso that the at least one agreement between the superior and the subordinate is accepted, the at least one agreement is stored in the database of the superior and in a database of the subordinate, and the at least one agreement is flagged in the databases as being accepted.
6. A method according to claim 5,
- with reference to said at least one agreement being stored in the database of the superior and in a database of the subordinate, and with reference to said at least one agreement being flagged in the databases as being accepted, - the one person transmitting to the other person a request containing a written proposal for initiating re-negotiations by the one person and the other person in relation to the at least one agreement formerly being accepted, and
- the one person optionally also transmitting a written proposal for renegotiations, cancellation or prolongation of the at least one agreement.
7. A method according to claim 6,
- with reference to said at least one agreement being stored in the database of the superior and in a database of the subordinate, and with reference to said at least one agreement being flagged in the databases as being accepted, - the other person is transmitting a reply to the one person, said reply being accepting or declining re-negotiations of the at least one agreement.
8. A method according to claim 6 or claim 7, where the one person is a subordinate such as an employee and the other person is a superior such as a leader of the employee.
9. A method according to claim 6 or claim 7, where the one person is a subordinate such as a leader and the other person is a superior such as a manager of the leader.
10. A method according to any of claims 1-9, where, with the proviso that the at least one agreement between the superior and the subordinate is declined by the superior, not storing the at least one agreement in a database of the superior and retransmitting the at least one agreement to the subordinate, and the at least one agreement is flagged in the database of the subordinate as not being entered.
11. A method according to any of claims 1-9, where, with the proviso that the at least one agreement between the superior and the subordinate is declined by the subordinate, not storing the at least one agreement in a database of the subordinate and retransmitting the at least one agreement to the superior, and the at least one agreement is flagged in the database of the superior as not being entered.
12. A method according to any of claims 1-11, where, with the proviso that an initial time interval for initialising negotiations of the at least one agreement has been set in the database of at least the subordinate, the at least one agreement being flagged in the databases as not being accepted, when the end of the time interval has passed, and setting a subsequent time interval in the database of the superior or of the subordinate for initialising negotiations of the agreement.
13. A method according to any of claims 1-11, where, with the proviso that an initial time interval for initialising negotiations of the at least one agreement has been set in the database of the superior or of the subordinate, the at least one agreement being flagged in the databases as being entered, when the end of the initial time interval has passed.
14. A method according to any of claims 1-13, where, with the proviso that at least one agreement has been entered into between the subordinate and the superior, setting a further time interval, subsequent to the date of entering into agreement, for accepting the at least one agreement, and with the proviso that the at least one agreement has not been accepted within the further time interval, the at least one agreement is being flagged in the database as not being accepted, when the end of the further time interval has passed.
