Detailed Description
The technical solution of the present disclosure is further described in detail by the accompanying drawings and examples.
A flow diagram of some embodiments of a conference management method of the present disclosure is shown in fig. 1.
In step 101, a conference topic is obtained, where the conference topic may surround a current hot topic, an emergency, etc., may surround a keyword, may surround a certain product, etc., and for example, a topic related to food safety risk is set in a food safety communication. In some embodiments, the topic of the conference may be obtained based on previous conference record information, the topic of the conference may be hotspot information obtained according to the previous conference record, and may be extracted from candidate conference topics generated previously.
In step 102, potential participants are determined according to the person information and the conference subject in the communication library. In some embodiments, potential participating members may include stakeholders for meeting issues, meeting sponsors, and members of various types of related institutions, disciplines.
In some embodiments, the people information in the communication library may include names and contact addresses of people, and at least one of research directions and affiliated institutions. In some embodiments, the people information in the communication library may include qualifications, expertise, location, and the like.
In some embodiments, the people information may further include a meeting weight, and the meeting weight is determined by one or more of a predetermined authority, a meeting requirement, or a meeting availability.
In some embodiments, potential conferees may be determined by matching research directions, affiliated institutions, or professional skills, screening qualifications, and screening locations (where location screening is used in the case where the conference mode is a live conference). In some embodiments, because the number of persons accommodated in the conference is limited, the potential participants can be obtained from the persons meeting the participation condition according to the preset number of participants and according to the descending order of the conference weight. In order to ensure the attendance rate, the number of potential participants can be determined in a manner that the number of accommodated persons floats by a certain percentage, such as 20-40%.
In step 103, meeting schedules and participants are determined according to meeting schedule requirements of each potential participant, and meeting schedules are sent to the participants. In some embodiments, the meeting schedule may include meeting form, time and location information, and may also include a brief description of the meeting.
In step 104, keywords are extracted according to the meeting record information in the meeting process, and candidate meeting topics are determined according to the occurrence times of the keyword information. In some embodiments, the number of occurrences of the keyword information may be the number of occurrences of the conference content surrounding the keyword, or the length of the conference record surrounding the keyword (the length of the conference record may be determined to occupy several length units in units of a predetermined length as the number of occurrences).
In some embodiments, predetermined keywords may be set, or the possibility of certain words or words as keywords may be excluded, and the accuracy of keyword extraction may be excluded from being influenced by certain common phrases.
By the method, the participants can be screened based on the personnel information stored in the communication library, the arrangement of the participants and the conference is further determined, the conference records are counted to obtain the current hot subjects, and the subject reference is provided for the next conference, so that the conference arrangement efficiency is improved, the subjects can be in accordance with the current hot spots, the problem solving pertinence of communication is improved, and the communication analysis efficiency is further improved.
In some embodiments, the time, place, and people who communicate can be configured first, which can be accepted by the meeting contractor. In some embodiments, upon determining the subject of the meeting, relevant facilities, people, and contractor-related communication people are recommended by the meeting management system and scheduled by the meeting management system for time, place, form, and the like. A meeting request is generated and confirmation mail is sent to the relevant agencies and personnel, including contractors and other personnel. After the relevant organization and personnel confirm, the conference management system receives the confirmation mail. After the relevant mechanisms and personnel which cannot participate return information, the time can be adjusted or part of the relevant mechanisms and personnel are cancelled, the conference request is sent again until all the relevant mechanisms and personnel are confirmed, the risk exchange notification is generated, and the mail is sent to the relevant mechanisms and personnel which are finally confirmed, so that the burden of manually confirming the participants and the conference arrangement is avoided, the labor cost is reduced, and the conference arrangement efficiency is improved.
In some embodiments, the candidate conference topics extracted based on the keyword information may be divided according to the domain to which the candidate conference topics belong, the related department posts, and the like, and different conference topics are recommended for different domains, departments and posts, so that the efficiency of the conference scheduling cycle is improved.
In some embodiments, in order to solve the problems of more conference participants and different requirements during the conference scheduling process, a flowchart of some embodiments of determining the conference scheduling in the conference management method of the present disclosure may be as shown in fig. 2.
In step 201, a meeting request is sent to each potential participant through the contact addresses of the potential participants. In some embodiments, alternative meeting schedule information may be included in the meeting request, such as the time, location, and form of the meeting that can be accepted. The recipient selects the time, place and form of the meeting that can be accepted in receiving the meeting request, and the condition or combination of the selection may be more than one. In some embodiments, the conference schedule may be interacted with by mail, text message, potential attendees, or the like.
In some embodiments, the allowed forms of communication may be pre-accounted, configured, including live communication, video conferencing, teleconferencing, and the like.
In the case of selecting a site communication, it is also necessary to select a communication site. In some embodiments, a repository of locations may be preconfigured and stored, and the system extracts addresses from the stored repository when scheduling a meeting. In some embodiments, sites such as conference rooms with comparable accommodation capacity, which are not predetermined, can also be arranged according to the number of people required for the conference.
In step 202, a meeting receipt from potential attendees is received, the meeting receipt including an acceptable alternative meeting schedule.
In step 203, the alternative meeting schedule is matched according to the meeting receipt, and the meeting schedule and the first type of participant who can accept the meeting schedule are determined based on a predetermined matching strategy. In some embodiments, the meeting schedule may be determined based on the principle that the most people are able to accept the meeting schedule. For example, it may be acceptable to have 30 people participating in a meeting at a first location for a first time period, 20 people participating at a second location for the first time period, 25 people participating at the first location for a second time period, and 15 people … … participating at a third location for the second time period to select a schedule that will accept the most people, i.e., the meeting is scheduled at the first location for the first time period.
In other embodiments, the meeting schedule may be determined based on the principle that the sum of the meeting weights of the persons capable of receiving the meeting schedule is the largest, for example, the weights of the alternative meeting schedules may be determined according to the meeting weights of the respective attendees, the institution and the alternative meeting schedules acceptable to the attendees, and then the alternative meeting schedule with the highest weight may be selected as the meeting schedule.
In step 204, the meeting schedule is sent to the first type of participant.
By the method, the conference arrangement coordination of a plurality of participants can be realized, the automation degree and the arrangement efficiency of the conference arrangement are improved, the participation of more important or more important personnel in the conference is ensured, and the arrangement reasonability and the fund content of the conference are improved.
In some embodiments, the following steps 205 and 206 may also be included.
In step 205, a secondary meeting request including a meeting schedule, i.e., the meeting schedule determined in step 203, is sent to the members of the potential participants other than the first-type participant.
In step 206, additional participants are determined based on the receipt of the approval of the secondary meeting request.
By the method, people who can participate in the conference can be further strived from people who originally do not agree with the conference schedule, so that more conference participants can be strived as much as possible.
In some embodiments, the operations of steps 205-206 may not be performed if the number of first type participants has reached the upper limit of the capacity of the scheduled conference.
In other embodiments, if the number of the first type of participant exceeds the upper limit of the capacity of the predetermined conference, the number of the participants meeting the upper limit of the capacity of the predetermined conference can be selected in the order of the weights from large to small to determine the participants, and the conference schedule is sent to only the screened participants.
In some embodiments, apology letter may be sent to the potential participants other than the determined one, so as to avoid misunderstanding to affect the ordered meeting, and also to help maintain friendly relationships with the people in the communication library.
A flow diagram of further embodiments of the conference management method of the present disclosure is shown in fig. 3.
In step 301, a meeting topic is obtained.
In step 302, potential participants are determined according to the person information and the conference subject in the communication library.
In step 303, meeting schedules and participants are determined based on meeting schedule requirements of each potential participant, and the meeting schedules are sent to the participants. In some embodiments, the attendees and meeting schedule may be determined in the manner as in the embodiment shown in FIG. 2. Steps 304, 306 and 307 are then performed.
In step 304, the meeting record is counted. In some embodiments, the conference recording may be generated by way of voice capture and recognition. In other embodiments, the identified meeting record may be manually refined to improve the reliability of the meeting record. In some embodiments, the conference recording includes the content of the utterance and the corresponding speaker. Steps 305 and 308 are performed after step 304.
In some embodiments, the generated conference record may be sent to the participants and the institutions to which the participants belong, so as to maintain good traffic relations with relevant institutions and individuals, and also improve the utilization rate of the conference record.
In step 305, keywords are extracted. In some embodiments, predetermined keywords may be set, or the possibility of certain words or words as keywords may be excluded, and the accuracy of keyword extraction may be excluded from being influenced by certain common phrases. Step 311 and step 312 are performed after step 305.
In step 306, meeting requirements are determined according to the number of invitations of potential participants and the number of conference participation, and the meeting weight of the participants is adjusted according to the meeting requirements. In some embodiments, a person who has multiple invitations but a lesser number of participation may be weighted more, thereby increasing the likelihood of that person participating.
In step 307, conference participation requirements of the organization are determined according to conference participation times and invitation times of people in the organization to which the people belong, and conference participation weights of the people in the organization to which the people belong are adjusted according to the conference participation requirements. In some embodiments, the weighting of individual persons in an organization to whom a person having multiple invitations but a lesser number of participation belongs may be increased, thereby increasing the likelihood of participation in the organization.
In step 308, the utterance is disclosed for the reader to review. The number of times each utterance content is referred to, the number of times each utterance content is downloaded, the number of times each utterance is left, the number of times each utterance content is referred to, and the like may be counted.
In some embodiments, the viewing permission can be configured according to the content of the conference record, and only readers with the permission up to the standard are allowed to view, so that the utilization rate of the conference content is improved, and meanwhile, the information security guarantee is also improved.
In step 309, the gold content of the utterance content information is determined according to at least one of the reference number of utterance contents or reader evaluation. In some embodiments, the gold content weight may be set separately, and the gold content of the speech content information may be determined according to the weight corresponding to the integration of the reference times, the evaluation, and the like.
In step 310, the availability of the speaker is adjusted according to the speaking frequency and the speaking gold content of the speaker in the conference record information. In some embodiments, the speaking person who speaks more times and has a high gold content has a high communication degree. In some embodiments, the degree of commutability of the corresponding organization can also be evaluated in units of organizations to which the person belongs.
In some embodiments, the number of times of speaking and the total number of times of speaking can be counted, the ratio of the number of times of speaking of a single person or an organization to the total number of times of speaking is calculated, and the evaluation of the related organization and the individual is output; in some embodiments, the contractor may also generate a rating ranking for the contractor's internal participants using the ratings for the individuals to select a more appropriate internal participant the next time the meeting is scheduled.
In step 311, the conference subject of the next conference is determined according to the candidate conference subjects, and then step 301 is executed when the conference needs to be scheduled next time, so as to determine the conference subject, for example, the candidate conference subject ranked 10 top needs to pay attention. In some embodiments, the urgency of the next meeting may be determined from the candidate meeting topic provided in step 311, thereby determining the time to perform step 301. For example, keywords such as food safety, taste adjustment, category innovation and the like are mentioned in the conference, and the number of occurrences is large, the keywords are taken as candidate conference subjects, wherein if the urgency of food safety is high, the user can be prompted to initiate the conference preferentially, and step 301 is executed.
In step 312, the speaker's research direction is supplemented according to the keywords. In some embodiments, the research direction may be determined according to the keyword and the meaning of the segment in which the keyword appears, and then for the speaker to which the segment belongs, whether the research direction already exists is determined in the research direction information of the communication library, and if the research direction does not exist, the research direction is supplemented, thereby updating the current research direction of each expert, student, or industry related person. In some embodiments, only the research directions of speakers of the conference recording with the gold content exceeding the predetermined threshold may be updated in conjunction with the gold content information, thereby avoiding false additions of research directions for researchers in accidental speeches.
By the method, personnel information can be updated based on meeting arrangement and meeting records, candidate meeting topics and other information can be updated, the virtuous circle of meeting management is guaranteed, meeting arrangement efficiency is improved, and accuracy of meeting management is further improved in the aspects of topic determination, personnel selection and the like. In addition, text content can be formed for the reader to refer to, and the utilization rate of the conference content is improved.
In industrial risk exchange, a conference management system comprising relevant mechanisms or experts and one party participating in risk exchange is established, the risk exchange is determined, evaluated and shared organically, effective risk exchange information is brought into management decisions, the problem that a sharing platform is lacked only by experience and information in the past is solved, and the level of enterprise risk analysis is improved. Especially in the food safety risk exchange field, can also improve the efficiency that food safety problem was solved when improving enterprise's risk bearing capacity, promote food safety further development.
In some embodiments, a flow chart of adjusting conferencing weights in a conference management method may be as shown in fig. 4.
In step 401, the number of times each stakeholder is invited is counted. In some embodiments, stakeholders may refer to institutions, businesses, etc. associated with the issue.
In step 402, a median number of invitations, i.e., an average number of times each stakeholder is invited, is calculated.
In step 403, the stakeholders with the invited times greater than the median are screened out, and step 407 is executed.
In step 404, the number of actual exchanges by each stakeholder is counted.
In step 405, the ratio of the actual number of exchanges to the number of invitations of each stakeholder is counted.
In step 406, the stakeholders whose ratio generated in step 405 is less than or equal to the predetermined ratio (e.g., 0.2) are screened out, and step 407 is performed.
In step 407, a determination is made as to whether the stakeholders screened in steps 403 and 406 have the same portion. Step 408 is performed for stakeholders screened through step 403, and screened through step 406.
In step 408, the meeting requirements are adjusted, and in some embodiments, may be increased by a predetermined amount.
By the method, meeting requirements can be adjusted according to the meeting attendance, and further meeting weight in the personnel information can be influenced, so that the probability of being invited by the interest-related party is changed. Because the invited but uninvolved interest-interested parties may have higher communication requirements, the method can further establish the relationship, improve the fund content of conference communication and also facilitate the relationship maintenance with the personnel or the institutions in the communication library.
A schematic diagram of some embodiments of the conference management system of the present disclosure is shown in fig. 5. The topic acquisition unit 501 can acquire a conference topic, which may surround a current hot topic, an emergency, etc., may surround a keyword, may surround a certain product, etc., and for example, sets a topic related to a food safety risk in a food safety communication. In some embodiments, the topic of the conference may be obtained based on previous conference record information, and the topic of the conference may be hotspot information obtained according to a previous conference record, such as information obtained according to the information generated by the candidate topic determination unit 504.
The potential participant determination unit 502 can determine potential participants based on the person information in the communication library and the conference subject. In some embodiments, potential participating members may include stakeholders for meeting issues, meeting sponsors, and members of various types of related institutions, disciplines.
The attendee and meeting schedule determination unit 503 can determine meeting schedules and attendees based on meeting schedule requirements of each potential attendee, and send the meeting schedules to the attendees. In some embodiments, the meeting schedule may include meeting form, time and location information, and may also include a summary of the meeting.
The candidate topic determination unit 504 can extract keywords according to the meeting record information during the meeting process, and determine candidate meeting topics according to the occurrence frequency of the keyword information. In some embodiments, the number of occurrences of the keyword information may be the number of occurrences of the meeting content surrounding the keyword, or the length of the meeting record surrounding the keyword.
The conference management system can screen the participants based on the personnel information stored in the communication library, further determine the participants and the conference arrangement, count the conference records to obtain the current hot subjects, and provide subject reference for the next conference, so that the conference arrangement efficiency is improved, the subjects can be in accordance with the current hot spots, the problem solving pertinence of communication is improved, and the communication analysis efficiency is further improved.
In some embodiments, the potential participant determination unit 502 may determine potential participants by matching study directions, affiliated institutions, or expertise, screening for qualifications, and screening for locations. In some embodiments, since the number of persons accommodated in the conference is limited, the potential participant determination unit 502 may obtain the potential participants from the persons meeting the participation condition in the order of the highest participating weight to the lowest participating weight according to the predetermined number of participants.
